Duties and Responsibilities Administration ÿ Provide effective administrative support to project staff and managers as and when required. ÿ Assisting with work relating to the production of statistics and reports. ÿ Assisting with monitoring and data collection and inputting and producing statistical reports as required. ÿ Ensure adequate records are kept of all services users as required. ÿ Ensure that all information received is treated in the strictest confidence, and that all such information is regulated and controlled in a similar manner. ÿ Provide administrative support with photocopying, filing, scanning, letter writing, typing reports etc ÿ Servicing meetings as required, including planning and preparation, taking minutes and typing up notes ÿ Contribute to the effective working of BSWA’s central administrative services as required Office Systems ÿ Organise and maintain filing systems, scanning of service user files and archiving ÿ To work within BSWA’s administrative and financial systems and provide support where required. ÿ Ensure BSWA complies with data protection standards and registrations. Communication: ÿ To ensure that all staff team members are aware of any matters that are relevant to the welfare and security of the refuges, services, staff, volunteers and service users by: a) Maintaining BSWA communication records b) Following safety procedures c) Attending team and other meetings ÿ To attend support and supervision sessions with your line manager. ÿ To identify and attend training relevant to the post in agreement with your line manager. Page 2 of 3 ÿ To develop a professional working relationships internally and with external agencies. ÿ To be involved in the annual business review process. General: ÿ To maintain the confidentiality of all service users and staff and in all matters relating to the organisation. ÿ To work within BSWA’s framework for equal opportunities and anti-discriminatory practice and offer an equal service to all women and children regardless of age, class, culture, language, race, religion and sexual orientation. ÿ To maintain a general awareness of the issues surrounding domestic violence on a national and local level. ÿ To adhere to Child Protection and Safeguarding procedures, and Adult Safeguarding procedures throughout ÿ To work within BSWA policies and procedures and demonstrate a commitment to the values and ethos of BSWA. ÿ To undertake any other duties required by BSWA, which may arise incidentally, develop, or be assigned commensurate with the post.
