Safety Unit IDVA Projects Administrator – Maternity Cover


Hours of Work:         37 hours

Salary:                       £20,092

Responsible to:       MARAC IDVA Manager


Job purpose:

  • To support BSWA’s IDVA Service (MARAC and Courts IDVAs)   by providing administrative support, processing referrals, dealing with telephone enquiries, liaising with other agencies and managing a data base allocations system.


Duties and Responsibilities



  • Undertake administration around work with service users sensitively, confidentially and in a timely manner. 
  • Ensure all adequate checks on incoming referrals and registration on to BSWA database system done quickly and effectively. 
  • Ensure that all information received is treated in the strictest confidence, and that all such information is regulated and controlled in a similar manner
  • Ensure checks around bail applications are done daily.
  • Process all BSWA’s identified MARAC referrals to the MARAC Coordination team.   
  • Provide effective administrative support to project staff and managers as and when required.
  • Assist with monitoring and data collection and inputting and producing statistical reports as required.
  • Provide administrative support with photocopying, filing, scanning, letter writing, typing reports etc
  • Service meetings as required, including planning and preparation, taking minutes and typing up notes, etc
  • Contribute to the effective working of IDVA service as required

Office Systems:

  • Ensure telephone and email enquiries are answered, managed, distributed and responded to where necessary
  • Organise and maintain the Services’ filing database systems, referral system and allocations system. 
  • Work within BSWA’s administrative and financial systems and provide support where required.
  • Ensure BSWA complies with data protection standards and registrations.


  • To ensure that all staff team members are aware of any matters that are relevant to the welfare and security of the refuges, services, staff, volunteers and service users by:
    1. Maintaining BSWA communication records
    2. Following safety procedures
    3. Attending team and other meetings
  • To attend support and supervision sessions with your line manager.
  • To identify and attend training relevant to the post in agreement with your line manager.
  • To develop professional working relationships internally and with external agencies.


  • To work within BSWA policies and procedures and demonstrate a commitment to the values and ethos of BSWA.
  • To work within BSWA’s framework for equal opportunities and anti-discriminatory practice and offer an equal service to all women, children and young people regardless of age, class, culture, language, race, religion and sexual orientation
  • To maintain the confidentiality of women and children using the service and in all matters relating to the organisations.
  • To work within BSWA, and local multi-agency adult and child safeguarding procedures.
  • To maintain an awareness of the issues surrounding domestic violence on a national and local level
  • To work within the principles and standards of Birmingham DV Standards and support Birmingham Domestic Abuse Strategy
  • To ensure the efficient use of resources at all times
  • To undertake any other duties required by BSWA, which may arise incidentally, develop, or be assigned commensurate with the post
