Purpose of the Post:

The Castlehaven Community Association’s popular Ageactivity 60+ programme for older people was established to promote physical & mental wellbeing & challenge loneliness & isolation in older age.

The primary purpose of this post is to support the delivery of this popular project with particular emphasis on the everyday organisation and coordination of the project that ensures the smooth running of Ageactivity 60+:

  • Ageactivity 60+ Member’s report becoming more active, experiencing improved physical and mental health as a result of their engagement.
  • They report feeling less lonely &/or isolated and more actively engaged both individually and collectively.
  • Older people who are part of Ageactivity 60+ take on volunteer roles within Ageactivity &/or the Castlehaven Community Association. They report feeling an increased sense of community from tackling their problems together actively as peer-to-peer volunteers.  
  • Older people report feeling an increased sense of community as a result of Ageactivity 60+.  

The Person:

We are looking for a friendly, proactive, and highly organised person to support our Ageactivity 60+ Project Manager and Outreach worker to deliver this important project.

Main duties & responsibilities:

Organise, manage and support scheme activities

  • Liaise with tutors to ensure smooth running of weekly classes, clubs and activities (both in the community centre and via Zoom)
  • Devise the programme for the monthly History Club, liaising with speakers and coordinating and leading any offsite activities/trips
  • Devise the programme for the monthly Cinema Club
  • Lead on the monthly Soup Club
  • Assist in the facilitation of regular zoom sessions – eg: Monday “Coffee Club”
  • Coordinate the seasonal programme for the fortnightly Walking Club
  • Lead on the Fortnightly Walking Club (in rotation with the Ageactivity 60+ Project Manager)
  • Devise the programme for monthly ‘in-house’ coffee mornings.
  • Lead and provide support on any excursions (monthly coach trips and London trips were commonplace pre-Covid 19 and may return, to be confirmed)
  • Manage the administration of the Client Record Management software known as “Lamplight”.
  • Input and update weekly registers from Ageactivity 60+ regular classes and workshops onto Lamplight
  • Provide monthly data reports (known as “Dashboards”) to Ageactivity 60+ Project Manager using Lamplight.
  • Coordinate and manage the monthly reminder letter to Ageactivity 60+ memberships that are expiring.
  • Manage the administration and keep the project as paperless as possible, in line with current GDPR legislation.
  • Identify vulnerable service users and communicate regularly via telephone, in liaison with other team members.
  • Act as a third party referrer for The Trussell Trust, allocating foodbank voucher codes to members of the public via telephone

Scheme documentation

  • Coordinate and manage twice-yearly membership surveys: design/produce, organise distribution, collate and analyse results.
  • Design membership and feedback forms when necessary
  • Design and manage ad-hoc surveys pertaining to Project’s funding status.

Publicity/mailouts

  • Maintain regular communication with scheme members via twice-weekly email bulletins, text messages and letters.
  • Devise and produce twice yearly programme of activities & events and cover letters
  • Produce twice-yearly newsletters and cover letters
  • Design leaflets/ flyers/posters where necessary, liaising with the Social Media & Marketing Coordinator.
  • Send photos of trips or classes to Social Media & Marketing coordinator for use in advertising or social media in a timely manner.

Steering Group

  • Supervise the running of the Ageactivity Steering Group, ensuring that meetings are chaired, minutes processed and agendas distributed within agreed timeframes

Recruitment

  • Recruit older people to the scheme via mailouts, phone networking and publicity stalls at events in partnership with Ageactivity 60+ Outreach Development Worker.
  • Work alongside other organisations to recruit new members.
  • Liaise with new members’ key workers/carers/relatives who are introducing an older person into Ageactivity 60+.

CCA Policy Compliance

  • Ensure that AA fully complies with all CCA policies, especially those concerning health and safety, protection of vulnerable older people and equal opportunities
  • Keep up to date with training (e.g. dementia best practice/ safeguarding)
  • Log any incidents as per CCA policy, and liaise with external agencies/ carers/ relatives as and when appropriate

Volunteer Project Management

Policy development and internal communication

  • Ensure that volunteers are included in organisational policies where relevant, and that staff and volunteers understand how these policies and procedures relate to volunteers.
  • Ensure that volunteers are updated regarding the organisation’s work.
  • Be a visible and available staff member for volunteers needing to air any concerns.

Identify suitable volunteering opportunities

  • Work with existing staff, volunteers, and service users to identify new ways in which volunteers can be involved and facilitate volunteer involvement in these areas.
  • Produce clear task outlines for volunteer opportunities.
  • Recruitment and selection of volunteers.
  • Respond to enquiries from prospective volunteers as soon as possible.
  • Work with existing volunteers to provide support for them to be ambassadors for volunteering at Castlehaven.
  • Recruit suitable volunteers, using recruitment methods appropriate to the role, without creating unnecessary barriers to volunteering.

Training and induction

  • Work with colleagues to ensure that volunteers receive training and support as appropriate.
  • Ensure that working with volunteers is covered in all new staff’s inductions.
  • Volunteer management
  • Ensure that volunteers have adequate & appropriate supervision.
  • Act as a third party moderator between volunteer and other Castlehaven projects as required.
  • Ensure that the volunteer contribution is appropriately recognised and rewarded
  • Organise annual thank you and social events for volunteers.
  • Ensure that volunteers receive the required support, training and feedback.

Health and safety

  • Ensure that classes, workshops, trips and volunteering activities are risk assessed, and steps are taken to minimise risk.
  • Work with volunteers to ensure that they work to keep themselves, colleagues and service users safe at all times.
  • Report any health and safety issues to the line manager.
  • Receive up-to-date safeguarding training and be aware of any potential safeguarding issues that could occur within the membership or with volunteers.

Monitoring and evaluation

  • Monitor and evaluate the experience and work of Ageactivity 60+ members volunteers.
  • Conduct regular satisfaction surveys with volunteers, implementing changes and communicating this to volunteers and staff.

Other

  • Ensure that the volunteer programme is championed within Ageactivity 60+ & the wider Castlehaven Community Association.
  • Act as an advocate for volunteering.
  • Act within equal opportunities and other organisational policies at all times.
  • Develop professional skills and stay up to date with best practice in volunteer management.
  • Assist in the smooth running of the community centre along with front line colleagues.

Person Specification

Essential skills / experience / qualities

  • At least 2 years’ experience of working with older people (50yrs+) from a variety of ethnic groups and cultural backgrounds
  • At least 1 year in volunteer management
  • At least 2 years administrational experience
  • A clear enhanced DBS
  • Experience in working with BAME & LGBTIQ+ communities
  • Some experience in successfully creating & assisting workshop activities, community projects and initiatives.
  • Some experience in successfully organising, managing & overseeing external trips, excursions & community events
  • Some experience of working with schools, community organisations, religious centres, and statutory services
  • Some knowledge and experience of online research of places of interest, exhibitions, community events
  • Some knowledge and experience of monitoring and evaluating activities & community events
  • To have the ability to do physical tasks like lifting chairs, tables in order to set up & set down activities
  • Must have the ability to support managers, staff members and volunteers
  • A sound working knowledge of Microsoft Office (365) i.e. Word, Excel, PowerPoint, Outlook
