Knowledge and Experience
● Minimum 1 year of experience working in an administration role (or role with these as a significant element) is essential

We have an exciting opportunity available to work closely with all areas of our ministry, managing the IT, AV and Health & Safety infrastructure across the organisation. Management of the conference hall sound studio and mobile sound systems used for delivering the AV requirements of lectures, holidays and events across the site, including organising rotas and the training and supervision of students, staff members, ministry assistants and other voluntary workers in the running of it.

Oversight of the charity’s Health & Safety, working closely with our Health & Safety contractor (Citation) who act as our competent person, to maintain safe processes and practices that abide by regulations.

- Strong hardware and software IT skills, with the ability to maintain and develop our network of computer and internet systems, booking/application systems and the vast array of software needs

Yeldall Manor is a Christian addiction recovery centre where we see men's lives changing on a daily basis.
If you have admin experience, IT skills, and great attention to detail, we’d love you to join us in this part-time role assisting with administration relating to our supporters and their donations, as well as other admin tasks.
You'd be based in our friendly Finance & Fund-Raising office (in a lovely, rural setting near Twyford, Reading) with four other staff members, and all our roles also involve a lot of client contact, so you will have daily contact with those men whom you are helping. They inspire and motivate us just as much as we seek to encourage and support them.
MAIN TASKS OF THE JOB:
Supporter Relations Admin: Assisting the Administration & Supporter Relations Manager to maximise support (finance, prayer & goodwill) for Yeldall Manor through the development and maintenance of good relationships with the supporters of Yeldall’s work (individuals and churches) including:
- Processing and recording cheque, cash, BACS, standing order and giving website donations
- Sending thank you letters
- Processing and filing gift aid declarations and liaising with Deputy Finance Manager re gift aid submission
- Assisting in the preparation of the monthly prayer diary & quarterly newsletter
- Being part of organising supporter events
- Possibly assisting with updating social media and website
Trust Admin: Contributing to maintaining positive and effective relationships with supportive trust funds through:
- Compiling and maintaining relevant information for trust bids
- Liaising with our Trust Fund-Raising consultants and providing necessary information
- Keeping records of donations, actions and correspondence on the donor management database
Reception/General Admin: Understanding the role of volunteer receptionists and undertaking this role where necessary.
Staff Admin (Training & HR): Assisting the Administration & Supporter Relations Manager with personnel and training administration through
- Keeping training spreadsheet up to date to maintain accurate and up to date records of all training
- Administering DBS & DVLA checks
- Coordinating/updating & uploading policies
- HR filing and scanning as needed
OTHER DUTIES:
- To implement the programme for the benefit and well-being of all residents
- To offer a high level of care and support to all residents during their time at Yeldall Manor, maintaining appropriate professional conduct and boundaries at all times
- To promote Yeldall Manor with churches and professional agencies, speaking to church groups and professionals as required
- To support residents on the Yeldall programmes by interacting with them and encouraging them in their recovery and spiritual growth. To be willing to share your faith with residents and to pray for them if requested
- To uphold at all times the Christian values and ethos of Yeldall in all dealings both internally and externally

KEY RESPONSIBILITIES
Website: Developing and updating SAT-7’s websites as inspiring platforms to raise profile, income and engagement.
Emails: Work with colleagues in the Communications Team and across the organisation to build, test and send responsive email templates for all SAT-7 UK’s email requirements (meeting SAT-7’s brand guidelines and conforming to industry standards). Use email marketing tool DotDigital to develop automated communications that strengthen supporter engagement and convert recipients into committed donors.
Content: Deliver engaging and inspiring rich media content across a range of digital channels, including web, email, social media and other digital marketing platforms.
Social Media: Work closely with other team members to deliver strong social media content and engagement across various platforms, chiefly Facebook, Instagram, X, YouTube, LinkedIn.
Marketing: Support the digital marketing of SAT-7 resources and campaigns through social media advertising, external agencies and other channels as required, to engage more deeply with existing supporters and donors, acquire new supporters and to raise funds for SAT-7 UK.
GENERAL RESPONSIBILITIES
- In all communication ensure consistent messaging, branding and tone of voice for the intended audience and that content conforms to the security and style guides.

Bookings:
· Being the first point of call to our groups and customers; from answering their initial email or phone call right through to providing them with a friendly welcome when they arrive.

The Trumpington Affordable Food Club Coordinator will be responsible for coordinating the food hub and its team of volunteers, including presence at the food hub on Friday mornings, and transforming it into a Fairbite Affordable Food Club (Social Supermarket).
Organisation of the Food Hub:
- Prepare inductions for new volunteers
- Coordinating weekly volunteer collections of supplies from supermarkets.
- Attend coordination meetings for the Cambridge-wide Fairbite network.
Friday sessions at Trumpington Pavilion:
- Prepare a weekly rota of volunteers.
- Work with Pavilion staff and volunteers to open and close the venue for Friday sessions.
- Organise with volunteers the setting up of the hall and kitchen, operation of the sessions, and clearing away at the end of the sessions, including basic cleaning, so that the Pavilion is ready for subsequent users.

The Role
In this role, you'll ensure supporters, volunteers and staff receive timely and effective support. You'll play a crucial part in maintaining the database and processing supporter donations, including direct debits, standing orders and bank payment files, with the utmost accuracy and adherence to GDPR policies.
Your main responsibilities will include entering new supporter information into the database, maintaining supporter records, reconciling donations and managing data imports.
You'll also process Gift Aid declarations and claims, handle direct debits, standing orders and other payments, and maintain subscription schemes. Additionally, you'll assist in handling incoming mail, processing orders and addressing complaints and feedback with empathy and professionalism.
