We have an exciting opportunity for an experienced Executive Assistant to join the Executive department of Samaritan’s Purse International (SPI) and the Billy Graham Evangelistic Association (BGEA), supporting the Executive Director (ED) and wider Senior Management Team (SMT). The role is part time (21 hours per week) and based from our head office in Coventry.

The post holder will need to have meticulous attention to detail, be highly organised and have excellent administrative skills. A key aspect of the role is building collaborative relationships internally and externally. Proven experience working at Executive Director level is essential.

Duties will include:

• Providing full administrative and secretarial service to the ED and SMT
• Providing administrative support to the Board members of SP and BGEA
• Building of relationships both internally and externally
• Manage and maintain electronic diary accurately, liaise with the ED and SMT to input and manage appointments
• Undertake general administrative duties as requested by the ED and SMT
• Organise meetings/conferences/special events, provide agendas/directions to attendees. This to include all ED meetings and SMT strategic and tactical meetings.
• Organise travel for ED and SMT
• Organise visits by international visitors, including schedules of appointments
• Attend meetings, take notes/minutes to circulate to attendees in an accurate and timely fashion
• Daily use of Microsoft packages
• Assist the SMT with administrative tasks to aid in the efficient running of the team
• Attend SMT meetings and provide agendas, papers and notes

Occupational Requirement

This is a senior leadership position in a merged organisation.

1. Collaboration with the District Chair and the District Secretary for Ministries & Vocations in the leadership of the District, and promoting the values of the District in all work practice.
2. Collaboration with the Mission Area Leads to facilitate support of the circuits in relation to the responsibilities of administration and compliance issues.
3. Responsibility for compliance with all relevant legal, financial, and governance matters, including compliance with the relevant parts of The Constitutional Practice and Disicipline of the Methodist Church, including:
   1. budget and accounting, in partnership with the District Treasurer;
   2. data protection;
   3. lay employment processes;
   4. safeguarding.
4. Working with the District Safeguarding Officers, the District Safeguarding Group and others to ensure safeguarding processes for the District are robust and effective.
5. Responsibility, together with relevant District officers and bodies, for strategy for property and finance across the District, and for its implementation.
6. Enabling the District Property Consents group to fulfil their responsibilities regarding property matters within the District.
7. Coordinating the District Grants Policy and its implementation through the District Grants Committee.
8. Ensuring that the District’s responsibilities for Reconciliation and Complaints are fulfilled, including liaising with the other District Leaders and ensuring the appointment and functioning of the District Local Complaints Officer and District Reconciliation and Complaints Support Group(s).
9. Collaboration with the District Chair and others to ensure good practice in internal and external communication, including through the District Communications Officer.
10. Engagement with the District Policy Committee and the District Scrutiny Group processes and meetings.
11. Fostering good and collaborative working relationships with holders of relevant district volunteer posts.
12. Other areas of responsibility as agreed and assigned by the Trustees.

Key Responsibilities

Spear Programme

• Prepare and deliver coaching sessions on a weekly basis and find creative ways of developing ongoing relationships with Spear Trainees. This includes running application workshops with past Trainees as well as maintaining records and reporting on statistics.

Relationship management

• Build and manage relationships with a variety of stakeholders, including referrers, local businesses, and other organisations
• You will support with job fairs, mock interview days and welcoming external visitors to the centre

Church Community

• The Spear Coach is directly employed by Citizen Church, meaning you are part of a vibrant church staff team and submerged in an exciting faith community

This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. It is specifically expected that the role will allow for flexible scheduling to accommodate other responsibilities, including caring.

The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. To fulfil this mission, the Circuit fosters a broad spectrum of ministry within its congregations, focusing on worship but also engaging in outreach to the homeless, asylum seekers, new parents, and various other groups. Office Administrator - Donor Communications and Volunteer Liaison

Friends of the Holy Land are looking for an energetic, dedicated individual to join our fast-moving, growing charity.

Friends of the Holy Land has a small network of volunteer supporters around the country and an expanding number of financial donors. This new role will be responsible for communicating with these two communities, with a focus on preparing monthly emails to supporters, monitoring and moderating social media accounts, liaising with external partners to deliver external communications, developing donor stewardship and growing our volunteer network.

The role will also be required to help with regular office duties and will need to be familiar with all aspects of administrative support for the operational success of the charity. You will need to be comfortable working in a faith-based organisation, talking to supporters across the UK and with our partners in the Holy Land, and be competent in creating communications.

Property Management & Resources Officer

The Vacancy

We are offering an interesting and varied opportunity to support the work of the Connexional Team and the wider Methodist Church in delivering its strategic plan to make the best use of its property portfolio in local communities across the country and centrally.

Working alongside the Director and colleagues within the Property Support team, you will be providing support and management to Connexional property, particularly focussing on the Connexional manse portfolio and its resident ministers.  Alongside this, you will lead on the communications and resourcing to the District Property Officer network and other relevant networks, across the Connexion.

You will also be a central Property Support team member assisting team colleagues within their specific areas of expertise including Listed Buildings and the Church’s net zero strategy.  This could be through the provision of proactive support of and input into, relevant forms of guidance, advice, communications, training and good practice.

You will also support the Director in the administration of property grants and application received for replacement Projects under Standing Order 973.

About You

We are looking for someone who wants to make a positive contribution to the work of the Property Support team and be equally comfortable collaborating in a team environment or under your own initiative.  You will preferably have experience supporting a senior team within a property function and preferably have some experience in a property or project management type function.

As the role will underpin and contribute to supporting the team’s work with external colleagues, particularly the District Property Officer network, it is essential that you are comfortable in engaging with a range of stakeholders, and have excellent organisational skills, particularly in terms of resourcing and training.

The role will be very collaborative with team colleagues, and therefore experience and ability to plan, research and assimilate new information alongside the analysis and delivery of projects will be an essential quality.

Key Responsibilities

Personal Administration Support

• Manage the Chief Executive’s diary, optimising the efficient use of time and resources through effective planning and ‘gate-keeping’ in a relational style that represents the charity’s values
• Ensure all necessary briefing papers and documents are compiled for the Chief Executive in good time in advance of meetings
• Prepare and present excellent Powerpoint and other presentations for internal and external audiences, e.g., meetings with donors, trustees and other key stakeholders.

Governance Support

• Co-ordinate and attend Trustees’ meetings, including arranging dates, preparing papers in advance, taking and sending out minutes
• Administrate the Investors’, Communications, Fundraising, Strategy and Finance, and other Trustee Steering Groups
• Support with various ad hoc projects to enable robust organisational governance
• Coordinate the Strategic Delivery team monthly meeting, and Senior Leadership Team weekly meeting, including organising meeting dates, preparing agendas and sending out minutes, as well as ensuring follow-up actions are completed
• Provide administrative support to the wider senior leadership team

Active Participation in the Philanthropy and wider Resurgo Mission

We’re looking for an experienced trainer to lead on the implementation and delivery of the Learning and Development framework issued by the House of Bishops.

• Be responsible for the organisation, implementation and delivery of the national safeguarding learning and development framework  
• Provide high quality face to face and online training to office holders (Clergy, Readers, those with Permission to Officiate), employees and volunteers in the Diocese of Coventry.
• Evaluate the effectiveness of the national training and adapt materials as appropriate for the diocese.
• Network and liaise with safeguarding trainers from other dioceses and be part of the regional and national training network to share knowledge and best practice.
• Assist in supporting a small team of volunteer trainers capable of delivering training within the Diocese of Coventry.
• Develop and maintain knowledge of national and local safeguarding policies and procedures.
• Be responsible for safeguarding training administration
• In conjunction with the DSA, undertake continual evaluation, review and monitoring of the learning and development framework and other training materials so that they are kept up-to-date with new legislation, guidelines and best practice in safeguarding.
• Be responsible for safeguarding training information on different platforms
• In liaison with the DSA/ADSA, respond to and act upon requests for advice, information and guidance from individuals in the church who are concerned about the welfare of a child or adult at risk of harm.
• To undertake any other activity within the scope of the safeguarding team’s work, and the role-holder’s skills and experience, as reasonably requested by the DSA.

The post holder is an employee of the Diocesan Board of Finance (DBF) and is line managed by the Diocesan Safeguarding Advisor.

Other key relationships include the Diocesan Safeguarding team, Parish Safeguarding Officers, Clergy and Readers.

An enhanced DBS check will be required.
