Job description

The HR Advisor provides a comprehensive HR admin service to employees and managers, providing day-to-day HR administrative support, advice and contributing to the long-term development of the HR function.

GENERAL HR

Work with the Head of People & Development to provide HR advice and support to line managers, employees and contractors, explaining procedures and policies in a timely and effective manner

  • Update the ADP Payroll and HR system with changes (joiners\leavers\tax code changes\promotions etc.) liaising with Finance to submit payroll.
  • Contribute to HR projects
  • Produce reports for the Executive Team and for the Board of Trustees on HR related matters as requested
  • Assist with employee relations issues

RECRUITMENT & ONBOARDING

Organise recruitment and selection, ensuring this is carried out in accordance with current legislation and good practice

  • Support and advise recruiting managers with the revision of job descriptions, person specifications and advertisements
  • Manage all recruitment logistics, respond to applicants, organise interviews/assessments, take up references and send follow up letters
  • Organise induction training sessions for groups of new joiners on a regular basis, as required by level of starters
  • Ensure line managers undertake regular meetings during probationary periods and confirm the appointment of new starters
  • Carry out the Day 1 induction for all new starters incl. a safeguarding introduction; ensuring that all relevant information is provided

PERFORMANCE MANAGEMENT

Implement CUK’s performance management procedures; communicating clearly to line managers and supporting them in their role

  • Ensure annual appraisals and follow-up meetings are conducted by line managers with their team members
  • Highlight actions arising from appraisals and ensure the Head of People & Development is updated on progress against actions, KPIs and any outstanding training needs
  • In collaboration with the Head of People & Development, support in the development of PIPs or disciplinary action in case of persistent poor performance

EMPLOYEE WELLBEING 

Be involved in managing wellbeing; ensuring that systems / routines are in place to provide appropriate support to employees, be involved in employee consultation and ensure excellent employee relations

  • Manage simple employee relations issues
  • Carry out an exit interview with leavers
  • Run and implement absence management systems
  • Monitor the ADP absence records and produce reports, with recommendations to management
  • Be the day-to-day contact with the Occupational Health provider 

HR RECORDS & ADMINISTRATION

Manage the HR records, Payroll and administration systems. Ensuring that ADP HR & Payroll system is up-to-date with the required information and operating effectively

  • Support line managers in the development and review of job descriptions
  • Ensure employee files contain the necessary paperwork and are stored securely and appropriately
  • Action mass data updates on ADP where appropriate

RISK MANAGEMENT

Ensure that policies are implemented to manage the potential employment risks are identified and mitigated; incl. safeguarding plans, data protection, compliance with HR legislation

  • Manage the CUK safeguarding administration, incl. ensuring staff and volunteers have the appropriate DBS check. Produce regular reports on safeguarding matters.
  • Ensure all staff, incl. contractors, have the necessary contract agreements and indemnity insurance

HEALTH, SAFETY & ENVIRONMENT

Be involved in the management of day-to day Health, Safety and Environmental issues for Citizens UK; ensuring that the workplace is conducive to employee health and wellbeing

  • Provide DSE Assessments forms to employees and liaise with the Office Manager on any corrective action required
  • Ensure that health and safety is adhered to and the office supports employee health and well-being.
