Job Description – Planned Giving Officer


Reporting to:                       Director of Communications

Salary:                                  £25,000-£30,000 fte (pro rata for part time)

Based:                                  Home & Mobile 2/3 days per week with remaining time at the office in Portsmouth

Period:                                 Permanent Position

Hours:                                   28-35 hours per week (negotiable),

                                              occasional evening and weekend duties



To play a key role in the development and implementation of the Diocesan fundraising and income generation activities in order to secure funding for parishes, programme work and project work (and organisational core costs). With an emphasis on preparing good quality funding applications whilst also expanding other fundraising channels.  


Specific Tasks

General Fundraising / Income Generation

  • Support the Chief Operating officer and senior team to deliver diocesan fundraising priorities seeking opportunities to generate income for the Diocese.
  • To work with external fundraising partners as required on major development programmes.
  • To assist the development in capacity and skills of the parishes to enable them to complete applications for funding, by providing training and resources.
  • To support the development of new income initiatives including contactless giving, planned giving and legacies as well as other opportunities through well researched and planned projects
  • Objectively review the success and achievements against agreed targets, identifying strengths, weaknesses and areas for development.
  • Participate in the day to day work of the organisation – such as reporting, attending meetings as required, and taking a flexible approach to general administrative and support tasks as required.
  • Participate in external networking and training as agreed with line manager and develop a collaborative approach with other Dioceses across England.
  • Participate in staff appraisals and appropriate training for the role.
  • Manage the workload of volunteers, trainees and those on placement, ensuring induction is undertaken and that they are able to contribute effectively.
  • Work with a variety of partners to deliver workshops and training / development opportunities across the country.
  • Plan and develop events in support of fundraising activity
  • Develop well produced material to support planned giving working closely with the communications team.


Trusts and Grant-Making Bodies

  • Work closely with the principal postholder for trusts and grants to develop strong applications supporting the work of the diocese
  • Build on relationships with existing funders, preparing and submitting applications for funding.
  • Manage and lead the identification of, and approaches to, trusts and foundations that have not previously supported the work the diocese
  • To work with individual parishes to identify funding requirements and to support the same through application processes.
  • Write tailored applications, addressing grant-making priorities and requirements as specified by individual trusts, foundations or grant making bodies, whilst maintaining success rate.
  • Research and identify potential trusts using our database, internet, printed and online resources.



  • To manage the Social Media profile of the Department,
  • To work with the Communications team to produce articles, publications and support materials for use by the diocese, including writing copy, liaising with suppliers and distribution to parishes.
  • Ensure the website fundraising communications information is up to date.
  • Collate case studies, photographs and information celebrating achievements and ensure they are publicised



Person Specification and Required Experience

  • Experience in Trusts, Grants or Corporate fundraising. E
  • Line management experience / supervision of staff D
  • Proven record of successful applications for funding from Trusts and / or other Grant-making bodies D
  • Demonstrable ability to develop relationships with partners, Trusts and other Grant-making bodies E
  • Experience of researching Trust and Grant funding opportunities / experience of working with grant making bodies. D
  • A demonstrable ability to manage complex projects E
  • An understanding of the charitable trust sector regionally and nationally, with a detailed understanding of the wider funding environment and changing trends in the voluntary sector. D


Skills and Competencies


  • Excellent written skills with the ability to produce concise and creative bids. E
  • High standard of computer literacy (Excel, Word, Power Point and Outlook and the Internet). E
  • Demonstrable ability to plan and prioritise a complex and diverse workload with minimum supervision. E
  • Excellent communication and presentation skills required to support parishes and build relationships with potential funders. E

Terms of Employment

Information Management

  • To accurately update and input data to relevant data systems.
  • Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner and in accordance with Information Governance requirements.
  • Inputting, monitoring and checking data, required for finite and ongoing projects within the teams.
  • Working with all team members in the collection of information for reporting on relevant projects and cases.
  • Running and collating reports including which may include statistical and performance management reports to senior management as required.
  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team and in accordance with Information Governance requirements.

No smoking policy

Mandatory training

  • You are required to complete all training specified by the Diocese of Portsmouth. Some of this mandatory training is a legal requirement for the Diocese of Portsmouth, and some is considered essential for the employees. All new staff need to complete their mandatory training in first six months, during their probationary period. Thereafter required training needs to be completed within the first three months of each financial year.
