Job Title: Team administrator (Part-time 0.4 FTE)
Reports to: Office Services Manager
Location: Quantum House, 22 – 24 Red Lion Court, Fleet Street, London, EC4A 3EB. Open to flexibility on location provided able to attend offices in London on a regular basis.
Purpose: The Team administrator will work to ensure the smooth running of the office and the charity’s programmes, taking responsibility for the IT equipment and logistics of the work, including arranging interviews and travel; supporting and maintaining information systems and documentation; managing basic electronic mailbox and distribute / action requests accordingly.
Remuneration: £21k - £25k per annum pro-rata
Additional Terms: 30 days paid holiday pro rata, exclusive of Statutory Holiday plus competitive pension scheme and a volunteering allowance of up to 5 days. Additional family friendly benefits including enhancements to Statutory Payments.
Appointment Terms: Permanent role
- Supporting the Office Services Manager with office activities.
- Building / utility management - undertake office facilities management including: security access, office maintenance matters and liaising with the reception and cleaners
- Organisation of office infrastructure / IT resources and telecommunications support for all office equipment
- Responsible for all front of house duties i.e., receiving visitors for meetings, providing refreshments and assisting with their pre-meeting requirements on the day, liaising with building management reception
- Resolve queries and concerns efficiently and effectively
- Working in collaboration with the Office Services Manager to support with HR, Finance, and office management core duties.
- Working with the charity’s online HR and expenses systems, recording absences, organising DBS checks, and supporting with company credit card reconciliation
- Execute credit card disbursements by verifying requisitions
- Assist with the coding of finance documentation as necessary
- Support the Office Service Manager with the monthly pay run processes
- Support logistic activities and projects e.g. support any office relocation, despatching and receiving couriering activities, etc.
- Troubleshoot digital technology queries and booking repairs for ICT equipment
- Processing all incoming and outgoing mail (including the despatch of programme related materials to volunteers where necessary) and maintain post log
- Arranging appointments and interviews, booking meeting rooms, travel, courier, and other facilities
- Keeping the office well stocked and organised with the necessary stationary, refreshments, and furniture
- Carry out all associated administrative duties including filing, scanning, and archiving
- Represent the Charity at stakeholder events
- Take on additional ad hoc task according with charity projects and activities
Team Administrator Position Requirements
- You will need to have a minimum of 2 years' experience in an administration role.
- Candidates must have excellent customer service skills, be confident and have a polite telephone manner.
- Advanced knowledge in the use of Microsoft Office especially Word and Excel
- You must have a strong ability to work to tight deadlines, be hard working, focussed and have strong attention to detail.

In partnership with the National Association of Head Teachers the charity has developed a version for primary schools called Primary Futures and over 4,500 primaries have already signed up. The charity runs Inspiring Governance the free governor recruitment and support service. This Department for Education funded service aims to get highly skilled volunteers to serve as governors in some of the most disadvantaged schools in England and in so doing help raise educational achievement.
Since the Charity’s launch it has sought to understand what difference employer engagement in education makes to young people and the economy. It works with academics and researchers from around the world and its own research is regularly cited by government and international organisations like the OECD. The research, which has informed and influenced a range of government policies, shows that employer engagement helps improve social mobility, reduces the likelihood of young people becoming NEET (not in education, employment of training), increases the amount they earn in adult life, helps them make better informed career choices and leads to improvements in educational attainment.
