The role

We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working with colleagues at a senior level, in an office environment, performing a range of administrative duties. Given the dynamic nature of the executive landscape, we will rely on the executive assistant to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

Objectives of this role

• Support the CEO/COO primarily to ensure the smooth and efficient running of FareShare operations.
• Manage communication and contacts with external stakeholders including network and industry partners and board of trustees.

Main areas of responsibility  

• Scheduling and calendar management, as well as content and flow of information to the leadership team, board of trustees and other external stakeholders
• Inbox management including responding to and redirecting emails and other correspondence as directed.
• Liaise with leadership team and other key colleagues across the organisation.
• Manage information flow in a timely and accurate manner.
• Support the CEO/COO with travel and accommodation arrangements.
• Maintain professionalism and strict discretion and confidentiality.
• Organise and plan events, both internal and off-site on behalf of the CEO/COO
• To undertake any other tasks that would be deemed suitable within this role as directed by line management.

About you

We are seeking an enthusiastic and self-motivated individual with demonstrable knowledge of developing and implementing new policies and processes to ensure best practice in recruitment, retention and engagement.

You will have a background in HR, and ideally, experience working with or supporting volunteers or communities.

You will need to have good IT skills, with knowledge of Microsoft Office and a CRM or People Management software.

About the role

Reporting to the Head of People, and with support from the Director of Communities and Inclusion, the HR Officer for Communities and Volunteers will:

• Produce volunteer management policies, procedures and documents to ensure compliance with latest good practice guidance.
• Support staff working with volunteers and other unpaid members of the BES communities to embed best practice in the valuing of unpaid contributors.
• Develop and implement, monitor and evaluate processes for a fair and equitable system of volunteer recruitment, benefits, recognition and awards.
• Identify where the gaps lie in the EDI data of volunteers and actively seek to address these.

Reporting to: Senior Programme Officer.

Contract Type: Full time, permanent (part-time candidates will be considered, minimum four days per week, flexible working hours can be accommodated).

About this role

This role is an opportunity to participate in the global movement to protect the natural world; meeting and supporting incredible communities and organisations driving change to secure a sustainable future. You will be supporting our partners and carrying out grant administration in the Amphibian and Congo Basin Programmes, for which proficiency in both French and English is essential.

The role will be a fundamental part of Synchronicity Earth’s Programmes team (currently a team of seven people), working to help develop and grow the support we provide to our partners (grantees) across our programmes. Please note that first-stage interviews for this role will be conducted in both French and English.

Specific responsibilities will include the following:

• Manage some grantee partner relationships, including building trust and openness, identifying capacity needs, administrating grants, monitoring progress and fulfilling reporting requirements.
• Provide administrative support across the Programmes Team with grant management e.g. preparing of grant paperwork, reviewing partner reports and checklists (proposals), monitoring pipelines.
• Undertake research in focal areas for the Programmes Team, such as identifying intervention points and opportunities to make a difference in conservation.
• Contribute to communication products, including donor reports and applications, to support Synchronicity Earth’s fundraising and philanthropic goals.
• Produce and contribute to board papers and discussions.
• Update and undertake due diligence.
• Manage and maintain partner database, including data entry, preparing reports and basic analysis.
• Contribute to the development of Synchronicity Earth’s processes and systems around partner management and due diligence.

About us

Synchronicity Earth is a UK-based, global environmental charity which funds work that aims to make our planet a better place to live for all its inhabitants.

We are a medium-sized charity which supports partners working to protect less well-known species and ecosystems around the world that receive less attention but face the greatest threats. We do this through our Conservation Programmes, which identify, fund, and support organisations with a focus on: Amphibians, Asian Species, Congo Basin, Biocultural Diversity, Freshwater, and Ocean. We also support work across two other areas: the More than Carbon initiative, a portfolio of climate and biodiversity projects targeted at corporate donors; and the Synchronicity Portfolio, which aims to foster systemic change to promote a greater focus on biodiversity conservation within different sectors. Our partners are mostly organisations embedded within their local communities, and we often support work which also considers social impacts such as women’s health and empowerment, engagement with Indigenous Peoples and local communities, and sustainable livelihoods (e.g., small-scale fisheries) in addition to wildlife conservation.

Skills and experience required

Essential

• Proficient written and spoken English equivalent to C1 or C2 level.
• Proficient written and spoken French equivalent to C1 or C2 level.
• Bachelor’s degree or three or more years’ work experience in a relevant area. This could be lived experience, volunteering, or work experience related to sectors such as biodiversity conservation, social justice, environmental protection, community organizing, or engagement with political and social movements.
• Demonstrable interest in ecology, endangered species and biodiversity conservation, social justice, or community organising.
• Proven ability to produce high-quality written materials.
• Computer literacy.

Desirable

• Experience in Africa (especially lived experience in West or Central Africa).
• Some understanding of community- and rights-based approaches.
• Willingness to undertake occasional travel both within the UK and overseas.
• Desire to work across a range of conservation issues and to undertake a diverse role.

Reporting, location, and work hours

This position is a permanent full-time position that is based in the Synchronicity Earth offices in Central London, with the option for hybrid office/home working if the successful applicant wishes with 2 days a week in the office (laptop would be provided for home working). The successful candidate must be already eligible to work in the UK.

Annual leave

25 days per year for a full-time position (in addition to public holidays), adjusted for part-time. We also run an employer-supported volunteering programme, where employees may take additional time-off (2 days per annum) to volunteer for community organisations and other charities (in accordance with our policy).

About you

We are seeking an enthusiastic and self-motivated individual who is confident in being able to provide office operations and finance administrative support to the Society and to the CEO.

This is an excellent opportunity for someone interested in learning how a charity runs, with lots of scope for development.

• You will be working with a wide variety of people and you will need to be a confident communicator through phone, email, and in person.
• You will need to have good IT skills, with knowledge of Microsoft Office, and a willingness to learn our IT processes.
• You will have some previous experience in customer service or administration, and have strong attention to detail.
• You may have some finance experience, have a bachelors degree or equivalent, or have worked in a charity, however, these are not essential requirements and training will be provided in all areas of the role.

Reporting to the Head of People, and with support from the Sustainability & Finance Officer, some of the responsibilities of the Office & Finance Assistant are to:

• Be the first point of contact for visitors to our office, and administer the hello@ email.
• Provide administrative support to the Chief Executive
• Administer day-to-day financial processes and the accounts@ email, helping staff with their finance queries.
• Take minutes during key strategic meetings
• Provide administrative support in office operations
• Meet and greet visitors for business meetings, prepare meeting
  rooms where necessary, and support our in-office events.

Energise Sussex Coast is a community benefit society. Our mission is to work together to end fuel poverty and protect the environment through community led local green power & energy saving schemes.

We are looking for an energetic and creative person to organise and deliver a calendar of engaging and inspiring energy and climate themed events and outreach activities across East Sussex. The events will cover the following themes: saving and sharing energy, insulation, solar and batteries, renewable heat, funding energy efficiency measures, creating healthy and mould-free homes etc.

You have been actively involved in climate action and engaging communities – whether campaigning, part of a volunteer group or in your own life, and you are committed to getting the information out there about the transition to zero carbon in a way that is engaging and brings communities together.

You have 2+ years of experience working on events.  You bring a proactive attitude to the role. You are confident and self driven but enjoy working in cooperation to achieve common goals and to increase your impact. You are a creative thinker with some great ideas about how to engage communities in the transition to a fossil free future and ensure that no one is left behind.

Responsibilities

- Work in collaboration with the ESC team and stakeholders to design a programme of inspiring energy and climate themed events in Hastings, Rother, Eastbourne, and Wealden, reaching a total of 1000 residents across the year.

- Create engagement opportunities for your team at the events and activities of other organisations and local groups by networking and working with the Communications and Marketing person to promote our services.

- Find interesting speakers and organisations to participate in our events.

- Create public events for our No One Left Behind project, finding new, exciting ways to engage the public in conversation about energy and climate topics.

- Manage the administration and logistics of the events, including room bookings, ticket booking processes, etc.

- Look for opportunities to invite our funder along to events and participate in the activities.

- Manage relationships with staff team and volunteer Energy Champions on local events.

- Create event plans and risk assessments for each event.

- Work with the Marketing and Communications Officer and local volunteers to plan PR and promotion of events to agreed timelines.

- Create and work to agreed budgets.

1. Educated to degree level or equivalent professional experience.

We’re looking for a Major Events Lead to coordinate and help deliver a significant event in 2025, focused on environmental recovery and holding Government to account for its record on nature.

The event will bring together the nature sector for what we hope will become an annual event, one that becomes a fixture in the political and press calendar, as well as a focal point for the environmental movement.

We’d like to find someone with experience of running major events, in a significant venue, with high-profile speakers and major political and public interest.

The Senior Grants Officer (Business Development) will join ClientEarth’s thriving and growing Business Development team. A key role for securing new grant income, the postholder will play a crucial part in the research and cultivation of potential new funder relationships, and will develop and submit winning funding proposals to trusts, foundations and institutional donors. 

They will manage their own portfolio of prospective funders, and undertake detailed prospect research into the foundation donor market whilst liaising with ClientEarth’s global teams across different programme areas and geographies. Working closely with the Business Development Manager, they will identify potential alignment with ClientEarth’s strategic priorities and inform decision-making in relation to funding opportunities. 

Meet your Manager

In this role, you will be managed by Alex Wright. A fundraiser for over 12 years, Alex previously worked for a range of national music charities and is a trustee of two arts education charities. As part of the Business Development Team at ClientEarth, he manages the cultivation of new relationships with trusts and foundations in the US and securing new grant income. Alex joined ClientEarth in 2024 and is based in our London office.

Main Duties

• Prospect research and pipeline development - Proactively undertake research to identify, qualify and prioritise new funding prospects/ opportunities to support the build of a pipeline of high quality leads to guide future fundraising efforts; 
• Business Development and Income generation  - Draft clear and compelling written fundraising materials including cases for support, funding proposals, and concept notes;
• Systems and processes - Provide timely and accurate information to the Business Development Manager on funding opportunities in their portfolio and progress with workplan, as requested, to enable accurate monitoring and reporting to the Head of Business Development;
• Understanding of ClientEarth’s programmes and funding needs 

Role requirements

• Fluent (CEFR level C2) in English 
• Experience of working in a fundraising or business development role for a charity, NGO, private or public entity; 
• Experience of drafting compelling and successful proposals for trusts, foundations and statutory institutions and securing multi-year grants, ideally at the six-figure level and above; 
• Experience of supporting the relationship development process with a new donor, from prospect research through to ask.
• Strong project management skills to lead the proposal development process to meet funder deadlines, including stakeholder management; 
• Strong alignment with ClientEarth’s values and commitment to our vision, and mission and equity, diversity and inclusion strategy objectives.

Main duties and responsibilities

Event planning (30% of work)

• Lead coordination of GRP fundraising events for various target audiences, including large panel discussions, small/medium-sized networking events
• Coordination of venue hire, panellist outreach, invitation design/distribution/follow-ups, guestlist tracking, name badge production, preparation on the day and oversight, etc
• Assistance with broader strategy for event themes, formats, locations and timeline

Donor stewardship (30% of work)

• Relationship-building with individual and corporate donors to:
• GRP’s portfolio of climate charities (portfolio funding)
• GRP’s operating costs (core funding)
• Assistance with impact report production; coordination of report distribution
• Coordination of donor thank-you notes, newsletters, webinars, feedback solicitation, etc.
• Develop comprehensive donor stewardship journey to ensure donors fully understand their impact and develop a deeper connection to GRP

Public relations (20% of work)

• Maintenance and growth of GRP’s database of journalist contacts
• Drumbeat communications with journalists, including press releases and e-alerts
• Identification of podcast, interview, and article-writing opportunities for GRP team
• Other creative engagement with media, including press events/conferences

Trust and foundations coordination (20% of work)

• Identifying, researching and engaging with potential trust and foundation core funders (for GRP’s operating costs)
• Writing and submitting persuasive grant applications and evaluation reports to GRP’s existing/potential core funders

Reporting to the Professional Development Manager, the Education Officer will assist the BES in:

• Delivery of the BES Strategy relating to all under 18 pedagogy projects, including the development of a teachers network and recruitment of champion schools as part of our “Connecting Schools to Nature” legacy project work.
• Leading on the teachers programme at the BES Summer School
• Representing the Society at key education events and maintaining an expert reputation in terms of ecological education
• Building and maintaining a mutually supportive network of partners whose goals align with the BES.
• Assisting the Professional Development Manager and Director of Communities and Inclusion in securing external funding to further the reach and impact of education work at the BES

Project Officer

About the role 

This is an exciting opportunity to join the Sustrans Behaviour Change and Engagement Team as it looks to encourage those in Harlow and the surrounding area to walk, wheel, and cycle. 

As an Active Travel Project Officer in Harlow and Gilston Town (HGGT), you will assist in the delivery of the behaviour change programme to schools, workplaces and community groups. The project will encourage and enable the community to travel sustainably and actively, through various initiatives, events and competitions. 

Your role will include duties such as the creation of materials and communications to increase the visibility of your work, delivering activities and events with a variety of people, reporting and presenting to stakeholders, and analysing surveys and other monitoring data. 

You will build and manage internal and external relationships with key people such as local community leaders, schools, businesses, local authority officers, along with all Sustrans colleagues within the region. 

This role will require travel and work at locations as necessary to undertake projects on behalf of Sustrans. 

About you 

You should have experience of planning and delivering projects, workshops or activities for a diverse audience. 

You will be experienced in developing relationships and working with a wide range of stakeholders, being able to build rapport and influence people.

We also ask that you have experience in planning effectively using multiple systems, including Microsoft packages, and processes to meet the deadlines of each project. 

You will be experienced in writing for different audiences and purposes such as reports, assemblies, promotional material, briefings etc. 

You will be skilled in being able to prioritise a complex workload.

About the role 

This is an exciting opportunity to join Sustrans as part of the Philanthropy and Partnerships team, using your skills and experience to grow the corporate partnerships programme and secure support from new corporate supporters.

As the Corporate Partnerships Senior Officer, you will lead on securing new six figure multi-year corporate partnerships. You will develop partnership proposals and deliver compelling pitches to secure the support of new corporate partners. You will manage aportfolio of corporate partnerships, providing excellent stewardship, identifying innovative ways to maintain and grow the support received annually. 

You will work closely with colleagues to maximise long-term income opportunities to support Sustrans strategic priorities.

About you 

You should have proven experience of securing six figure income from new corporate partners as well as delivering outstanding partnership stewardship to grow the portfolio of corporate partners.

Our new Development Officer will play a key role in implementing a new 3 year Trusts and Foundations and Philanthropy strategy, aiming to raise £400,000 per annum towards our total fundraising target.

We’re looking for a Policy Officer (or Senior Policy Officer) to help develop and promote environmental policy on behalf of our 82 environmental charity members.

The Government has promised to halt the decline of nature by 2030. This role is about making sure the urgent action needed to meet that pledge is delivered.

Your job will be to convene some of England’s best environmental policy experts to agree bold and effective shared policy positions. There will be lots of thinking, lots of writing, and lots of opportunities to shape shared campaigns. You will also play a key role in delivering those messages to key influencers in Government and in Parliament.

So, we’re looking for someone with a keen eye for detail, the ability to listen and negotiate, and a reasoned and convincing style of written and verbal communication.

The role is likely to focus on one of the following policy areas – access to nature; nature-based solutions; climate change; or environmental economics – but we can consider another policy focus for the right candidate.

Reporting to the Grants Manager, the main objective of the Grants Officer is to secure income for the Wildlife Trust by initiating, managing and developing a portfolio of bids and applications to a variety of funders. Responsibilities will include:

· Crafting well-written persuasive applications to grant-making trusts and foundations, local authorities, community foundations and wind and solar farm funds to secure core income for the Trust

· Researching and identifying new sources of grant funding, mapping out funder criteria, guidelines and potential to fund Trust work

· Developing relationships with new and existing funders to encourage increased support by sending regular reports, updates and invitations to events

· Working closely with administration and finance teams to ensure accurate recording of income received

· Recording all correspondence with funders on our database (Charity CRM), for which training will be provided
