Office Administrator - Donor Communications and Volunteer Liaison

Friends of the Holy Land are looking for an energetic, dedicated individual to join our fast-moving, growing charity.

Friends of the Holy Land has a small network of volunteer supporters around the country and an expanding number of financial donors. This new role will be responsible for communicating with these two communities, with a focus on preparing monthly emails to supporters, monitoring and moderating social media accounts, liaising with external partners to deliver external communications, developing donor stewardship and growing our volunteer network.

The role will also be required to help with regular office duties and will need to be familiar with all aspects of administrative support for the operational success of the charity. You will need to be comfortable working in a faith-based organisation, talking to supporters across the UK and with our partners in the Holy Land, and be competent in creating communications.

Essential Qualifications and Skills

• Office experience
• Must have strong computer skills using Microsoft office (ideally Office 365).  CRM training will be provided as necessary
• Excellent written and verbal communication and inter-personal skills
• Ability to proof-read with attention to detail
• Ability to write and design short communications, e.g. emails, posters (ideally)

This is a full time post and will be office based in an easy location with parking.

The District Administrator is the first port of call in the District office and acts as an essential point of contact for all 19 Circuits and their Churches within the District.

The District Administrator will work collaboratively with the Senior District Administrator and be proactive with good organisational skills.

The role will provide administration support in a number of areas to support the Senior District Administrator, with emails, setting up meetings, maintaining records and databases.

Main Responsibilities

• Responsible for incoming emails, telephone calls and meeting and greeting visitors.

We are seeking a dedicated and experienced operations manager to join our team. We are looking for someone who will help strengthen the foundations of our organisation, as well as help us expand our growing network of partner organisations across the UK. 

As a small charity, the role will require balancing practical tasks with strategic planning and management. Building on what has already been done, you will work directly with the CEO to help build the operational structure of Big Green Heart, and support its day-to-day operations. 

You will also facilitate the national deployment of Big Green Heart workshops across the UK, and will work with the CEO and trustees to implement the strategy needed to upscale the work of Big Green Heart.

• You will be trained as a Big Green Heart facilitator with an expectation that you may be needed to facilitate a workshop during your time at the organisation.

• You will participate in professional and networking events related to Big Green Heart’s field of intervention.

• You will support staff members, trustees and volunteers, providing guidance and training in the operations of the charity as needed.

The Role

You will be responsible for managing the production cycle from enquiry to delivery and invoicing, in a well-organised and seamless process, and for finding solutions quickly, should issues arise.

You will manage and grow customer accounts for Bible production while providing exceptional service to all stakeholders around the world, which may involve international travel.

Main responsibilities include:

· Manage turnover and associated margins on Bibles and New Testaments for the organisation and other agencies around the world. This has traditionally been in the region of £2 million and has the potential to grow

· Manage all aspects of the production cycle from enquiry, to creating product specification, supplying price and managing production, through to delivery and supplying invoice

· Ensure that all relevant processes are carried out, in particular checking and assessing credit­ worthiness of clients

· Calculate and report on appropriate royalties for designated customer accounts

· Ensure that all materials sent to suppliers meet appropriate technical standards

· Support the stock needs using supply chain methodology

· Ensure that print materials supplied are correctly licensed for the specified purpose, and that IP and copyright agreements are adhered to and protected

· Ensure all products are consistent with and conform to requirements and the Royal Charter

We are seeking an enthusiatic candidate to take overall operational management and administrative responsibility for internal and external venue bookings, principally at St George's Centre and St George's Church Leeds. With support for the Events Coordinators at other venues in Leeds for which St George's Church has responsibility (currently Holy Trinity Boar Lane and St Augustine's Wrangthorn).

Over the last 20 years, Spear has equipped more than 9,000 young people across the UK with the work-ready skills and mindset they need to succeed in employment, no matter the barriers they face.

Location: Spear Hammersmith & Fulham & Clapham Junction

Contract: Permanent, Full-time

Hours: Monday - Friday, 9.30am -5.30pm with some out-of-hours work needed for events such as our Spear Celebrations

Salary: from £30,000

In this role, you’ll be responsible for:

Strategy, vision and impact [25%]

• Be at the forefront of leading Resurgo’s ‘big picture’ vision of a transformed society, empowering churches to transform young lives
• Build and implement a strategy for developing relationships with local referral agencies to ensure effective recruitment of young people onto the Spear programme
• Oversee the reporting of the Centre outcomes and ensure the Spear Programme is delivered in line with agreed targets

Leadership, line management and training [25%]

• Lead your team with confidence; spurring them on in Resurgo’s mission; invest in a team culture of excellence, belonging and fun
• Manage and develop the Lead Coach and Graduate Coach, using a coaching approach to invest in their growth and development. This includes weekly 1:1s, performance reviews and regular feedback
• Equip your team to drive change through a data informed approach, and keep them accountable to agreed targets for the Spear Programme

Relationship management [20%]

• Manage great relationships with a variety of stakeholders, including referrers, local businesses, donors, and your Board of Trustees
• Embed into your local church; working closely with your Spear Trustees and congregation, and actively participating in their mission and events
• Partner with the Spear Trustees and assist in implementing their funding strategy by helping to build corporate and donor relationships. For example, by hosting prospective donors in the Training Room

Delivery of the Spear Programme [20%]

• Support group and 1-1 coaching with numerous 16-24-year-olds: equipping them with practical work-ready skills and resilient mindsets
• Provide guidance to the Lead Coach in the training room when dealing with behavioural and safeguarding situations and upskill coaches with consistent coaching feedback
• Use a coaching approach to engage young people in challenging conversations that will enable them to take responsibility and over significant barriers to employment

Operations [10%]

• Liaise with relevant staff regarding site operations and work to resolve any issues as soon as possible, ensuring the office and training room are safe and tidy working spaces in line with health and safety policies

• You are an active Christian, passionate about your work being a lived expression of your faith

• You have demonstrable experience in coaching, teaching or training and development, as well as being keen to develop these skills further
• You are an experienced and mature leader/line manager, or have great leadership potential, and are eager to bring out the best in your team
• You are confident building relationships with a variety of stakeholders, with effective written and verbal communication skills
• You are steady under pressure, and able to juggle competing priorities
• You are looking for a varied, hands-on role, where you won't be tied to a desk
• You are IT literate
