Broxtowe Community Projects (BCP) is a small charity (registered number 1195969) based in Beeston, Nottinghamshire. We work across the geographical borough council area of Broxtowe (NG9 and NG16 postcodes) to alleviate poverty, isolation and hardship. This is an exciting year for BCP in terms of solidifying our growth and development, and this is where you come in! We are looking for an operations manager to help oversee our existing projects as well as those in development, along with ensuring smooth day-to-day operations remain smooth. Our ops manager will support our staff, admin, and volunteer team leaders to ensure they feel supported and empowered in their roles, The role will also undertake and ensure effective monitoring and evaluation of our funded projects so that we can maintain positive relationships with our current funders and confidently seek relationships with new funders.

You will be someone who is compassionate and has a real understanding and empathy around the determinants of poverty and you will want to make a tangible difference to peoples' lives. You will be a creative thinker, with excellent data analysis skills and a high emotional intelligence. You will be confident managing multiple projects and able to maintain focus on both the day-to-day running of our core projects, such as the foodbank, as well as implementing and overseeing shorter term and one-off funded projects.

You will be confident working with people across multiple levels of the organisation, including key stakeholders, and feel empowered to make suggestions and recommendations to our board of trustees. Overall purpose of the post:
To manage the day-to-day running of this growing charity in Broxtowe and ensure its continued development, working proactively with the trustees to provide day-to-day operational coordination and implement agreed development initiatives.

To coordinate current projects, with a particular focus on the foodbank, and to establish additional services in accordance with community needs.

Principal duties:

• To promote the aims, objectives and values of BCP, primarily the development of a sustainable community.

• To provide effective supervision, management and oversight of the day to day administration of the charity, including HR/staff, maintenance of user data, arranging DBS checks and overseeing the implementation policies and procedures.

• To support and oversee the volunteer coordinator to manage a team of volunteers, providing them with ongoing training, support and opportunities.

• To support and oversee the admin assistant providing them with ongoing training and support 

• To develop and execute an effective communication strategy, creating promotional materials, press releases and maintaining the BCP Facebook and Instagram accounts.

For over 35 years Ethical Consumer (ECRA) has been the hub of the ethical consumer movement, helping consumers to shop ethically, campaigners to challenge corporate power and businesses to improve their supply chains. The role of the board is to help ECRA to meet its long term goals and to move its social purpose forward. 

Board members meet quarterly to assess and advise on the progress that ECRA is making. Meetings normally last two hours. We also hold an annual strategy session to address issues chosen by the board. Board members may attend these meetings by zoom or in person (in Manchester) at their convenience. Travel expenses can be paid. Board members are paid £125 for each meeting attended during the year.

Job purpose

This role is pivotal in ensuring the financial sustainability and integrity of LGT, developing resilient foundations for our front-line services, community development, policy and campaigns work to grow in scale and impact.

Working closely with the CEO, Project and Team Leads, you’ll lead all aspects of financial management from budgeting, accounting and compliance, financial management of grants, to reporting to the Finance Committee to support the Board of Trustees and leadership with financial planning and decision making. Finance is the core of the role, however you’ll also use your data management and organisation skills to help us maintain and develop our workflow and data management systems and processes, and oversee other core operational functions delivered by our Business Operations Administrator.

We are a small, collaborative and committed team, with ambitious plans to grow the impact of our work and to diversify and grow our income in the coming years. This key role presents an excellent opportunity to see projects through from conception to completion and to play a part in shaping how we work and what we do.  You will have responsibility for day-to-day operation of UCISA, including technical Infrastructure and systems used to deliver UCISA’s services to our members.  You will deputise on operational matters for the CEO and represent and advocate for UCISA alongside other management team colleagues.

You will be reporting directly to and working closely with UCISA’s CEO and have opportunities to develop your own skills in running an organisation in an innovative and agile way.  Ultimately, you’ll ensure our operations run smoothly and that people are productive.

The role sits within the Management Team and the post holder will deputise for the CEO alongside management colleagues.

Summary of key Terms and Conditions

Contract: Permanent Full time, Oxford based, hybrid

Hours per week: 37.5, Monday-Friday with some flexibility to support UCISA events and participate in team days

Salary: £55,000-£65,000 per year (depending on candidate experience and skill set)

Leave: 30 days annual leave & 8 Bank Holidays

Pension: Defined Contribution scheme (6.7% employer contribution, voluntary employee contribution 0-6.7%)

Global’s official charity, Global’s Make Some Noise, funds crucial grassroots projects across the UK with funding and development support, with the aim to make sure that nobody is left facing life’s toughest challenges alone. We raise funds and awareness of the biggest issues affecting society, harnessing the power and reach of over 26.6 million weekly listeners across Global’s radio brands including Capital, Heart, Classic FM, Smooth, LBC, Radio X, Capital XTRA and Gold. To date, we've raised over £35m for over 440 UK charities and supported over 200,000 lives in communities right across the UK.

With plans for innovative grant-making in 2024 and beyond, we empower small charities nationwide, led by a dedicated team of 20 individuals based in London's Leicester Square office.

Join us during this crucial phase of the charity's expansion as we enter a thrilling new chapter. This new position will be a critical role in the charity as we enter a new decade with an exciting opportunity to help shape our future growth.  The role will work across the entire charity, and at every level of the organisation, providing an excellent opportunity to get involved across all aspects of our operations.  The role will work closely with our Trustee Board and Charity Director, supporting with diary management, governance support, minute-taking and taking forward key actions. 

Additionally, the role will support team members across the organisation, whether that’s answering supporter calls, helping find the best venue for charity filming or helping process those valuable and generous donations.  The role will be supported to take on a broad remit of tasks, balancing time and priorities, and supporting the charity to maximise its impact with UK Communities.

• Embedded yourself within the team, busily organising diaries and keeping things ticking along smoothly.

Responsibilities of the role

Co-ordinator – 70%

Day-to-day support across the charity including, but not limited to:

• Providing personal assistant support to the Director of the charity

• Support wider team with meeting bookings, arranging travel, charity guests, booking rooms etc.

• Support internal communications, ensuring good information dissemination and management.

• Improve internal onboarding processes, hold ownership over key GMSN starter assets (e.g. Organigram, joiners handbook)

• Look after shared email inboxes, ensuring all queries have an appropriate response in a timely manner.

• Support the team with basic finance reporting and updating trackers, including setting up and maintenance of a variety of fundraising platforms.

• Posting out materials and prizes, and hold ownership over the organisation of stock and materials in the storeroom.

• Liaising with charity supporters via email, phone and at Global, including the support line.

• Provide cover to the Finance and Grants Assistant in periods of absence (training will be provided)

• Support with fundraising and events teams in busy periods.

• Complete any ad-hoc tasks, as required.

Governance – 30%

• Co-ordinate diary entries for quarterly Trustee and Finance Committee meetings, prepare Board packs, attend meetings, take minutes and ensure minutes are distributed in a timely fashion.

• Ensure all Trustees are stewarded, inducted and supported in their role with the charity.

• Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

• Ensure collection of annual related parties records and ensure all documentation is filed electronically.

• Collate monthly quarterly Global Board updates, liaising closely with SMT.

The ideal candidate will be proactive, efficient and capable of the following:

Essential Experience

• Strong A-Level results (or equivalent) and/ or relevant degree / or relevant experience

• A passion for working with charities.

• Great interpersonal and relationship-building skills

• Strong attention to detail and accuracy in your work

• Good time management and ability to work with tight deadlines.

• Excellent organisation skills with adaptability and ability to use your initiative.

• Experience in administration or other relevant work, such as taking minutes or working with a Board/senior team.

• A confident communicator, with experience of supporting senior stakeholders.
