About the role
As our Senior Finance & Operations Officer, you will be at the heart of our organisation’s success. Working closely with the Director, Finance and Operations, you will help to manage financial processes, streamline operations, and ensure both our UK and EU teams are properly resourced to drive our mission forward. You will interact daily with a broad range of stakeholders in the UK and the EU including senior level staff, external consultants and suppliers in the while also working closely with Finance, HR & IT colleagues in the US.
Key responsibilities
Financial Management (30%)
- Support on day-to-day financial activities including financial reporting, accounts payable and accounts receivable.
- Develop and implement best practices to optimise operational efficiency and effectiveness.
- Collaborate with the team to develop and monitor project budgets.
- Support decision-making through insightful financial analysis.
Operational Support (40%)
- Be the first point of contact for all enquiries from the campaigns and fundraising teams in the UK and EU.
Contracts Lifecycle Management (30%)
- Oversee the lifecycle of all supplier contracts: creation, submission and signing. (Legal contract knowledge is not required.)

You will be a dynamic individual with a can-do attitude who has a proven track record of juggling competing priorities and meeting deadlines in a fast-paced environment. The role is varied and has a significant financial element so strong numeracy skills, a solid knowledge of financial management principles paired with good communications skills are important. This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. To fulfil this mission, the Circuit fosters a broad spectrum of ministry within its congregations, focusing on worship but also engaging in outreach to the homeless, asylum seekers, new parents, and various other groups. A medium sized health education charity is seeking a Finance Officer on a full-time, permanent basis.
The organisation is an established charity that provides information and guidance on various aspects of veganism. Services range from general advice on vegan lifestyle – diet, travel, shopping etc, campaigning activities, additional services to charity members, and the certification and labelling of products based on their internationally recognised Vegan Trademark.
The organisation has around 65 staff with a turnover of around £4 million annually. Their central offices are in Birmingham, however this role can be taken on almost exclusively remotely – it is anticipated that there will be approximately 6 journeys per year required either to the Birmingham office or another mutually agreeable location – for staff events and meetings.
The role sits within a small finance team of 3, and will be highly varied covering most aspects of transactional finance. The starting salary is between £29,413 - £31,508, however they have regular salary reviews and growth in the role is possible. They also have an excellent benefits package including a pension scheme, employee assistance programme, 28 days leave + bank holidays, plus additional leave available as part of a sustainable transportation climate perks policy.
The ideal candidate will be AAT part-qualified with experience in a similar Finance Officer level role. Exposure to double-entry bookkeeping and an understanding of charity finance would be an advantage. Experience with Sage accounting is also useful. The organisation is a flexible employer and although the role is ultimately permanent they welcome applicants wishing to be considered on a part-time basis as part of a job share, and will also consider candidates on a shorter term fixed term contract basis if this is preferable to a permanent contract initially.

Responsibilities of the role
Finance – approx. 40%
Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.

Set up weekly payment runs for approval by the Head of Finance.

Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

Complete month end tasks, enabling to the Head of Finance to close the month, including selected balance sheet reconciliations.

Keep Gift Aid records up-to-date and assist the Head of Finance with the preparation of Gift Aid claims.

Job Purpose
To manage the day-to-day accounting and financial tasks, ensuring accurate recording of financial transactions, and providing support in the preparation of financial reports. This includes processing of both purchase and sales invoices and the reconciliation of the books of prime entry. You will assist senior members of the finance team at month end and year end.
Main Duties
1. Go through relevant financial procedures as necessary with new staff.
2. Set up and train new starters on the purchase order system.
3. Review and post all monthly petty cash and prepaid card returns per the management accounts timetable.
4. Maintain the Purchase Ledger making any changes necessary such as name and bank details with the necessary correct documentation.
