We are looking for an enthusiastic, dynamic and efficient Office and Front of House Manager to join our Resources team.  You will line manage the Receptionist / Administrator and work with them as a team to ensure that the office works, and staff and visitors have the environment and equipment they need.   

This is a varied role working with a wide range of team members, partners and stakeholders from many different backgrounds, professions and levels of seniority.  . We are looking for someone who is proactive, solutions focused, relates easily to others and is excited about enabling a highly motivated team to do their best work.

£33,000 - £38,000 p.a depending on experience

Reporting to: 

Head of Business Management   

The team: 

You will be part of the Business Management team that looks after the office, facilities and administration support for the organisation.     



  • Ensure that the office environment is comfortable and fit for purpose.   

  • Line Management of the Receptionist / Administrator 

  • Ensure a high quality of office services and act as liaison point for fault reporting and office improvements as required.  

  • Work as a team with other front of house staff to ensure reception is covered at all times and a high quality service is provided to Foundation staff and visitors, including that events are supported appropriately and that all are made to feel welcome. 

  • Responsible for Health and Safety for the office and ensure that the environment is safe, risk assessments and procedures are reviewed regularly and safety testing is carried out when required.  

  • Liaise with the building management agents to report faults and issues and ensure these are resolved appropriately.  

  • Negotiation and liaison with the cleaning company and other external contractors as necessary 

  • Lead on issues related to DSE including coordinating assessments for the whole staff team and undertaking more detailed assessments as needed  

  • Be able to troubleshoot common IT issues in the office and assist the staff team with these as they arise.  

  • Ensure all equipment, including meeting room AV, is functioning and in good working order within each meeting room; ensure any faults are promptly reported and escalated as required - 

  • With the IT Manager, make sure technical equipment in the office is working and fit for the requirements of the Foundation.  

  • With the IT Manager, support the whole staff team in using the IT systems and technology well.  

  • In conjunction with others, support the whole staff team in hybrid best practice, how to facilitate good hybrid meetings and practical things to bear in mind 

  • Lead office related projects such as moving archive documents to new storage facilities 

  • Management of any off site storage or meeting facilities.  



Person Specification 

What we’re looking for 

Skills and experience:

  • Strong time-management skills and the ability to organise and coordinate multiple projects at once  

  • A strong customer focus and experience of working in a customer facing role  

  • Strong IT skills, both with software and hardware 

  • Excellent relationship building skills and inclusive behaviours 

  • Experience of line management, including motivating and developing people 

  • Experience of dealing with external suppliers and contractors and getting the best from them  

  • Experience of managing Health and Safety issues and knowledge of legislation and requirements, including DSE 

  • Experience of identifying and implementing improvement  

  • Superb written and verbal communication skills 

  • Event management / support skills (desirable)

  • Ability to solve problems under pressure 

  • Attention to detail 

  • The ability to trouble shoot technology issues and support people with issues 

  • Ability to plan ahead, anticipating issues before they arise 

  • Ability to change priorities whilst remaining calm and focussed

Although this is a full job, we are open to part time applications, job shares, and flexible options such as compressed hours.  We do not think it would be possible to complete this role in less than 0.8 fte (1 fte = 37.5 hours per week) .    


We operate a flexible and hybrid approach at the Foundation, however as this role is responsible for the office and supporting the staff team while they are in the office, we do expect that the majority of time will be spent on site.
