Proactively assist in the diary management of the Director in the most efficient manner possible, optimising their time on a daily basis.
Proactively assist the Director and the various Heads of the Fundraising and Communications Department in the fulfilment of routine secretarial and administrative requests.
To be the first point of contact for the Director and the wider department, as required
Manage and develop effective filing systems for storage, archiving in line with departmental needs and GDPR regulations
Manage travel arrangements for the Director and Heads of Department
Assisting in arranging meetings with international colleagues, both via video conference and in person
Managing the logistics of internal and external events where require
Management of Fundraising and Communications information on internal systems including Alfresco and IMS
Providing ad hoc financial support to the department including raising and monitoring POs and processing incoming invoices
Proven experience of developing and implementing efficient systems within a team
Experience of working in a fast paced environment
A proven track record of supporting a Director/Team under time pressure and an ability to deliver results
Experience of supporting budget planning and management
Ability to draft clear and concise reports ?
Ability to work on own initiative and as part of the team
