The purpose of this role is to provide efficient and comprehensive administrative support to the joint directors of development and engagement (D&E), and director of policy and strategy (P&S). This would be an ideal role for a well-organised and enthusiastic candidate who is looking for the next step in their business administration career. The post-holder will also work closely with colleagues in the chair’s, chief executive’s, deputy chief executive’s and other directors’ offices, and will be a key member of a busy, but collaborative, executive support team (EST).
The director of D&E and the director of policy and strategy work across the organisation and with multiple external stakeholders to forward the work of NHS Providers on behalf of our members. The post-holder must be a team player with an ability to work flexibly across the organisation, prioritising and managing their own workload amid conflicting demands and busy work periods. Excellent judgement and discretion, and an ability to promote a positive image to both internal and external stakeholders, are essential.

As the High Value Fundraising Coordinator, you will play a crucial role in supporting our high value fundraising activities across the Philanthropy, Corporate, and Community teams. Your focus will primarily be on supporting the Philanthropy team, ensuring seamless administrative processes and enabling our fundraising efforts to thrive.
Key responsibilities include:
- Administrative Support: Provide essential administrative and office management assistance to the Philanthropy team. This includes tasks like booking travel, processing invoices, and leading monthly expense reconciliation.
- Director Support: Be the right hand to our Director of Philanthropy, managing their diary, organising meetings, and handling travel arrangements.
- Donor Records Management: Maintain accurate and up-to-date donor records on our CRM system, meticulously tracking attachments, meeting notes, and research information.
- Gift Administration: Take the lead on gift administration, managing the donation log, income batching, and monthly reconciliation. Be the primary point of contact for gift-related inquiries.
- Philanthropic Reporting and Fundraising Support: Collaborate with the fundraising team to ensure accurate reporting on philanthropic income. Promptly thank donors and assist with fundraising activities.
Working arrangements
This is a blended role, where your work will be dual located between your home and our London Office (NW1 7AW).
At the BHF we believe in the power of being together, so our colleagues on blended contracts can expect to spend some time in their office, at least one day each week, on average.
The use of our office spaces is driven in part by your role and the activities you need to do. This may vary from time to time, so you will need to work in a flexible way to unlock your best work for our cause.

Membership
- Sending renewal notices – email and letter
- Processing renewal payments using Xero
- Updating membership records using CiviCRM
- Preparing and submitting the Gift Aid claim monthly
- Answering membership email queries
- Preparing and sending out new member packs
General
- Helping at events
- Processing book orders when needed
- Managing stationery and supplies
- General office support
Skills and experience required
- Data processing experience and aptitude
- Excellent attention to detail
- Excellent organisational skills
- Experienced and confident in Excel or similar
- Good communication skills - both written and oral
Personal characteristics required
- Ability to work independently
- A motivated self-starter
- Comfortable working with a small team in a small office
Desirable but not essential
- Educated to degree level or similar
- Book keeping or accounting experience
- Familiarity with Xero and CRM systems
- Having an understanding of or interest in infertility and/or families created with help of some kind (eg adoption/IVF/donor conception)

Base - Based at Recreation Club on Fleet Road, NW3 2QG by the Royal Free Hospital
Salary - £22,800 per annum, pro-rata- subject to skills and experience
The role
The Receptionist will report to the duty manager(s) with a dotted line reporting to the assistant director of innovation.
The role will require managing the front desk and will include greeting visitors, answering the phones, handling financial transactions, members’ accounts, day-to-day bookings, prospective members’ inquiries and providing general administration support to provide a smooth running of the reception area. This is an exciting opportunity for someone who enjoys interacting with people and has strong organisational skills.

The Recreation Club of the Royal Free Hospital was established over 40 years ago and provides a fitness and leisure club to the public, local community, and hospital staff. The club plays host to a state-of-the-art gym, two fitness studios, a swimming pool and sports hall.

RFC Recreation Club: The aim of The Rec Club
- The Rec Club is responsible for providing a safe and welcoming environment for our club users, alongwith facilitating schools, groups, clubs, and Royal Free outpatients/ rehabilitation discharged patients, for their health and fitness sessions in one of the many areas of the club.
- The club has 2 studios, a swimming pool, a sports hall, and a gym, all of which are used daily by our members and the local community with a footfall of around 1000 people per day.
Receptionist Job Purpose and Key Responsibilities
- Greet and welcome visitors in a professional and courteous manner.
- Answer phone calls
- Schedule bookings for prospective and existing clients
- Oversee the club's booking system including updating and maintaining member records, taking payments for membership & usage of the club’s facilities, processing and issuing new membership applications and collecting insurance information.
- Maintain a tidy and presentable reception area.
- Receive and distribute incoming mail and deliveries.
- Provide general administrative support, including photocopying and filing.
- Assist with scheduling appointments and coordinating meetings for the club manager.
- Update and maintain club records and databases.
- Provide information on club fees, packages, and offers.
- Handle inquiries from visitors and provide accurate information.
- Collaborate with other team members to ensure efficient reception operations
Customer Service / Quality
- Provide a warm welcome and work with the team to continually improve the overall member experience.
- Provide an informative general induction for new club members.
- Direct any customer complaints to the appropriate person.
- Direct any questions about services or club equipment to the appropriate person.
People
- Communicate performance standards and expectations, in a way that motivates your fellow club members.

Person Specification
Qualifications, Experience, Skills & Knowledge
Qualifications
- CSE/GCSE in Maths and English or equivalent
- First aid/defibrillator qualified (desirable)
Experience
- A minimum of 1-year’s previous experience in working in the fitness/hospitality/ front of house industry as a receptionist or in a similar role
- Previous experience working with the public.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Previous experience of working in a multicultural environment
- Desirable to have database system user experience and/or sales and marketing experience.
Skills and Knowledge
- To have excellent communication skills both verbal and written
- Excellent interpersonal skills and ability to proactively build relationships and networks.
