As the charity grows and develops, we are keen to strengthen our infrastructure and are now seeking an experienced Human Resources Manager to join our team.

Reporting to the Head of Operations, the Human Resources Manager will lead on and support the smooth running of the HR function and the management of effective and confidential systems and processes to deliver day to day HR services. 

They will manage the employee journey through all stages of the work cycle from recruitment, retention, development, performance and wellness to departure and act as first point of contact for HR related queries. They will also play an integral part in supporting staff and inputting into strategies that focus on wellbeing, equality, diversity and inclusion, reward and recognition, and learning and development, and ensure employees across the organisation have the skills, resilience and resources they need to carry out their work.

The Human Resources Manager will ensure the charity remains compliant with employment law, other relevant legislation and best practice and will seeks the continuous improvement of Human Resources systems, policies and procedures.

Job Purpose:

This is an exciting opportunity to be at the heart of the Charity operations. This role is the first point of contact for supporters and requires outstanding customer care/ donor stewardship skills. The post holder is expected to foster excellent working relationships with all members of the Charity team, donors – both existing and potential – and Trust staff. This role will provide support to the fundraising team and with HR processing for the Charity, whilst also supporting with our hospital and online shop.  

Main Duties/Tasks

Fundraising & Office duties

Undertake day to day administrative tasks as directed by the Fundraising & People Team Leader and Senior Team, including the preparation of letters, reports and memos, ensuring the work is of a high standard, professional and accurate. Adhering to sensitive information protocols and keeping sensitive information confidential.

Deal with all incoming telephone enquiries in a professional and helpful capacity and direct all incoming calls correctly and take accurate messages. Adhere to any confidential or sensitive information protocols.

Contribute to the efficient running of the public Charity office by receiving all donors and visitors in a welcoming and friendly manner.

Provide excellent customer care/ donor stewardship in all interactions with donors.

Manage the mail, ensuring it is opened, distributed and any donor correspondence is responded to in a timely manner.

Process donations in line with established receipting procedures.

Adhere to audit procedures and liaise with the Charity’s auditors.

Carrying out filing in line with office procedures and ensuring the safe storage and archiving of documents/records on a regular basis.

Provide support to the senior management team, including organising and scheduling meetings and room bookings.

Undertake banking procedures and ensure donations are accurately recorded and banked.  

Hospital & Online Shop

Process online orders for the shop in a timely manner.

Run regular reports for the Fundraising & People Team Leader relating to online sales.

Support the management of the online and hospital shop, ensuring they are stocked, and products are displayed in the best way.

Provide good customer service within the shop inside the hospital Atrium.

Cash up the till, ensuring sales are correctly recorded and takings are passed through for banking.  

Database support

Process donations on the CRM database, liaising with fundraising teams to ensure this is recorded correctly, including from online platforms.

Produce analytical reports from the fundraising database system, for audit purposes.

HR support

Provide HR administrative support within the areas of:

· Recruitment, including coordinating the recruitment process and the induction of new starters;

· Ensuring all staff have a DBS in line with the Trust requirements;

· Administration of staff annual leave allowance and absence reporting;

· Creating staff correspondence letters, including pay award, furlough or other required communication; and

· Attending and minuting HR meetings where required.

Other Duties

Be an outstanding advocate for Alder Hey Children’s Charity in line with the core values of the organisation.

Be an active and supportive member of the Alder Hey Children’s Charity team, contributing to the team’s development and working collaboratively with colleagues and volunteers. Attend and support on events run by the fundraising teams where required.

The charity is currently conducting a four-day working week trial, due to end on 30th September 2024. Responsibilities include:

Leadership, Strategy and Governance

• Act as the system administrator and manage admin functions including assigning new users, creating reports, dashboards, surveys, application forms etc;

• Onboard and train new users, and grow the level of expertise among the core team;

• Implement custom features when new work streams/programmes are set up and as organisational needs grow;

• Oversee support partnerships with external technical support and training providers.

Venue Management 
MIH has a part-time Venue Manager who is responsible for the general upkeep and maintenance of the ‘Liberty Hall’ kitchen venue. The Head of Operations  will oversee them and support key areas of venue management in the following ways:

• Manage relationship with venue partner ‘Clapton Commons’ to ensure key services of venue are running smoothly and represent MIH in oversight committee meetings; 

• Ensure venue and office equipment is safe to use and repaired/replaced/PAT tested on time;

• Ensure the venue meets the latest Health & Safety requirements, Fire Safety Standards and is fully accessible;

• Support acquisition of new kitchen equipment when required, such as ovens, hobs etc either from a donated source or purchased from a supplier;

Finance

• Organise quarterly budget meetings between the core delivery team and Finance Manager to review budget and expenditure; 

• Ensure the finance team understands the requirements and deadlines of board meetings and provide reminders to them for preparing the required financial reporting.

Line Management

• Line management responsibility for 3 direct reports, creating a supportive environment for growth and development

Purpose of This Role:

This is a pivotal role to support NASP’s strategic aims to promote and spread social prescribing at a local, national, and international level.

The purpose of this role is to provide operational support and act as point of contact for the organisation’s Finance and People functions, as well as providing Programme support across the organisation, ensuring smooth running and continual improvement of NASP’s processes.

Finance

• Act as first point of contact for Finance enquiries, both internally and externally
• Manage the Finance mailbox, ensuring queries are dealt with efficiently

The Role 
 
As our Supporter Engagement Assistant, you will join our Fundraising Team to help us build strong and lasting relationships with our charity's supporters and donors.  

Reporting to the Supporter Engagement Officer, you will deliver excellent customer service over the telephone, in written (email and postal) communications and face to face and ensure that supporters' details are accurately recorded on the CRM database. You will be representing the charity, explaining its purpose, and demonstrating our charity values to donors/supporters, showing appropriate empathy to those who may have cancer or a family member/friend who does.  

This role provides a great opportunity to make a real difference to the people of Yorkshire and requires someone with a friendly manner, good team-working skills, great customer service and excellent organisational skills.  
 

Specifically, you will: 

• Ensure supporter communications are accurate, timely and appropriate to the recipient. This includes following the relevant pathways to process donations, record legacy pledges, update key information so that the communication is tailored and relevant to the individual supporter. 

• Update supporter records on our database to reflect changes in marketing permissions, personal details, the charity's relationship with the supporter (e.g. Volunteer/ Donor/ Brand Ambassador etc.) and any communications had between the supporter & the charity. 

• Use the CRM System to run supplied data queries to deliver campaigns (e.g. using Mail Merge) and to create and deliver supporter communications, this includes printing and posting letters and sending emails, making updates to supporter records and fulfilling requests for information. 

• Work alongside the Supporter Engagement Officer & Individual Giving Manager to improve the initial welcome for newly acquired regular donors and the onwards stewardship journey for all supporters. Conducting research and contributing ideas to improve the supporter journeys and implementing these processes independently. 

• Undertake other duties and take on a lead role in supporting projects relevant to the purpose of the role as requested by members of the CRM, Marketing, Fundraising or Research & Services teams. 

• Monitor inbound emails to the charity in the supporter care inbox, forwarding to the relevant colleague (if unable to provide a response) or responding and actioning. 

• Monitor incoming calls to the charity through the supporter engagement number, forwarding to the relevant colleague (if unable to provide a response) or responding and actioning. 

 
About You 

To be considered for this role, you will need: 

• To have a qualification in a relevant discipline and/or proven experience working in a similar role, such as customer service. 

• To have evidence of continued professional development relevant to the role purpose and level. 

• To have customer service experience in a similar or related role (e.g. telephony/ databases/ office). 

• To have high computer literacy with comprehensive knowledge of Microsoft Office applications, especially Word, Excel and Outlook.
