Job description

The Volunteering Development Officer will help support the Museums volunteering strategy to increase volunteering opportunities and ensure our volunteers have a meaningful and enjoyable experience. You will be responsible for creating and help deliver a volunteering strategy for the collection that responds to need, adapts to the changing trends in volunteering, and maximises opportunities for volunteers. The post will also involve creating a training programme to upskill the volunteer body and implementing health & safety for the volunteer staff. A key part of the role will be working with other staff members to aid increased recruitment and retention of new volunteer. The role will be responsible to the fairground controller on all fairground training matters and will involve regular weekend/evening work.


Key Responsibilities

In line with the museums priorities and strategy, provide specialist advice and a strategic overview of volunteering within the collection. Work with the rest of the team to create and help deliver a plan for volunteer engagement, helping increase our volunteering base and provide meaningful volunteer roles. Inspire volunteer engagement internally, influence best practice and ensure joined up working. 

Support other team members to develop opportunities for volunteering at the collection. Provide adviceand support for funded projects and actively develop the volunteering elements of project plans. Build relationships with other volunteering organisations where partnerships are appropriate/offer mutual benefit. Be the liaison between staff and trustees to ensure volunteers are getting the support they need and that new opportunities are being acitvely recruited.


Volunteer management  support:

To build and nurture relationships with volunteers and take responsibility for the quality of experience volunteers receive. Carry out quality inductions for all volunteers and support staff with coordination of task specific training for volunteers. Support the management of volunteers by being an additional point of contact for them, providing ongoing and relevant communications and support to volunteers, ensuring beset practice in volunteer management and supporting staff with any issues they have. Providing additional check to the fulfilment of Health & Safety training obligations. Ensure that all volunteers have all of the information to perform their roles effectively. 


The volunteer support journey:

Conduct an annual audit, frequent checks, and provide support to staff to ensure that the data we hold of all the volunteers in the museum including, changes to phone numbers, hours, roles as well as evaluation of the volunteer experience. Monitor the quality and quantity of volunteering carried on the site including, changes to numbers of volunteers, hours and roles as well as evaluation of the volunteer experience. This role will be directly responsible for keeping up to date records of all the collections volunteers.

Minimum Requirements - Essential

Proven, hands-on experience with volunteers including recruiting, training and managing volunteers with positive outcomes. 

Clear understanding of the benefits of volunteering for an individual and an organisation.

Sound knowledge of best practice  in relation to volunteer recruitment and management. 

Experience of organising and running events, including training events.

Experience of establishing and maintaining monitoring and evaluation systems.

Some knowledge and understanding of the issues relating to volunteering and the law.

Some budget management experience.


Qualities & Skills

Excellent interpersonal skills and ability building strong collaborative working relationships.

Strong written and verbal communication skills with experience of communicating with audiences in memorable ways, talking passionately about the benefits of volunteering and inspiring volunteers of different abilities to get involved.

Ability to recognise and build on new opportunities for the effective involvement of volunteers. 

Ability to analyse problems and implement improved solutions.

Self aware, willing to learn and develop your own skills and help develop those around you.

Self motivated and flexible, able to plan, organise & deliver activity, on time and to budget and help others do the same.

A team player with a "can do" approach, able to work independently and remotely.

A full UK driving licence with access to own vehicle and/or the ability to undertake travel across a wide area.
