The basics:

  • Salary: £40,628-£43,229, depending on experience

  • Contract: Permanent, 0.8-1 full time equivalent. Unfortunately applications for job sharing this role cannot be considered

About the role 

Possible exists to inspire people in the UK to take courageous climate action for a rapid zero-carbon transition. We are a growing team of about twenty people based (in normal times) in an office in Camden, north London - with colleagues also working from Bristol, Aberystwyth, Birmingham and Leeds.

As a quickly growing team, we’re in need of someone who loves a challenge, and knows how to make organisations hum. With no time to waste in tackling the climate crisis head on we’re an active, positive team - and always coming up with new ideas. We need to make sure everything we do is underpinned by a smooth running, accountable and efficient organisation so we can have maximum impact - and have fun doing it. That’s where you come in.

We need someone to take an operational lead, assuming a birds eye view over all of our activities and our infrastructure - and ensuring we put into practice the principles and processes we’ve collectively agreed.

From ensuring excellent recruitment practice, to improving staff care and development, to helping build an anti-oppression strategy - this role is all about making Possible an exceptional place to work, and an organisation with impact.

You’ll work in a small team, managing a part time office administrator who will support you and other staff members on key tasks, and have the opportunity to interact with all areas of Possible’s work. If this sounds like something you could get along with - we want to hear from you.

Key responsibilities

  • HR and staffing

    • Oversee all recruitment and staff contracts and ensure recruiting managers are supported through recruitment processes to find high quality and diverse candidates.

    • Ensure staff induction processes are up to date, adequate and followed - and support line managers to do so.

    • Ensure our staff management & review processes are fit for purpose, update where necessary, and support managers to deliver successfully.

    • Ensure holiday and other absences tracking is kept up to date.

    • Support senior management in tracking and assessing staff capacity and resource management.

    • Support senior management in ensuring staff mental health and employee assistance programmes are implemented and monitored

    • Line management of an office administrator to support you and other staff members’ operational tasks.

    • Ensure management of employee’s and trustees’ personal data according to best practice.

  • Governance

    • Support the senior leadership team to schedule and organise quarterly board meetings, oversee minute taking

    • Support senior leadership to schedule and organise regular all-staff meetings, management team meetings.

  • Training and development

    • Help to monitor and inform individual and team training priorities, in conjunction with line managers and team leaders, and manage the training budget.

    • Support, and where necessary lead on coordinating, organisation-wide development processes.

    • Support staff members to develop programmes for and organise two staff away days every 12 months

  • Policies and process

    • In conjunction with senior management, ensure that internal policy and process is fit for purpose, up to date, responsive to staff needs and accessible.

    • Oversee internal comms processes, including email, Slack and google calendars and ensure that the team  abide by agreed systems and etiquette

    • Ensure our staff digital internal staff handbook is kept up to date and accessible

  • Office, facilities & IT management

    • Ensure appropriate office management, and ensure our office is compliant with wider relevant health and safety regulations

    • Lead on coordinating and tendering for any physical office improvements, or required office repairs and maintenance

    • Act as a point of contact for external contractors, service providers and utilities

    • Ensure all staff have adequate IT resources to be able to fulfil their roles, and that staff have appropriate tools to be able to work safely and effectively from home if required.

    • Ensure our organisation-wide online filing system is updated and managed, to ensure all staff have easy access to relevant files - and are storing files appropriately for others.

  • Project support

    • Ensure project managers complete project and action reviews, and that review templates are fit for purpose

    • Support our head of fundraising and director of campaigns in implementing organisation-wide monitoring and evaluation processes 

    • Work with project leads to prepare, review and sign off contracts, MoUs, Heads of Terms, service agreements etc with external project partners.

About you:

To make our shortlist, you’ll need:

  • Excellent organisational skills

  • Excellent people skills, the ability to work well with a wide variety of personalities

  • Experience of developing and maintaining high quality internal charity process

  • Experience of, and passion for, excellent recruitment practice and supporting staff and team development

  • Good written and verbal communication skills, and familiarity with online shared working platforms - e.g. GoogleDrive

  • Ability to work on own initiative to solve problems and prioritise workload; a ‘can do’ approach and a willingness to muck in.

  • Passion for helping build progressive, diverse and supportive working cultures

If wouldn’t hurt if you had some of this too (but don’t worry if you don’t)

  • Experience of HR processes, line management of junior staff, and approaches to organisation-wide staff resource management. 

  • Demonstrable commitment to Possible’s positive approach to climate campaigning and a passion for achieving climate justice.

  • Enthusiasm for challenging traditional power structures and working in horizontal / non hierarchical ways. 

  • Experience of, and passion for, approaches for diversifying organisations, in line with our commitment to environmental justice.
