ROLE DESCRIPTION

Role Title: Volunteer Coordinator

Location: In field (Samos, Greece)

Reporting to: Emergency Response Manager / CEO

Hours: 36-40 hours a week / 5.5 days a week 

Salary: £600 stipend with paid accommodation

Duration: Minimum 6 months, Maximum 12 months

PURPOSE OF THE ROLE

The purpose of your role will be to manage elements of volunteer coordination on behalf of the partner organisations for which you are recruiting volunteers for. You will be assessing and meeting an organisation's needs through the placement and retention of volunteers. You will be managing volunteers and their communication with partner organisations we connect them with.

As a volunteer coordinator based in the field, you will be expected to hit the ground running to develop and sustain relationships with the 45 plus partner organisations supported by Indigo across Greece, Serbia, Bosnia, France, Turkey and Lebanon.

You will be expected to be an ambassador for Indigo, promoting a happy, healthy and helpful volunteer experience for all. You will need to have a good understanding of the refugee crisis in this area and be able to signpost volunteers to key information and organisations. 

 

KEY AREAS OF RESPONSIBILITY

Volunteer Coordination 

  • Manage main inbox

  • Understand the volunteer needs of our partner organisations

  • Using the CRM system (Salesforce), appropriately review, propose and connect volunteers with partner organisations according to their volunteer needs and requirements

  • Follow up with the volunteer and project to understand the outcome and detail of the placement 

  • Maintain databases, keeping them manageable and up to date

  • Manage specific folders in the inbox as well as any other administrative duties relevant to the role 

Partner support 

  • Consult with partner organisations to support them in  raising the standards of professionalism and volunteer placements and other ad hoc needs 

  • Promote and sign-post coordinators and volunteers to psycho-social support 

  • Build and maintain relationships with grassroots project coordinators and the wider volunteer community

  • Seek and share opportunities and resources available to partner organisations regarding scope of work, welfare, capacity building, resources etc 

  • Meet with projects where possible to establish good working relationships 

  • Seek and onboard new partner organisations 

  • Work towards completing project assessment process with already supported projects who have not undergone the assessment yet 

  • Identify possible trainers and arrange workshops for volunteers and beneficiaries

Communication 

  • Ensure regular and clear external communication to volunteers and partner organisations 

  • Monthly donor reports 

  • Attend and help to facilitate any relevant meetings and/or co-working sessions 

  • Supporting the marketing team in gathering content from the field 


 

ESSENTIAL CRITERIA 

  • Being very proactive, self-driven and able to manage own time

  • Exceptional communication, organisational and planning skills  

  • Knowledge about the European migration route 

  • Adaptability in a ever changing environment and remaining calm under stress

  • Able to manage own self care and promote to other volunteers 

  • Enthusiastic about volunteering!


 

DESIRED CRITERIA 

  • Lived experience / background in migration 

  • Marketing or social media experience 

  • Field experience 

  • Full driving licence 

  • CRM system experience 

 

DELIVERABLES 

  • Monthly written report to Help Refugees and CEO 

  • Connect volunteers with partner organisations using Salesforce 

  • Implementing improvements according to the results of data analysis from Salesforce reports 

  • Send check-in email to partner organisations every other month 

  • Initially assess and onboard new projects 

  • Develop and maintain positive relationships with projects

  • Actively explore ways to develop support of projects & volunteers  

 

RESULTS REQUIRED 

  • Goals individually set with the field team
