We are looking to recruit a bilingual, French and English speaking, Grants Officer to join our dynamic team of dedicated sexual and reproductive health and rights specialists. The Grants Officer provides support to the Grants Support Team and Grants Operations Manager across a portfolio of grants, ensuring grants move efficiently and in a timely manner through the grant management cycle. The Grants Officer will be trained to become an advanced user of our online Grants Management System Fluxx and will guide and support users who are less conversant with the system. The Grants Officers also support operational management of the fund with the development and maintenance of efficient operating and reporting procedures. 

AmplifyChange is a bi-lingual fund. Due to the current team composition, fluency in French is required, as the postholder will support our Francophone grantees, who are based across West-Africa and occasionally the Middle East and North Africa (MENA) region.

The role is a Bath-based position and will work closely with team members in the UK and overseas, including our Grants Support Team, our Finance Team and our Fiduciary Risk Team.

MAIN RESPONSIBILITIES

• Using our online Grants Management System Fluxx, oversee a portfolio of grants through a grant implementation process from grant set up through to grant closure, ensuring compliance with internal procedures
• Act as the operational focal person for grantees and provide support throughout the grant cycle on contractual, operational and reporting matters, drawing on and coordinating expertise from the Grants Managers and Fiduciary Risk Team (FRT)
• Provide support in the preparation and implementation of new grant calls, and support the selection and Due Diligence process when necessary, responding to all applicants whether successful or unsuccessful
• Regularly monitor the completion of pre-contracting conditions by grantees, and obtain appropriate sign-off internally
• Coordinate, draft and issue Grant Agreements and Addendums using our online system
• Provide regular and up-to-date information to operational management by tracking and monitoring grants, and sharing best practice and lessons learned across the portfolio of grants with other staff members and stakeholder
• Track grantee reporting deadlines, supporting timely report submission by grantees
• Monitor grantee disbursements in collaboration with the Fiduciary Risk and Finance teams
• Support team members, grantees and external consultants to be confident users of the grant management system

PERSON SPECIFICATION

REPORTING AND ORGANISATION

This is a UK based, full time (37.5 hours/week) permanent position, reporting to the Grants Operations Manager. AmplifyChange is based in Bath, and we operate on a hybrid working model. We are seeking a skilled and dedicated individuals to join our fundraising team as a Trusts and Foundations Fundraising Officer. In this role, you will play a vital role in researching and applying to grant applications in order to help the team raise as much funding as possible to support people experiencing homelessness across London.

About the role:

As the Trusts and Foundations Fundraising Officer, you will be responsible for maximising income from Trusts and Foundations in order to support SHP’s charitable activities. Working closely with the Head of Fundraising and alongside the fundraising team, you will contribute towards the delivery of achieving SHP's overarching vision of a society where everyone has a place to call home and the chance to live a fulfilling life.

In your role, you will be responsible for building and delivering a successful Trusts and Foundations portfolio by focusing on:

We have an exciting opportunity to join our Sport Team. We are seeking a skilled and dedicated individual to join our Opportunities Programme as Sports Manager. In this role, you will play a vital role in overseeing our in-house and community-based Sport Project. Your aim: To help make physical activity accessible to those experiencing homelessness.

About the role:

As the Sports Manager, you will be responsible for The Sport Project. You will be overseeing the day to day running of the project and management of the team including Sports Coordinators, freelancers, volunteers, and peers. You will be leading on expanding the reach of the project, forming partnerships with like-minded organisation and charities and advocating for the importance of physical activity within the homeless sector.

In your role, you will also manage relationships for grant givers and funders, including being responsible for budgets, reporting and reconciliations. Additionally you will support the team in the wider role out of the project across the homelessness community, at time this may involve helping to deliver a proportion of physical activity and helping to engage wider groups of participants and staff.

The approach taken with clients will be psychologically informed, incorporating an understanding of complex trauma and addiction. The outcomes for your role, include developing positive and sustained relationships with external partners and helping to make physical activity accessible.

We are a multi-award-winning, creative, and innovative organisation, and the Database Officer is a role at Al-Khair Foundation, sitting within the Database team and delivering on a range of database tasks and processes utilising our Salesforce database. We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.

Your Role

Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.

You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.

Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.

Your Responsibilities

• Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
• Supporting the Fundraising teams with their monthly income recording and reconciliation.
• Liaising with external agencies and the Finance team.
• Checking for and correcting inaccuracies and updating supporter records.
• Running reports for the Fundraising and Finance teams.

The role of Personal Assistant to the Principal will provide the Principal with proactive and confidential project-related and administrative support, with a particular focus on development and fundraising activities. Our current annual expenditure on charitable activities is around £1.3m and we rely on donations and receive no public subsidy. Hours per week: 37.5, Monday-Friday with some flexibility to support UCISA events and participate in team days

Salary: £55,000-£65,000 per year (depending on candidate experience and skill set)

Role Overview
We are seeking a dynamic, organised, and energised individual to join our team as the Executive Assistant to the Executive Director. This role will involve providing comprehensive support to the Executive Director. The successful candidate will play a crucial role in ensuring efficient management of time, priorities, correspondence, meetings, and communications.

About You
The ideal candidate will have:

· Previous experience in a similar role, ideally within the charity sector.

· High-level administrative, executive, organisational, and project management experience.

· Ability to operate independently in a fast-paced and complex environment

· Excellent interpersonal, written, and verbal communication skills.

· Reliability and excellent organisational abilities.

· Flexibility with a practical "can-do" attitude.

Key Responsibilities

· Manage the  Executive Director’s diary, including scheduling meetings, coordinating with
colleagues to align diaries, and prioritising tasks in line with strategic priorities.

· Represent the Executive  Director and OIN by greeting visitors, handling phone calls, and
managing communications with internal and external stakeholders.

· Manage key reporting processes, including receiving, approving, distributing reports, and
filing them accurately.

· Attend and minute meetings, both internal and external.

· Support the Executive  Director in producing high-quality materials such as presentations,
 documents, and reports, liaising with external agencies when necessary.

· Coordinate travel arrangements and accommodations for the Executive Director.

· Manage expenses and financial records for the Executive Director.

· Assist in the preparation of proposals, applications, and reports, providing administrative
support as needed.

· Support the Executive Director in maintaining relationships with donors, partners, and
stakeholders..

· Conduct research and gather information on relevant topics as requested.

· Facilitate internal communications within the organisation, including disseminating
information, coordinating team meetings, and maintaining communication channels.

· Handle sensitive and confidential information with discretion and professionalism,
maintaining confidentiality at all times.

· Undertake any other duties as assigned by the Executive Director or senior management
team.

Our close partner is providing financial services guidance to a number of large development agencies & institutions around the world proving grants to NGOs. The International Development team works closely with these global clients – such as UNICEF, The World Bank and the Gates Foundation ensuring their funds are managed approrpiately maximising the effectiveness of crucial development projects. 

The Project Coordinator has to assist in providing project coordination for the full life cycle of any assignment offered to our clients; from the proposal process, contract management with the client, assignment planning, through to assisting with the report writing, and ultimately billing the client.

Contract Responsibilities

·Assist with proposal and tender submission, including preparing project budgets and schedules, liaising with prospective staff and ensuring all proposals are submitted within the respective deadlines

·Ensure that contracts are as per the issued proposals, that all terms agreed are in the organisations’ best interests and support the Managers/Partners in any contract administration required

·Plan the fieldwork of the project, including agreeing dates with the beneficiary, liaising with internal and external staff to ensure they can perform the required service on the agreed dates and that all parties have the necessary information to ensure the project fieldwork runs smoothly

·Draw up contracts between our organisation and any subcontracted firm

·Monitor and track project progress and on our ‘Control Schedule’ to ensure all stakeholders are kept up to date with any project developments and that deadlines are met

·Act as the point of contact for all stakeholders (including the client, the beneficiary, internal/external teams and management)

·Assist the manager in finalising of reports & deliver final product to client

·Monitor internal staff working hours & expenses incurred, to ensure project budgets are adhered to

·Check and process external suppliers’ invoices, making sure all days worked and expenses incurred are within the agreed budget, liaising with finance as and when issues arise

·Assist in client billing, ensuring that all bills issued are as per the contractual terms between the firm and the client, that all costs are accounted for, and that bills are paid by the client in a timely manner

·Create and maintain comprehensive project documentation for future use, ensuring that all projects are properly logged and can be used in future proposals/tenders

·Carry out required client onboarding procedures and compliance checks

To give a sense of the week-to-week work, you are likely to be getting involved in…
• Coordinating various aspects of our team’s project delivery, including setting up workshops, liaison with suppliers, grant management etc.
• Coordinating and, where appropriate, providing innovation technical support to hubs, teams and members drawing on your own experience and/or managing external innovation experts. For example, you may lead on the design of a workshop for a staff team that wants help on a particular challenge, based on innovation and design methods.
• Ensuring that relationships with stakeholders are equitable, effective, open, and transparent
• Supporting the team’s contracting, invoicing, and other administrative needs
• Supporting Hubs, members and Start Network teams to build the capabilities and practices necessary for impactful and sustainable locally led humanitarian innovation
