Main duties and responsibilities:

IT

· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.

· Keep a record of all IT equipment, key information and renewals due.

· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.

· Lead on the implementation of strategic IT goals.

· Support the Continuous Improvement Officer to find new ways of working and ensure we stay up to date with emerging IT trends.

Data

· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.

· Liaise with Data consultants to manage workflow of data requests.

· Present data in a useful manner for stakeholders.

· Play a key role in the organisation around GDPR and Data Protection.

· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).

Facilities

· Support with office management processes (ordering stationery and equipment).

· Support in the efficient use of premises (organise key holder rota, complete regular checklists).

· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).

Administration

· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).

· Assist with organising and monitoring staff training.

· Assist with the review and writing of policies and the staff handbook.

· Assist with process mapping across the organisation.

Other

· Make an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities.

· Be committed to, and work in accordance with Upbeat Communities’ values and ethos, as well as adhering to all organisational policies and procedures.

· Participate in relevant networks and forums to assist in the work of this role as part of individual and professional development.

The team
The Northern Ireland team sit within the Energy Directorate of Energy Saving Trust. In Northern Ireland, our main focus is to deliver the Northern Ireland Sustainable Energy Programme (NISEP), but we also are involved in other areas of work and deliver campaigns helping NI householders save energy and money.

There are currently four programme support officers who work very closely to support each other in delivering NISEP and report into the project manager of the team. The team also includes an assistant programme manager and is headed up by the programme manager for NI. The team collaborate with external stakeholders regularly and other teams of Energy Saving Trust.
 
The role     
The programme support officer will be focusing on enabling people in Northern Ireland create warmer homes, reduce their energy bills, and lower their carbon footprint. 
 
NISEP is an £8 million grant programme that provides funding for energy efficiency measures for domestic and commercial properties.  Energy Saving Trust are the programme administrator of NISEP on behalf of the Utility Regulator in Northern Ireland.
 
The role will provide you with an inspiring opportunity to develop your programme management experience, and develop your knowledge in the Energy Access sector, helping our vulnerable customers.
 
What you’ll do

• Support the smooth running of the Energy Saving Trust NI programme work, ensuring compliance with processes and procedures.
• A strong focus on the administration of NISEP, including assessing payment claims; reviewing and analysing interim reports as well as other NISEP tasks.
• Liaise with external stakeholders as well as with Energy Saving Trust staff in other offices.

What you’ll bring

• You will be an excellent communicator and will be comfortable dealing with people at all levels. You will develop positive working relationships with all NISEP primary bidders, working closely with them on a day-to-day basis.
• Strong administrative and numeric skills as well as excellent attention to detail and a prolific knowledge of Microsoft Office, particularly Excel and Word.
• Excellent organisational skills and an understanding of the importance of meeting service level agreements (SLAs).

The Finance Systems Analyst is a newly created role which will have responsibility for the efficient running and maintenance of ClientEarth’s finance systems, including Access Focal Point- which has been in use for over five years and Workday Adaptive Planning, a new system for the organisation. You will provide essential support for current finance processes, suggest improvements to those processes to maximise their value and provide input into systems strategy for the finance department into the future.

As Head of Finance, Planning and Analysis, Catherine manages a team of ten business partners supporting the programme and core staff in their vital mission to use the power of the Law to bring about systematic change to protect the earth.

• • Supporting the Head of FP&A with the Workday Adaptive modelling and build to enable value added performance review and reporting in line with organisational strategy.

• • Administrator for Workday Adaptive and Focal Point to include maintenance and regular review of users, user profiles, password management.

• An accounting qualification – part or full or qualified by experience

This is a full time role - Hybrid working with an expectation of weekly attendance to Head Office at Baynards Green, Nr. Bicester Oxfordshire.

Job Purpose:-

We are looking to appoint a Finance Officer to join our growing team. Reporting to the Head of Finance this new role will ensure that appropriate financial processes and systems are followed and developed to support our charity’s sustainable growth and safeguard our financial health.

The Finance Officer will ensure that financial tasks and transactions are undertaken in an efficient, effective and timely manner and, importantly, that relevant financial information is provided to keep the Head of Finance updated and informed, supporting the Leadership Team to make the best decisions for the charity.

We are looking for a confident and experienced individual to join our supportive team. Previous charity finance knowledge is helpful but not essential, above all we want an individual to be tenacious, curious, diligent and show strong initiative.

Who are you?

You should be accomplished in Sage 50 Accounts and have considerable experience working in a finance function and in financial administration.

Some experience of working with Salesforce or an equivalent CRM database and an accountancy qualification or studying towards a professional qualification ACCA, CIMA, ACA, CIPFA) or AAT qualified. Experience of working in the Voluntary Sector, paid or unpaid would be great.

You should have excellent written and verbal communication skills (a natural ability to clearly communicate financial information to those with a non-finance background). You need to have proficient knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook and experience in database and payroll systems.

It would be amazing for you to have high level of attention to detail and methodical working, be a self-starter and be able to use initiative.

About you

 Are you detail-oriented, love working with data and want to work in a great team that’s making a difference to people living with myeloma? We’re looking for an enthusiastic Data Officer who has experience working with relational databases with a strong understanding of data protection and electronic marketing regulation. This role is ideal for someone who is methodical, enjoys a varied to-do list, and is committed to continuous professional development.

The right candidate will have experience working with databases in a fundraising or marketing context, be comfortable wrangling and cleaning data and possess the ability to communicate complex concepts effectively. If you have experience with data analysis and visualisation that’s even better!

About the Role

As a Data Officer at Myeloma UK, you will be supporting the charity as we implement a brand-new data strategy. You will ensure our data is handled with the highest care, complying with best practice in data protection, and be involved in projects covering data management, data cleaning, reporting, and analysis.

Some of your varied responsibilities will include:

· Collaborate across the charity assessing our processing and help to manage communication preferences, data assets, including maintaining the Records of Processing Activities (RoPA) log.

· Support us in assessing new and existing data processing to ensure we follow privacy by design principles.

What you will be doing:

• Tapping into your previous experience in help desk support, multitasking to troubleshoot and repair issues, you will be providing technical support via our helpdesk to colleagues, resolving issues promptly and efficiently.
• Using your previous experience in IT, you will be managing and overseeing the day-to-day operation of our IT systems, including hardware, software, and network infrastructure, using your problem-solving skills to ensure smooth running of the network and systems.
• With your solid knowledge of IT systems and applications and strong communication and interpersonal skills, you will collaborate with teams and colleagues to assess their IT needs, identify areas for improvement, and implement appropriate solutions.
• Assisting and contributing to IT policy, planning, development. 

You will be in the FAST (Facilities and systems team) and your line manager will be our Central Services Manager.

We are looking for someone to run our helpline and perform general administration office duties from our Birmingham office. A large part of this role is to provide emotional support to traumatically bereaved members when required.

Candidates must have a history of providing emotional support to emontionally distressed or vulnerable people. 

The Office Assistant will be accountable to the Office Co-ordinator, and they must be able to fulfil a variety of administration and digital tasks. They will also assist staff and trustees in the delivery of the charity’s projects and possess good digital and face to face communication skills.

About the role 

Dementia UK is currently seeking a Database Officer to lead on the delivery of processes within the Database Services team.

As Database officer, your primary responsibility will be managing a substantial volume of data files, from a variety of sources seamlessly importing this information into our fundraising database. You will handle supporter data ensuring a high level of accuracy, while being directly responsible for running the majority of data imports as well as handling enquires coming into the Database Services shared inbox and running regular data cleansing routines.

In addition, you will be expected to maintain data management standards, assisting with the implementation of processes and policies ensuring best practice is followed. Working with the Supporter Care, Finance, and Fundraising teams to ensure income is accurately coded across all fundraising streams.

The ideal candidate will have a strong understanding of data protection guidelines including the General Data Protection Regulation (GDPR), and will bring previous experience in using databases for data entry, maintenance, and importation. A high level of computer literacy is essential, and comprehensive knowledge of Microsoft Office applications, particularly Excel, is required. Your ability to function effectively within a team, coupled with your initiative in prioritising and organising your workload, will be key to success.

Expertise in communications, including delivering high standards of accessibility, implementing organisation-wide communications and marketing strategies, and line management experience are welcomed for this role.

Summary of key duties:
