Purpose of the job/About the role

Join Dementia UK as a Gift Processing Officer helping to establish an excellent level of financial processing that will underpin the growth in fundraising activity across a range of income streams.

Working within the supporter care team you will be responsible for processing a high volume of donations. You will ensure that that all processing is accurate and timely in order to provide an excellent supporter experience for all Dementia UK donors & supporters. Reporting to the Supporter Care Manager, the Gift Processing Officer will handle post, cheques, cash and charity vouchers, working carefully with our database to record income and thank all supporters who give to Dementia UK.

The ideal candidate will possess previous experience in database management, demonstrating a keen eye for detail and strong numeracy skills. You will have high computer literacy with knowledge of Microsoft Office including Word and Excel. You will also have excellent interpersonal and communication skills with the ability to prioritise own workload and adapt to changing demands in a busy environment.

The Finance Systems Analyst is a newly created role which will have responsibility for the efficient running and maintenance of ClientEarth’s finance systems, including Access Focal Point- which has been in use for over five years and Workday Adaptive Planning, a new system for the organisation. This role is required due to the rapid growth of ClientEarth and investment in new systems. You will provide essential support for current finance processes, suggest improvements to those processes to maximise their value and provide input into systems strategy for the finance department into the future.

A finance professional for thirty four years, Catherine has had a career of two halves, first in the corporate sector working for BDO Binder Hamlyn,  Boots UK, Waterstones and Tesco and then in the Charity sector, gaining an MSC in Charity finance from Bayes Business school, working for MSI Reproductive Choices and joining ClientEarth in 2021. As Head of Finance, Planning and Analysis, Catherine manages a team of ten business partners supporting the programme and core staff in their vital mission to use the power of the Law to bring about systematic change to protect the earth. 

Main Duties 

Systems improvement and efficency

• • Supporting the Head of FP&A with the Workday Adaptive modelling and build to enable value added performance review and reporting in line with organisational strategy.

Systems Administration

• • Administrator for Workday Adaptive and Focal Point to include maintenance and regular review of users, user profiles, password management.

Role requirements

• An accounting qualification – part or full or qualified by experience
• Previous experience working in a finance team, able to demonstrate an understanding of financial processes (essential)
• Experience with Access Focal Point and Workday Adaptive or similar finance systems (essential)
• Experience working with and reporting from large databases and an understanding of data structures (essential)

Growing Hope seeks a highly-motivated and experienced Director of Operations who is passionate about our mission. The ideal candidate will play a vital role in ensuring the smooth and efficient running of the charity’s essential operations.

Your Role

Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.

You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.

Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.

Your Responsibilities

• Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
• Supporting the Fundraising teams with their monthly income recording and reconciliation.
• Liaising with external agencies and the Finance team.
• Checking for and correcting inaccuracies and updating supporter records.
• Running reports for the Fundraising and Finance teams.
• Maintaining and carrying out regular database processes, including data cleansing.
• Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
• Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
• Spotting and reporting database glitches and problems.
• Supporting with the ticketing system as a second point of contact in the Database team.

As Database officer, your primary responsibility will be managing a substantial volume of data files, from a variety of sources seamlessly importing this information into our fundraising database. Working with the Supporter Care, Finance, and Fundraising teams to ensure income is accurately coded across all fundraising streams.

The ideal candidate will have a strong understanding of data protection guidelines including the General Data Protection Regulation (GDPR), and will bring previous experience in using databases for data entry, maintenance, and importation. A high level of computer literacy is essential, and comprehensive knowledge of Microsoft Office applications, particularly Excel, is required. We are seeking an experienced IT professional to join the charity.  This is a newly created position reporting to the Head of IT.  The aim of this role is to encompass the charity’s Helpdesk (1^st through 3^rd line support) and IT Technician responsibilities to include new builds and repairs, network and server maintenance, telecoms improvements as well as project support. This role is based at our head office in Snetterton, Norfolk and will support all our sites across the UK as well as end users abroad. Occasional travel to our four UK sites will be required.

We are looking for someone with experience in Windows Operating Systems (Pro/Enterprise & Server), Mobile Operating Systems (Android & iOS), M365 administration (including Entra ID, Intune, SharePoint, Exchange Online), Windows Server roles - DHCP, DNS, Active Directory, Print and Networking (including routers, switches, cabling, APs).

The successful candidate will have great people & communication skills and be able to communicate concepts and instructions clearly to people with non-technical backgrounds.

This role is initially being opened on a fixed-term basis, with opportunity to review after 12 months once an IT roadmap has been developed.

What is Screen Share? 

Screen Share is a grassroots refugee charity which provides laptops, phones, tablets, data, digital skills to refugees and asylum seekers in the UK. We use the power of volunteering to turn discarded tech into good quality techical tools for refugees to improve their situation on their own terms. We are now launching a laptop refurbishment training programme for refugees in London and are looking for someone to run it and provide ad-hoc technical support to our team of volunteer laptop refurbishers! 

Role overview

Screen Share is looking for a proactive, self-starter and leader to launch a laptop refurbishment training programme for refugees in London, support tech volunteers to remotely refurbish laptops, respond to faults and perceived faults with devices we have provided to service users, and support with sourcing and refurbishing devices.

The postholder will have experience of at least Level 2 laptop repair and an interest in upskilling others in basic laptop refurbishment 

Outcome 1 

Co-design and co-deliver a laptop refurbishment training programme for 40 refugees and asylum seekers in London 

• Co-design a laptop refurbishment training programme for 40 refugees 

• Co-deliver the training programme in London

• Support with the logistics necessary for running a multi-cohort programme

• Create resources for learners and guide them through refurbishment workshops 

Outcome 2 

Respond to reported laptop faults by providing remote support or requesting a return

• Run remote diagnostics with service users whose laptops have developed faults or supposed faults. 

• Make an assessment of whether remote repair is possible or whether return is necessary.

• Engage kindly, patiently, politely and on a trauma-informed basis with service-users.

Outcome 3 

Provide technical support in laptop refurbishment and data destruction for staff, volunteers and prospective laptop donors 

• Be the contact point for tech volunteers and tech trainees who need support with the laptop refurbishment process. 

• Advise prospective tech donors on their data destruction options and best practice.

• Support the Digital Access Project Manager with the technical elements of her role, ensuring the tech volunteers are following the most efficient standardised refurbishment process. 

• Think critically and collaboratively about our existing technical refurbishment process (including software, hardware, peopleware, charityware, and tech disposal),  suggest alternatives to the methods currently used, support their implementation where appropriate and record that process of development. 

• Offer critical reflections on facilitating remote digital skills training. 

Outcome 4

Lead by example by personally maintaining a steady flow of laptop refurbishment

• Receive, refurbish and redistribute laptops and other devices 

• Keep Airtable and other tracking system up to date 

• Communicate consistently with the Digital Access Project Manager on required parts and economical refurbishment

• Engage with Communications team to share the process and impact of laptop refurbishment

Outcome 5 

Support and facilitate the donation of devices 

• Approach and meet with prospective laptop donors, explaining our data destruction and logistics process where necessary

• Communicate confidently to donors about the impact of Screen Share laptops for service users

Salary: £53,968 per annum, rising to £56,809 after 12 months in London. £49,940 per annum, rising to £52,781 after 12 months outside of London.

​We’re located a short walk from London King’s Cross station in a modern accessible building overlooking Regent’s Canal.

Conservation Collective (CC) funds solutions to protect the environment, restore nature, and safeguard against climate change. The CC UK charity incubates, launches, and supports locally focused foundations, which open new funding channels to support the most impactful environmental grassroots projects. Our network comprises 20 members based all over the world and is growing.

We manage and monitor our donor relations, grant giving governance, contacts, and event activities, via a bespoke and customised salesforce system. This was launched in September 2021, and has been developed and configured to meet our growing needs since then. As the demand for our model increases around the world, we need a highly capable systems specialist to support us to ensure our data systems are well managed, users are trained, and we can create accurate reports for our donors and other audiences. The role will report to the Finance Director and will work closely with the rest of the team. This is a critical role that is central to the success of building a robust organisation, and there is opportunity for an ambitious candidate to grow in responsibility with it.

Key Responsibilities:

 Oversee Salesforce System: maintenance, training, development, and reporting

 Maintenance

· Ensure key objects on Salesforce such as accounts, contacts, campaigns and grants are working effectively (ensure process flows work well).

· Maintain reliable records in all objects on Salesforce by eliminating duplicates monthly, processing user deletion requests and updating records for lists with up-to-date information on key stakeholders (e.g. trustees, contractors etc).

· Weekly data back-ups.

· Uploading ad-hoc batch data from Campaigns e.g. Just Giving or historical data into Opportunities.

· Ensure regular data cleaning to enhance the credibility and adoption of the system. Spot trends with issues and feedback into system development or training.

· Oversee data governance log: maintaining log of changes to review with the team, discussing effect on budget and system usage to inform decision making.

 Training and support

· Oversee user set ups, create new user profiles, and share best practices according to GDPR practices.

· Oversee smooth onboarding and training process for new members to ensure effective adoption.

· Keep training materials related to key objects updated, host internal webinars to address new feature introductions or common issues to troubleshoot.

· Promptly troubleshoot any user issues and feeding these into training to prevent it happening again.

· Respond to individual questions from users on Slack and share tips and tricks.

 Automations and Development

· Manage the integration of Form Assembly, ensuring all connectors work well and troubleshoot and update individual forms when needed.

· Support users with the building of individual Form Assembly forms, updating when needed (ad hoc) and embedding them in their websites.

· Perform developments such as creating new fields, updating picklist values, page layouts, forms, automation configuration, formula fields, and other content. Work with core team to assess where a development is foundation specific, and where it should be applied across all users.

· Act as key point of contact with our external Salesforce consultants on any requests of flow maintenance or improvements and monitoring effective use of credits and budgets.

 Reporting

· Build reports and dashboards for each key Object – spot trends and suggest improvements.

o Opportunities - pipeline and income reports for board meetings

o Grants - tracker and applications analysis, extraction of impact data for evaluation purposes

· Provide quarterly diagnoses of user adoption levels across the network.

· Work with exec director to prepare quarterly data for trustee meeting and annual reports.

Manage IT systems with the support of an outsourced consultant

 · Act as a key point of contact with our outsourced IT company, overseeing the creation of new users and managing the leavers’ processes.

• Ensure MS365 systems are working effectively for current users, and troubleshoot issues as a first point of contact before liaising with outsourced providers.

· Maintain an up to date ‘how to guide’ for our intranet, ensuring all users know how to use it and find what they need.

· Recommend Cyber Security improvements.

· Procure IT equipment for team with support of external consultant.

· Maintain an up-to-date list of active users, MS 365 licenses and Antivirus license protection.

· Oversee the IT budget by approving expenses on a regular basis.

· To manage website domains – purchasing new ones on request, performing updates or providing access to web designers.

Essential criteria:
