About our charity
The British Association for Holistic Medicine and Health Care (BHMA) is a charity, with a small team, dedicated to promoting holism in healthcare. We are a membership organisation that is 40 years old this year and has produced a respected journal for over 20 years.
Role Overview & Aims
We are looking for someone who will drive the BHMA into a new phase of growth. Someone with passion and dedication who will believe in our purpose and help us achieve this. We want to grow our reach and find new members, journal subscribers and people to enrol on our course. We also want to start producing professional webinars and podcasts in the run up to our conference this Autumn. We would also like to streamline the administrative running of the BHMA to make it more efficient and sustainable, whilst growing our income streams.
How we work
The BHMA operates as a remote team however the hub is in the Bath/Bristol area with our AGM & a conference to be held near Bristol in 2024. We have 2-3 evening Zoom meetings per month and our remote administrator works mornings.
You will work from home using your own computer, however occasional face-to-face meetings would be a bonus.
Roles & responsibilities
Main duties:

Liaise with the trustees and attend meetings to provide regular updates on the ‘health’ of the charity and to share your vision for strengthening marketing and operations.

Identify risks and opportunities and work with the Trustees to promote the charity’s vision and implement change.

Governance - ensuring the charity adheres to data protection policies,the requirements of the Charity Commission, and any other legal requirements

Being responsible for all administrative and operational functions of the charity - delegating where appropriate to the administrator/marketing assistant.

Designing and implementing a marketing and communications strategy to primarily build and retain memberships and subscriptions.

Supervising our remote administrator/marketing assistant

Supervising and motivating our student ambassadors.

Organising & innovating
Day to day activities:

Website updates and improvements and web optimisation/SEO.

Implementing social media campaigns.

Implementing referral marketing campaigns.

Simple podcast/video editing and uploading.

Writing and editing digital content.

Leveraging the networks and influence of our trustees/ambassadors and student ambassadors.

Creating a role and sense of purpose for our student ambassadors.

Promoting our key offerings: Student essay competition, Conference, Events and affiliate events, Our Professional Development Course, BHMA membership, and our Journal of Holistic Healthcare.

Implementing and improving customer service/onboarding protocols/customer retention.

Nurturing BHMA member communities.

Membership data collection and analysis.

Writing newsletters to members and non-members

Networking and looking for collaboration opportunities.

Financial management - initiating payments and overseeing finances.

Submitting financial reports & gift aid to the Charities Commission.

Contributing to the annual report presented at the BHMA AGM.

Organising monthly trustee meetings, taking minutes and preparing agendas (in consultation with the Chair) and reports in advance

We are seeking an ICT Assistant to help provide ICT support to our employees around the world, providing a first line support service, liaising with external providers and processing relevant administration.
You will have a keen interest in IT and technology, strong relevant IT skills and excellent problem-solving skills. You will have a real willingness and proven ability to learn new systems and acquire new knowledge and skills.
Your strong interpersonal skills and customer focus will enable you to build effective working relationships. You will work closely alongside the other ICT Assistant and be a good team player. Responsible for Implementing IT best practices (processes, procedures, tasks, and
checklists) for the smooth running of community healthcare services.

External Support 3rd line support from a specialist IT company (remote; on-site as nec.)
Main Purpose and Scope of the Role
This is BAU support for staff and on-site/network IT infrastructure. If successful, you will liaise closely with our external IT consultancy, for bespoke 3rd line support, regarding our core IT infrastructure (software, hardware, server and network). You will be the first point of support for your colleagues’ IT needs. You will report on and advise senior management of the IT risks and cybersecurity needs. You prioritise your own work, documenting and communicating progress.
Key Responsibilities:
● Troubleshoot IT based systems, hardware, and software issues for colleagues
● Onboard/offboard employees for IT system; set up all user credentials
● Manage devices for circa fifty staff using GoTo Resolve (our MDM/RMM tool)
● Help staff with Google, Windows, email, VPN and applications like Staffology HR
● Support Senior Team with roll-out of our first self-service HR portal for all staff
● Manage device inventory and purchase new supplies and equipment as needed
● Liaise and negotiate with external IT service providers (eg. EE, Croft, Google)
● Ensure all IT hardware and software is well maintained (documenting actions)
● Develop and update IT policies, subject to board approval
● Advise Senior Team on cost-effective digital forward planning and investment
● Support Senior Team to create a cybersecurity strategy (based on security audit)
ROLE DOES NOT DO - the following high-level tasks covered by external IT company
● Outside IT Manager builds and maintains the organisation’s network and server
● Outside IT Manager manages software licences and supports key tech purchases
● Outside IT Manager sets up core installations on machines for new staff
● Outside IT Manager troubleshoots major issues when your role needs help
Person Specification
Essential Skills and Qualifications:
1. Experience of either Customer Service, Charitable Sector or Small Business
2. Trouble-shooting experience while providing remote and onsite IT tech support
3. Documentation of IT processes, good time management skills and attention to detail
4. On-site management of Active Directory, Network Access Storage (inc. RAID)
5. Proficient in Windows 10/11 & Home/Pro, MS Office and MDM/RMM tools
6. Ethernet cabling experience (crimping etc.) We have loads of structured cabling!
7. Working knowledge of information data security and mitigation of cyber risks
8. Aptitude for IT skills development and staying on top of current industry standards
9. Good problem-solving and communication skills, being able to think on your feet
10. Good working knowledge of: Website CMS & Google Workspace (formerly G-Suite)
Desirable Skills and Qualifications:
11. Basic networking skills e.g:
● CompTIA A+ or experience of office IT support function
● CompTIA Security+, or CompTIA Network+, or CCNA 200-301 certification
12. Working understanding of ITIL Version 3 or 4 framework
