This role is part of a small Finance team that supports the work of Headway - the brain injury association. The role is line managed by the Finance Manager and liaises with every team within the organisation.

What you will do

As a Senior Finance Officer, you will be responsible for maintaining all aspects of the purchase and sales ledgers for both the charity and retail company, supporting colleagues, and resolving queries from suppliers and customers. You will monitor the purchase invoice mailbox and online purchase invoice accounts, ensuring that all invoices are downloaded promptly and passed on to relevant colleagues for authorisation.

You will be responsible for recording all purchase and sales invoices on our accounts system, Exchequer and ensuring that all bank transactions are entered on a timely basis. You will also be responsible for preparing and entering key monthly journals, including but not limited to charity and retail income, charity merchandise sales, depreciation, credit card expenditure, pre-paid rent and service charges. The majority of this work will use our Excel linked auto-loaders, but some manual entry will also be required.

You will complete monthly supplier account reconciliations and be responsible for raising any concerns or discrepancies with the Finance Manager.

You will maintain the stock system for the online merchandise shop, updating it with new stock and prices, using the information from the system to create the monthly cost of sales journal.

The Senior Finance Officer will work with the Finance Manager to ensure that all monthly and month-end routines are completed in line with team and organisational deadlines and complete any other finance tasks that may be required.

About you

About the role 

Dementia UK is currently seeking a Database Officer to lead on the delivery of processes within the Database Services team.

As Database officer, your primary responsibility will be managing a substantial volume of data files, from a variety of sources seamlessly importing this information into our fundraising database. You will handle supporter data ensuring a high level of accuracy, while being directly responsible for running the majority of data imports as well as handling enquires coming into the Database Services shared inbox and running regular data cleansing routines.

Role Description

This new role of Programme Officer (Social Change) will play an integral part in ensuring our grant making has the best possible impact. Working with the Programme Manager (Social Change) and the wider Impact Team, you will be the first point of contact for potential grant applicants and deliver effective processes that ensure that anyone who applies to us for funding has a positive experience, whether they are successful or not. Role Responsibilities:

Administering grant processes:

· Working with the Programme Manager (Social Change) to update application and guidance forms for each funding round

· Work closely with colleagues to set up the grant call in our online grant management system.

· Provide guidance to potential applicants and respond to their queries, e.g. about eligibility.

· Work with colleagues who run the research funding programme to ensure that opportunities for efficiencies and shared processes are maximised

· Process grant applications, ensuring that we adhere to the highest standards of grant making

Ivy Rock Partners is delighted to be supporting a leading global development organisation with the recruitment of an interim Programme Finance Officer to support the Programme Finance Manager in running an efficient and effective programme financial management and reporting processes in relation to their programmes and grants.

About the role

As Programme Finance Officer you will provide support to the full life cycle of grants: from donor concept proposals to final reports. You will maintain a close working relationship with all finance and programme teams and relevant staff across their international network and external donors. You will prepare financial information for internal reporting purposes, including the quarterly CEO report, monthly dashboards, and quarterly cash balance reports.

You will oversee the grants management and compliance processes, including maintaining the grants management tracker to ensure they are properly recorded and monitored. You will review budgets for proposals and make recommendations for improvements and liaise with the programme/partnerships team to ensure they are complete, accurate and compliant with donor requirements.

You will also carry out any other duties as assigned by the Programme Finance Manager or the Head of Finance and Operations.

The Diocese of Winchester and the Diocese of Portsmouth are partnering exclusively with Robertson Bell to recruit a Strategic Programmes Finance Officer on a permanent, part-time basis (28 hours). The Diocese of Winchester (WDBF) and the Diocese of Portsmouth (PDBF) support the Ministry in, and the mission of, Church of England parishes in Winchester and Portsmouth and surrounding areas.

Reporting into, and working closely with, the Strategic Programme Managers of both dioceses, you will take responsibility for providing specific financial reconciliations, monitoring and reporting against the Strategic Development Fund (SDF) and Diocesan Investment Programme (DIP) funding received by the Diocese of Winchester and the Diocese of Portsmouth from the Church of England (Archbishop’s Council).

A key aspect of the role will involve financial planning and modelling for future DIP bids. SDF/DIP funding is given for projects within the dioceses that help to achieve their strategic objectives. In this Strategic Programmes Finance Officer role, you will:

• Support the Strategic Programme Managers, liaising with the Finance Team, drafting, costing, and modelling of financial information for future funding/grant bids, ensuring cost recovery for overheads and staff time is included on all projects.
• Prepare regular financial reports for the Strategic Development Team and senior leadership on the financial progress and outcomes of spend to date, ensuring transparency and accountability of the funds received for the various SDF/DIP projects.

About the role

As the Finance and Support Services Assistant (FSSA) you will support the Finance and Support Services Officer (FSSO) with Financial Management and office administration by facilitating financial transactions, generating transaction vouchers, maintaining accounting ledgers and cash books, managing office petty cash, processing payroll, general office administration/ logistics, procurement, maintenance of the office assets register, filing, handling workshops logistics as well as travel logistics for staff and visitors.

The FSSA key duties and accountabilities include:

Based within the Resident Services team, the Revenue Officer will play a critical role to help deliver an effective and high performing rent collection and recovery service in accordance with legislation, the organisation’s policies, set performance targets and customer satisfaction requirements.

Other responsibilities include

• Investigating and support clients with Housing Benefit Appeals
• To support our project to transfer all accounts from Inform to Pyramid
• Investigate and support to manage Overpayment Claims from Housing Benefit
• Ensure rent accounts are up to date and correct. Checking HB entitlements against PC rates and requesting adjustments accordingly.
• Chasing ex resident arrears
• To manage resident rent and accommodation charge accounts and other former resident debts, on a regular basis identifying trends and patterns on individual accounts and then liaise with Support Workers or residents to rectify income issues and address arrears in line with policies and procedures
• To contribute towards the continuous improvement of performance in line with the organisation’s service plan targets
• To work collaboratively and closely with the Finance officer and Revenue and Income Team Leader to ensure all rent accounts tally.

About you

• Demonstrable experience of working in a supported housing environment in a similar or related role for at least 5 years
• GSCE (or equivalent) in English and Maths
• Experience of working with software applications including Microsoft office and bespoke IT Systems.

ROLE PURPOSE
The Programme Support Officer (full-time, fixed-term contract for 18 months, with possibility to extend) will join the expanding Sector Improvement Team. They will provide vital logistical, financial and administrative support and coordination required to successfully run and deliver the University Mental Health Charter Programme and Award, achieve the Sector Improvement Team’s key objectives, and contribute to the whole charity’s mission and goals. This is an exciting opportunity to help the team scale the University Mental Health Charter, with the potential to impact 2.5 million staff and students across the UK.

From booking travel and accommodation, holding responsibility for the planning and administration of the Purchase Order sheets, to liaising with the many stakeholders involved in the assessment and programme processes, you will have an opportunity to be involved in an interesting, fast paced and exciting role.

KEY RESPONSIBILITIES

Logistical support

• Provide effective logistical and administrative support to the Sector Improvement Programme(s), working closely with the Sector Improvement Lead and Programme Managers to ensure the successful delivery of the programmes
• Support the the planning and delivery of key Sector Improvement Programme activities including online and in-person events, handling the administrative and logistical tasks e.g. venue booking and travel arrangements
• Support the Charter Award Process by managing logistics for assessors during Award site visits and handling related bookings
• Use of our Project Management tools to set and receive work, manage deadlines and workflows alongside colleagues to complete projects and Programmes in a timely manner, ensuring high quality of work

Financial support

• Assist in onboarding the University Mental Health Charter Programme by managing administrative tasks such as purchase orders and processing documents (e.g. MOUs, new supplier forms etc.) and outstanding payments
• Administer finances for our Sector Improvement programmes; issuing purchase orders and ensuring timely payments
• Work with finance colleagues to ensure correct processes and procedures are followed accurately and compliant with finance requirements, and identify areas for process improvement
• Act as a cardholder for the team, making online purchases such as accommodation and travel bookings and following policies, procedures and guidance in the correct and responsible use of the Student Minds card

Data and process administration

• Administer data processes for the University Mental Health Charter Programme and Award process, in line with Data Protection Guidelines
• Collate and analyse evaluation data from Sector Improvement events (online and in person), generating timely reports and make recommendations for programme improvement
• Create essential documents requested by the Sector Improvement Programme team to support programme delivery and scalability
• Provide support to the Sector Improvement Team and Award Managers to enable efficient Award Assessment accreditation processes
• Maintain key working relationships with our network of Assessors and University Award Leads, addressing queries, scheduling and minuting award panels, sharing actions with the team

Working together

• Work closely with the Programme Liaison Officer to successfully deliver all aspects of the role, including managing university relationships, ensuring tasks are picked between roles and when required
• Attend programme-related meetings, and maintain communications with programme participants and key stakeholders through maintaining and use of up-to-date database(s)
• Actively participate in the testing and embedding of new digital systems to improve programme efficiency and engagement
• Stay updated on developments in Higher Education and gather insights from sector partners to feed into team decisions
• Look for opportunities to develop systems and processes to improve ways of working and participate in discussions on the Sector Improvement Team development and improvement

Other duties

Job Description

The IRC UK’s Finance Team seeks to achieve excellence in financial management by providing accurate and timely financial information to IRC management and programs and by adhering to established financial practices and accounting principles. We do this by supporting the UK office; by implementing and monitoring IRC and donor policies and procedures; leading financial forecasting and planning, proactive risk management; consolidating financial results; and ensuring reliable financial reporting (internal and external).

The Finance Assistant – Operations assists the UK Finance team in delivering its objectives and providing effective support to IRC UK. This position works closely with the UK Finance and Operations department, wider UK office and suppliers. Furthermore, the incumbent plays a key role in ensuring that Finance remains a critical organizational business partner delivering accurate, insightful, and timely financial management information.

The role is part of the UK Finance Team and reports to the Finance Manager – Operations.

Major Responsibilities

•  Maintain accurate files for supplier invoices, staff expenses claims, petty cash and credit card expenses

•  Assist in maintaining an up to date – London Finance mailbox, ensuring mails are dealt with in a timely manner.

•Check and prepare invoice journals for all direct debits and ensure supporting invoices and approval are filed.

•  Assist with NATWEST bank income and payment journals and the bank reconciliation.

•  Post invoices and credit notes in Integra (Dynamics 365), ensuring authorization, budget codes and supporting documents have been provided in a timely manner for payment runs.

•  Reconcile supplier statements to creditor accounts in Integra and follow up any queries to ensure they are dealt with in a timely fashion

•  Arrange travel advances for staff, check all staff expense claims for compliance with IRC-UK Travel Policy and reconcile against advances in Integra.

•Reconciliation of credit card expenses in Integra.

•Prepare correction journals and post on Integra

•Prepare the weekly payment run as directed and ensure bank sign off staff are allocated well ahead of the run.

•Participate in the development and delivery of plans, goals, objectives, and priorities for the UK Finance Team and undertake other duties as assigned.

This role will include responding to queries, liaising with assessors, universities and general enquiries. The post holder will be responsible for working with the team to develop and monitor our HUB and digital platforms, for developing regular newsletters and working with colleagues to liaise with the many stakeholders involved in the assessment and programme processes.

Key responsibilities 

Liaison support

• Provide effective liaison and administrative support to the Sector Improvement Programme(s), working closely with the Sector Improvement Lead and Programme Managers to ensure thesuccessful delivery of the programmes
