We are seeking a dedicated and enthusiastic individual to join Listening Ear as Reception Administrator to support with the recent growth of our services. The role covers all reception duties, including processing referrals and handling enquiries to carrying out general administrative tasks such as data recording/entry, to support the preparation of data used in statistical reports to our Commissioners. The Reception Administrator is the first point of contact for our clients and external agencies and therefore needs to be warm and welcoming, a good communicator and able to respond professionally to a varied range of calls/emails. Our Administration team manage appointment bookings and the allocation of clients across the Organisation for a growing team of paid therapists, suicide bereavement support workers and students on counselling placements with Listening Ear. The successful candidate will be highly organised and professional, with excellent communication skills and proven experience of managing their own time and workload in a busy, high-pressure environment. They will also need to have a good working knowledge of Microsoft Office and Outlook as well as strong IT skills and ability to learn using new systems.
The role is subject to receiving satisfactory references and a probationary period.
Full-time contract is for 35 hours' per week (7 hours per day). The successful applicant will be required to work flexibly to provide cover in our offices in Whiston & Halewood as well as working remotely from home. The majority of admin work will be home-based with several shifts per month based in our office(s). We will require a candidate who is flexible to meet with the needs of the charity.
Hours are 9am-5pm (Monday-Friday) with the potential for evening cover until 8pm when our service is open to clients. These evening shifts are covered on a rota basis by the admin team and requests can be made if certain evenings are preferred.
