 Salary:            £42,000 - £45,000 (depending upon experience)

Location: Hammersmith, with travel to other Advance sites (some working from home)

About the role:

Reporting to the Director of Finance & Operations, the IT Project Manager will lead the scoping, researching, sourcing, design develop and implementation of several new systems relating to CRM, Case Management, Finance and HR.

The IT project manager will also support the Director of Finance & Operations in managing the relationship with the IT Support contract, providing IT support where necessary and in renewing the IASME (Information Assurance for Small and Medium Enterprises) accreditation.

You will have good research and planning skills and are able to remain calm under pressure. You have good organisational skills including attention to detail and multi-tasking skills.

To be successful as the IT Project Manager you will need the below experience and skills: 

You will have previous experience in IT change management with significant experience of overseeing implementation projects, allowing you to hit the ground running. You will have an excellent understanding of computer systems, security and databases to allow you to ensure

an excellent and reliable IT service is provided to all staff on and off site. You will have strong Project, Stakeholder & Programme management skills and significant experience of delivering major business critical projects including the desired benefits and outcome to time, cost and quality, including the management and maintenance of standard project controls and documents.

You will have a bachelor’s degree in a relevant discipline or equivalent professional experience and 

A PMP, PRINCE2, Agile or other industry standard Programme or Project Management qualification. A good knowledge of Microsoft Server technologies, 365 admin level experience across Teams, SharePoint, OneDrive, Exchange Online etc. is essential for the role. Your experience will include supporting network devices and concepts, printers, softphones and other business hardware and software.

Overview

The National Paralympic Heritage Trust (NPHT) has embarked on a new exciting five-year strategy – ‘Becoming Seamlessly Inclusive 2023-2028’. To help us on this journey, this is an exciting opportunity to join our team as the Trust’s Company Administrator, a key role within our organisation. You will be able to think on your feet and be confident to work autonomously. 

The NPHT is a young dynamic and diverse organisation, and a leader in accessible heritage. Over our first five years we have engaged with over half a million people with the ambition to reach a million over the next five years, with support from several major heritage funders including the Arts Council England (as an NPO), National Lottery Heritage Fund, Rothschild Foundation, Museums Association Esmee Fairbairn, Wolfson Foundation, Art Fund and Garfield Weston.

Role of the Company Administrator

The Administrator will be responsible for the key administration functions of the Trust; planning, directing, managing, and coordinating all operational functions including the office management, day to day finance records, events support and site maintenance.

1. Overall

1.1 To be part of the inspiring work of the National Paralympic Heritage Trust, supporting the wider team and often being the first line of contact to visitors and partners in person, online and via telephone.

1.2 Manage the provision of office services including the management of day to day finance and payments, staff rotas, stationary orders, supporting events and bookings and ensuring the smooth running of the office.

1.3 Organising the day-to-day maintenance of the Heritage Centre and the displays at the National Spinal Injuries Centre.

Main Duties

1.4 The management of office systems, operating practices, record keeping, policies and budget monitoring systems including supporting returns to funders, monthly invoicing records and payments.

1.5 Administration of training, Heritage Centre bookings, events and meetings, including organising catering when relevant.

1.6 Management of general correspondence, answering phone calls, managing the admin mailbox and processing post.

1.7 Oversight and coordination of environmental action plans.

1.8 Drafting, formatting, and printing of relevant documents for meetings as required.

1.9 Maintaining stock lists and ordering of office supplies as needed.

1.10 Coordinate agendas and take meeting notes for the Board of Trustees and the Finance and Development Committee.

1.11 Management of purchase orders and invoicing.

1.12 Photocopying and filing of appropriate documents as needed.

1.13 Maintaining databases, and the google drive.

1.14 Support processing of DBS checks for staff and volunteers as directed by the wider team.

· To support communications, digital content and evaluation consultants.

2. Meetings and reporting

2.1 The Administrator will be employed by the National Paralympic Heritage Trust and be responsible to the Board of Trustees.

2.2 The Administrator will report to and be supported by the Head of Programmes.

2.3 The Administrator will have monthly meetings with the Head of Programmes, reporting on progress and raising any areas of concern.

3. Period of Contract

3.1 Permanent.

4. Contract fee/Pay

4.1 The proposed fee is £25,000 a year Pro rata 3 days a week (24 hours).

4.2 In addition to the payment outlined above the Administrator will be paid reasonable agreed expenses incurred subject to the supply of receipts/travel expense claim and a stakeholder pension.

5. Indemnity

Insurance is covered by the NPHT.

Essential:

o Excellent administrative skills with an eye for detail and a good understanding of Excel and Word.

As the Administration and Liaison Officer you will be the primary point of contact and the face of the Rugby foodbank for all stakeholders.  You will need to have excellent administration and communication skills as you will be our contact point for volunteers, clients, voucher issuing agencies, food and financial donors. In partnership with the Service Delivery Manager, you will guide the development of the foodbank project including its material resources, financial assets, reputation, partnerships and volunteer body.

This is an exciting opportunity for an experienced Repairs and Maintenance manager to join our estates department as we start the implementation of our 2023-2028 corporate strategy that seeks to double our current housing offer and improve the quality of our existing estate.

The Estates Repairs & Maintenance Manager will report directly to the Associate Director of Estates working alongside the Estate's Surveyor, Facilities Officer, Estates Administrator and external property consultancy partner who will provide technical support in terms of the production of tender and specifications, contract administration, property surveys, cost advice and feasibility studies.

How you will make a difference

The main purpose of the Estates Repairs & Maintenance Manager role is to manage and oversee effective property repairs, maintenance and improvement works across the property portfolio and ensure that it remains legally compliant. This includes properties where the responsibility for repairs and maintenance is that of the Charity and equally of other parties such as landlords and housing associations. The role will include managing existing external contractor relationships and housing association repairs and maintenance performance, as well as introducing new supplier contracts where required according to the wider needs of the charity. The role will also include managing major/complex projects on behalf of the charity and supporting other areas of the department ensuring properties remain compliant.

*Appointments will be at the minimum of the band.

Responsibilities include:

Leadership, Strategy and Governance

• To be an active member of the Made in Hackney Senior Leadership Team, working together to galvanise the organisation behind our strategic plan.
• To contribute to strategic discussions on the future direction of the organisation.

• To co-design and write grant applications and secure grant funding from Trusts, Foundations or Corporate entities in line with our annual target (likely to be in the range of £400k-£500k).
• To work with the Partnerships Manager to secure Fundraising income from individual givers, major donors, Crowdfunding campaigns and other fundraising initiatives in line with our annual target (likely to be in the range of £200k).
• To develop and execute an annual fundraising strategy: building a sustainable portfolio consisting of grants and donations from individuals, corporates, trusts and foundations, to ensure long-term sustainable funding of activities.
• To research and prospect future funders.
• To maintain precise and up-to-date records on current and potential supporters and prospects.
• To create engaging fundraising communication tools.
• To establish partnerships for joint programmes and funding bids where beneficial.

Donor stewardship & reporting

• To retain current donors and maximise fundraising opportunities, including delivering a programme of appropriate stewardship opportunities with the core team.
• To work with the team to co-design programmes and their evaluation requirements to ensure the organisation meets the grant funders' requirements. 
• To complete reporting to grant funders, including developing report templates, creating reports, case studies, and other administrative requirements. 

Communications

• To input into MIH’S communications strategy and the planning and implementation of improvements to marketing plans, digital presence and social media strategy to ensure impact and fundraising successes are communicated
• To maintain a stock of impact-focused case studies and success stories and ensure fundraising successes are communicated on social media and online.
• To ensure the robust monitoring and reporting on the effectiveness of fundraising strategies and campaigns; providing key input to the annual report and impact report.
• To coordinate fundraising events with the Community Partnerships Manager. 

Line Management

• To have direct line management responsibility for the Community Partnerships Manager and Social Media & Marketing Manager, creating a supportive environment for growth and development.

The Central Service Coordinator will ensure Gaddum delivers its organisational objectives by coordinating efficient and effective Human Resources, People and Central workstreams.  

The successful candidate will be reporting to the Head of Finance and working as part of a small but high performing team: They will be a key reference point for the organisation’s leaders to ensure those they manage have the best possible opportunities to thrive during the course of their employment at Gaddum. 

The postholder will be responsible for overseeing central systems and processes relating to organisation-wide People Services as required by the Senior Leadership Team and Trustee Board.

About the Role

Responsibilities include:

Leadership, Strategy and Governance

• Be an active member of the Made in Hackney Senior Leadership Team, working together to galvanise the organisation behind the strategic plan

• Contribute to strategic discussions on the future path of the organisation; providing oversight on key initiatives as required as a member of the Senior Leadership Team.

• Proactively participate in and/or lead team meetings to ensure effective communication and mutual support

• Provide lead support to the Board of Trustees, assisting the Chair with trustee meetings, keeping the Charity Commission website updated, and assisting with trustee recruitment, induction and training, board reviews etc;

• Act as the lead staff team representative on the Resource & Remuneration board sub-committee

HR & Training 

• Lead the organisation’s HR function ensuring  employment practice is legally compliant and fair, with a focus on being a fully inclusive employer;

• Keep abreast of the latest guidance in employment law and HR legislation, acting as the lead liaison with Croner external HR support;

• Act as MIH’s Lead for:
  Safeguarding - conducting regular reviews of safeguarding policy,  procedures and regular training for staff, trustees and volunteers and completing; 
  Data Protection - ensuring Data Protection Policy review and organisation-wide compliance and responding to any data incidents or breaches;
  Training - overseeing staff/volunteer/trustee training and lead on implementing staff wellbeing initiatives eg. socials, team building days etc;

• Oversee monthly staff salary payment and coordinate with external payroll provider; 

• Responsible for regular organisation-wide policy, procedure and risk assessment reviews

• Oversee any organisational structure reviews and ensure a system is in place for staff to receive regular and motivational feedback, and feel supported and able to perform their role;

Salesforce Admin
To be the main point of contact for core users' technical support and training needs, and to develop the Salesforce platform to improve organisational efficiency, relationship management and income generation. Intensive training will be provided to support this role.

• Act as the system administrator and manage admin functions including assigning new users, creating reports, dashboards, surveys, application forms etc;

• Onboard and train new users, and grow the level of expertise among the core team;

• Implement custom features when new work streams/programmes are set up and as organisational needs grow;

• Oversee support partnerships with external technical support and training providers.

• Support the Head of Fundraising & Communications and Community Programmes Manager with the creation of reports and dashboards in salesforce to present programme outcomes for funder and trustee reports and the MIH Annual Report;

• App Integration – use apps such as Mailchimp and 123 Form Builder (survey software) and integrate with Salesforce

Venue Management 
MIH has a part-time Venue Manager who is responsible for the general upkeep and maintenance of the ‘Liberty Hall’ kitchen venue. The Head of Operations  will oversee them and support key areas of venue management in the following ways:

• Manage relationship with venue partner ‘Clapton Commons’ to ensure key services of venue are running smoothly and represent MIH in oversight committee meetings; 

• Ensure venue and office equipment is safe to use and repaired/replaced/PAT tested on time;

• Ensure the venue meets the latest Health & Safety requirements, Fire Safety Standards and is fully accessible;

• Support acquisition of new kitchen equipment when required, such as ovens, hobs etc either from a donated source or purchased from a supplier;

Finance

• Organise quarterly budget meetings between the core delivery team and Finance Manager to review budget and expenditure; 

• Ensure the finance team understands the requirements and deadlines of board meetings and provide reminders to them for preparing the required financial reporting.

Line Management

• Line management responsibility for 3 direct reports, creating a supportive environment for growth and development

This role will lead on providing senior technical advice, leadership and guidance to the planning, delivery and monitoring of communications activities across the organisation.
