Overall purpose of the role
To provide strategic leadership for the Supporter Database team and lead the team that manages all the donations and our database.
To ensure all donations are processed in an efficient & timely manner.
Develop a robust thank you process to ensure all supporters receive the right thank you, at the right time.
To continue to ensure the database is fit for purpose and all database processes are streamlined.
Tasks and duties
- To review, develop & continually improve all data/donation processes.
- To lead, manage and inspire the Supporter Database team, by undertaking regular one-to-ones, appraisals and performance reviews of any team members/ interns, to ensure they meet their SMART objectives and income targets, in order to support them in developing and delivering as Fundraisers.
- Review and implement a robust thank you process putting supporters at the centre of everything we do.
- Support The Fundraising Leadership Team with the development, implementation and improvement of Supporter Journeys for all income streams.
- Create & share reports requested by fundraising teams based on specific selection criteria.
- Create, deliver & share training material for fundraising on how to use the CRM.
- To prepare data requested by fundraising teams to deliver fundraising campaigns.
- Work with Fundraising team to give insight to our supporters using data analytics to allow them to deliver our supporter journeys to ensure the best possible supporter care
- Maintain an effective income allocation process and embed across all fundraising teams
- Ensure the team has a broad understanding and knowledge of all supporter-facing activity to enable them to provide excellent supporter care to all supporters at all times
- Specifically, ensure the successful and timely creation of protocols and processes that ensure the database contains high quality, consistent, relevant data
- Ensure successful and timely regular import of data onto the database.
- Ensure effective systems are in place to monitor compliance with regulatory and statutory requirements including Data protection and Gift Aid
- Work with the Head of IT and Governance to ensure all supporter data is held securely and robustly in line with DPA legislation and GDPR
- Maintain a clear understanding of best practice in the fields of Supporter care and database management, developing good working relationships with peers in the sector, monitoring external development and adapting to change where needed
- Carry out any other duties as may reasonably be required by the Head of Fundraising, Head of Retail and Director of Income Generation.

- To report all accidents incidents and untoward incidents to a Deputy Head of Care and Clinical Services.

- To undertake core competencies for clinical skills and specific training and to remain updated.
- To work in conjunction with the education co-ordinators to develop your practice and care for the children.
- To work contracted hours including unsocial hours as required weekends evenings and nights.

Employees may be required to drive a Martin House pool car. These cars are insured by Martin House and it is a requirement of the insurers that we have checked that any staff who drive the cars have a current driving licence.

Staff who support Martin House volunteers are expected to
- Carry out effective inductions for new volunteers in your department
- Lead and guide volunteers, providing the support needed to maintain morale and enable them to work effectively
- Supervise your volunteers appropriately in their day to day work and actively work to recognise the work that they do
- Ensure your volunteers have access to some personal time with you on a regular basis
- Ensure that your volunteers have an annual opportunity to reflect on their volunteering role with you
- Support appropriate volunteer learning and development within your team
- Communicate effectively with your volunteer team, and in line with the Martin House Staff Charter
- Play a role in the recruitment of new volunteers within your area, once appropriate training has been given
- Support the Manage performance issues with volunteers fairly and sensitively, taking advice from the HR department where appropriate
