Administration and Systems Manager 

£35k p.a. 

Location: initially remote working but to be hybrid based in W/NW/SW London.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

GRT are looking for an experienced, passionate and delivery focused Finance Manager to join our team in Birmingham. You will join us on a full-time basis as part of an initial one-year fixed term contract with a view to progressing into a permanent role. The Finance Manager will be responsible for preparing financial statements, overseeing monthly management accounts, managing payroll operations, handling accounts payable and receivable, and preparing the annual budget.

Main Responsibilities:

· Ensuring that financial and accounting services adhere to legal standards and contribute to the smooth operation of GRT activities.

· Annually reviewing and updating of all finance related policies.

· Excellent working knowledge of accounting systems such as QuickBooks or similar software.

· Up-to-date understanding of relevant charity and financial legislation, bookkeeping practices, accounting conventions, and best practices.

· Experience in developing and implementing policies, procedures, and systems.

· Strong numerical, analytical, and strategic skills, including database development and management.

· Meticulous attention to detail.

· Excellent communication skills for presenting to various audiences, including non-financial specialists.

· Willingness to work variable hours, including occasional weekends and evenings.

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. • Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

Essential Skills

• Accounting, finance, or economics qualification.

Reporting to the Director of Finance and operations, this role will ensure that appropriate financial processes and systems are followed and developed to support our charity’s sustainable growth and safeguard our financial health. The Finance & Payroll Officer will ensure that financial tasks and transactions are undertaken in an efficient, effective and timely manner and, importantly, that relevant financial information is provided to keep the Senior Leadership Team informed to make the best decisions for the charity. The role will also cover responsibility for all payroll operations, ensuring that all payments are accurate and on time and that appropriate and accurate information is provided to the Director of Finance & Operations, HMRC, pension providers and other external bodies. We are looking for a confident and experienced individual to join our supportive team. Previous charity finance knowledge and Xero is helpful but not essential, above all we want an individual to be tenacious, curious, diligent and show strong initiative.

Bladder Health UK (BHUK) is a small national charity that has developed significantly over the last 10 years. We are now looking for a part-time charity manager who can continue this journey. The role gives a rare opportunity to someone who is enthusiastic to make a difference in this unique space and have a significant impact on both sufferers and healthcare professionals. As charity manager you will need a varied skillset including being able to build and nurture relationships, manage a small team of staff, develop new income streams, create, and develop imaginative projects and use innovative technology to boost the aims and objectives of the charity.

What you would do

Account management of existing and new relationships in the charity sector. • Research and write grant applications. • Support in making decisions and advise on the charity spend. • Work with the BHUK team to tell the story of ‘Bladder Health UK’ via its communication channels. • Support hosting and organising charity events. • Manage the general cashflow for the charity including reporting from a finance perspective. • Work on a multitude of projects throughout the year. • Outreach to relevant charities that the charity wants to work with and build long lasting, meaningful relationships with them. •. • Maintain all contracts, mailing lists, ensuring IT systems are kept up to date, and are compliant. • Manage ongoing governance of the charity, including developing and maintaining policy documents such as our grant making policy, conflict of interest processes, procedures and register, risk management policy and register. • Maintain charity commission register records. You will also be expected to be able to provide and present regular reports to the Trustees on the finance and operational activity of the charity.

To succeed in this post, it is essential that you have:

• Have been involved in charity campaign work previously.
• Have experience in charity operations and governance. 
• Have sales /marketing/fundraising experience.
• Be able to multi-task in a busy environment.
• Can demonstrate effective communication skills with ability to liaise with different audiences and be effective at developing long-lasting relationships.
• Evidence that you are highly organised and great with time management.
• Have experience developing social media, websites, and webinars to promote, inform and educate.

It would be desirable that you:

• Have either a clinical background or experience in urology issues.
• Are passionate about making a difference and are willing to understand how amazing our members, volunteers and supporters are.

Katherine Low Settlement has worked with older people since its conception in 1924.They are a core part of the community that we continue to work with. We provide, often in partnership, a range of projects and activities for older people including health and wellbeing; creative arts; intergenerational work; connecting people and trips/outings. Our services include an Older People's Lunch Club, Contact Club, T’ai Chi for Elders, exercise and social sessions, and support online.

We work with older people to:

• Encourage active and independent living

• Reduce isolation and loneliness

• Improve well-being and prevent ill-health

• Enable older residents to be dynamic and contributing members of the Wandsworth community.

Key Objectives for the Elders Core Service Manager Role:

1. Team Leadership: Lead a team of dedicated part-time paid staff and volunteers, including a cook, support worker, minibus driver, and sessional workers.
2. Day-to-Day Management: Manage the day-to-day operations of the Elders Core Service, including the lunch club, transport, social sessions, and overseeing the one-to-one work of the core team.
3. Collaboration: Work collaboratively with the wider team to provide a hands-on program that builds on older people's strengths and potential.
4. Monitoring and Evaluation: Support the monitoring and evaluation of the project in collaboration with the Head of Programme.
5. Budget Management: Ensure the program operates within budget constraints.
6. Member Engagement: Support the planning of the core program with input from elder members and the wider team.
7. Recruitment and Support: Recruit and support new and existing members (service users).

Main Duties & Responsibilities:

1. Delivery

• Planning and Oversight: Ensure that all service output aligns with KLS' vision, mission, values, and charitable objectives. Organize and promote one-off activities throughout the year.
• Transport Management: Manage the transport offer, including route planning and pick-up schedules.
• Record Keeping: Maintain accurate activity records, registers, and casework notes for the core team.
• Outreach and Support: Conduct outreach work with older people in the community, oversee home visits, and manage a small caseload.

2. Staff and Volunteer Management

• Recruitment and Line Management: Recruit and manage the Outreach and Support Workers, Lunch Club Cook, and relevant social activities workers and volunteers.
• Performance Management: Use performance management and quality systems to monitor and evaluate the project's work and processes.

3. Relationships, Communication, and Networks

• Member Engagement: Build and sustain strong relationships with elder members.
• Communication: Oversee communication for the Core Programme, including newsletters, activities calendar, annual reports, and social media platforms.
• Meetings: Attend meetings on behalf of the Core Programme as required.

4. Finance

• Budget Management: Manage project areas to budget and maintain financial records as agreed with the Head of Programme.

5. Other Duties

• Professional Development: Participate in regular management supervision and annual appraisal. Identify job-related development and training needs.
• Professional Conduct: Professionally undertake roles, maintaining a high-quality standard of work in line with KLS's aims, values, and ethos.

A medium sized health education charity is seeking a Finance Officer on a full-time, permanent basis.

The organisation is an established charity that provides information and guidance on various aspects of veganism. Services range from general advice on vegan lifestyle – diet, travel, shopping etc, campaigning activities, additional services to charity members, and the certification and labelling of products based on their internationally recognised Vegan Trademark.

The organisation has around 65 staff with a turnover of around £4 million annually. Their central offices are in Birmingham, however this role can be taken on almost exclusively remotely – it is anticipated that there will be approximately 6 journeys per year required either to the Birmingham office or another mutually agreeable location – for staff events and meetings.

The role sits within a small finance team of 3, and will be highly varied covering most aspects of transactional finance. The starting salary is between £29,413 - £31,508, however they have regular salary reviews and growth in the role is possible. They also have an excellent benefits package including a pension scheme, employee assistance programme, 28 days leave + bank holidays, plus additional leave available as part of a sustainable transportation climate perks policy.

The ideal candidate will be AAT part-qualified with experience in a similar Finance Officer level role. Exposure to double-entry bookkeeping and an understanding of charity finance would be an advantage. Experience with Sage accounting is also useful. The organisation is a flexible employer and although the role is ultimately permanent they welcome applicants wishing to be considered on a part-time basis as part of a job share, and will also consider candidates on a shorter term fixed term contract basis if this is preferable to a permanent contract initially.

Typical duties will include:

-Work closely with the sales team and raise invoices in accordance with the sales process.

-Support the credit control function and chase outstanding payments for renewals and new business.

-Provide up-to-date debtor ledger reports as required.

-Process invoices and expenses for payment ensuring adherence to internal purchase policies and procedures.

-Provide support and guidance to staff members and chase outstanding documentation to ensure correct processes are always followed.

-On a weekly basis, process supplier payments and staff expenses online ready for authorisation.

-Support the reconciliation of bank accounts, credit cards, merchant platforms and aggregators.

-Maintain responsibility of designated balance sheet codes and assist with the preparation of month-end reporting.

-Ensure balance sheets are kept up to date in readiness for year-end and annual audit.

-Work closely with the Finance Manager and support the Auditor during the annual financial audit.

-Assist with the development of financial policies, streamline processes, production of working instructions and training materials.

-Support the development of financial business critical systems and processes to increase efficiency and improve user journeys.

-Investigate, report and where necessary make improvements to minimise non-compliance to ensure robust policies and procedures.

-Support the Finance Manager and make suggestions for continuous improvement of systems and processes to support business requirements.

-Support the management of the finance mailboxes and respond to emails in a timely manner.

-Act as the first point of contact and provide timely responses to internal and external stakeholders, customers and suppliers by email and over the telephone.

Candidate requirements:

-AAT part or fully-qualified

-Minimum of 2 years’ experience in a customer service environment.

-Good working knowledge of day-to-day transactional finance, including all aspects of purchase and sales ledger, credit control, bank reconciliation, balance sheet reconciliation and journal entries.

-A working knowledge of VAT.

-Excellent customer service skills.

-Experience of using accounting software – Sage Cloud /Sage Intact desirable

-Knowledge and experience of working with databases and CRM systems.

-An understanding of charity finance is desirable but not essential
