About Orchid Project

Orchid Project has a vision of a world free from female genital cutting (FGC).  We are a small but growing, dynamic not for profit organisation with a proven track record of delivering programmes, policy, advocacy and communications in support of an end to FGC.  More than 4 million girls a year are subjected to female genital cutting. This involves partial or full removal of a girl's external female genitalia.  In the short term, it can cause serious bleeding, infection and sometimes death. It dramatically disadvantages girls for the future: many girls never return to school and are often forced into early marriage. As well as the physical damage, cutting significantly curtails the education, incomes, and independence of women and girls.  It is a fundamental breach of the human rights of women and girls, and it causes lasting health, education, economic and social harm.  Many communities are ending cutting - and we know this can be accelerated to meet the world’s target of ending this practice by 2030 - but at the moment, the population is growing faster than the prevalence is falling, leading to a rising number of girls being cut each year. Because of the COVI-19 pandemic, programme work to end cutting has been disrupted, and an additional 2 million girls are now at risk of being cut in the next ten years, according to UNFPA.

Orchid Project works in three ways:

  • Advocating for resources and commitments to end FGC

  • Partnering with grassroots organisations working towards abandonment in practising countries 

  • Sharing best practices and communicating the scale and impact of FGC and how it is ending

Key responsibilities of the role:

To provide financial, administrative and operational support to the Orchid Project team, the Finance and Operations Assistant will undertake a variety of tasks, including:


  • Supporting the Finance and Operations Manager on including bookkeeping, processing payments to vendors, international partners and associates.

  • Processing incoming donations and making bank deposits

  • Organise all invoices and receipts and provide ongoing support for the finance and Operations Manager on month-end finances.

  • Making purchases on behalf of the organisation

  • Balancing petty cash bank

  • Supporting the Finance and Operations Manager on project financial reporting and spot checks

  • Support in setting up finance templates, policies and through the annual audit process

  • Supporting the Finance and Operations on expense reports for staff, consultant and activist

  • Support the development of financial policies and procedures.

  • Supporting the Finance and Operations with timesheets

  • Any other reasonable tasks falling within remit and skillset

Office Administration & Logistics 

  • Working alongside the Finance and Operations Manager, providing admin support to ensure the smooth running of the office. 

  • Ordering office equipment and supplies within allocated budgets, ensuring that maximising procurement processes are followed and maximises value for money.

  • Monitor operating leases, re-ordering as necessary, reviewing options for new/renewal of contracts with office suppliers, ensuring best value for money based on Orchid’s changing needs.

  • Maintain the Asset Register

  • Providing general in-office support, e.g. organisation of office environment, filing, printing documents for meetings, problem-solving to ensure a smooth and well-run office

  • Receptionist duties including answering the telephone, handling posts, answering email queries, receiving visitors

  • Arranging staff meetings via zoom and In-person, checking the availability of the Office meeting rooms when staff enquire.

  • Supporting Finance and Operations Manager in maintaining the computer systems and networks.

  • Supporting the team with administrative expertise on a wide variety of projects

  • Provide logistical support for CEO and Board meetings

  • Supporting the team with administrative expertise on a wide variety of projects

  • Providing logistical support for staff travel, events and board meetings

Human Resource support

  • Providing support to Finance and Operations Manager on staff recruiting, contracts and keeping HR system up to date.

  • Participate in creating updates of the employee handbook and HR policies

  • Providing administrative support for the organisational development activities of Orchid Project

  • Supporting the Finance and Operations Manager and Head of Finance and Operations on recruitment and inductions.


  • Orchid Project is a small team in an entrepreneurial environment, and you may be required to carry out duties outside of your job description 

Internal Working Relationships

  • Reporting to the Finance and Operations Manager

  • Working closely with all team members to deliver Orchid Project’s strategy

External Working Relationships

  • Suppliers, bookkeepers, and service providers

Person specification


  • Good organisational skills and attention to detail

  • Good bookkeeping experience

  • Experience in office management and administration, particularly in a small organisation

  • Broad background across administrative functions of an organisation

  • Good customer service manner and relationship building skills

  • Good IT problem-solving skills – able to keep an office running and able to seek tech assistance as needed

  • Excited to work in a small growing charity, where everyone wears many hats, and every day is different

  • Experience managing logistical details – for events, staff travel and calendars

  • Experience working online, with full  Gmail and MS Office applications, and some background with financial data/software.

  • Strong communicator, both written and oral

  • Able to work on own initiative, with flexibility and as part of a team 

  • Sometimes willing to work outside office hours/at weekends (rare)

  • Passionate about the human rights of women and girls



  • Experience with donor database management software such as Salesforce

  • Specific experience with Xero or Quickbooks financial software

  • Events support background

  • International and/or cross-cultural experience
