Main responsibilities will include:

Administration

• Be responsible for securing contracts by confirming booking information and working with the Head of Budgets, Contracts & Policy to ensure freelance trainer contracts and Service Agreements are in place

• Be responsible for APD budgets including raising sales invoices, reconciling payments and managing deferred income

• Ensure all finance and operations processes and procedures are rigorously implemented in collaboration with the Finance & Operations team

• Produce budget forecasts for APD and provide monthly updates on current financial position to the Deputy CEO and Head of Budgets, Contracts & Policy

• Chase debtors and regularly report any overdue payments to the Finance team

Strategy

• Contribute to the APD growth strategy through ideas and practical solutions

• Work with the APD team and Deputy CEO in the development of new programmes, routes to market and audience development

Communications

• Help to maintain strong communication channels with all partner organisations and customers

• Provide administrative support in developing regional networks, contacts and partners

• Assist with the engagement of employers and partners for projects and programmes

About the role  

Smart Works are looking to appoint an exceptional Finance Manager to join our finance team at a time of significant growth for the organisation. Working closely with the existing finance team of four, the Finance Manager will play a crucial role in safeguarding the financial health of Smart Works Charity and its network of eleven centres across the UK. 

The Finance Manager will ensure financial systems and processes are followed, financial tasks are completed before deadlines and key stakeholders receive the financial information they need to make sound decisions. 

An important part of the role is to build excellent working relationships with non-financial employees working across Smart Works, so that information needed by the finance team is obtained in a timely fashion. The successful candidate will also identify opportunities for process improvements and automation.

Where relevant, the charity will support the successful candidate in their continued study, CPD and qualification - and the Director of Finance will mentor the Finance Manager in their role.

Smart Works is a national charity, with Smart Works centres across the UK. There will therefore be occasional travel and liaison with local centres across the UK and HQ in London, to support induction and training, as well as the day-to-day role. 

Duties and responsibilities

• Comply with all financial systems and control processes for Smart Works.
• Support the Director in completing submissions, filings and returns completed in a timely manner. This includes supporting the successful completion of the annual audit and production of statutory accounts.
• Produce monthly income and expenditure reports, balance sheets, management accounts and the production of financial board papers for Smart Works Charity and each local centre.
• Supporting the Director in ensuring all members of staff are paid correctly and on-time.
• Deliver improvements to financial systems to drive efficiencies across the finance function.
• Establish and maintain a strong and productive relationship with local treasurers and other relevant stakeholders, acting as the ‘go to’ for day-to-day financial queries.
• Oversee the timely and accurate transaction processing and reconciliation for income and expenditure for allocated centres, providing hands on and technical support to the Finance Assistant when needed.
• Responsible for ensuring all payments are made and invoices are raised in an accurate and timely manner.
• Investing time in upskilling and developing junior members of the team.

Personal Specification 

Essential Criteria

• ACA, ACCA, CIMA, CIPFA part qualified (or equivalent, e.g. AAT qualified).
• A strong accounting background, with significant experience working within a finance function. 
• Good written and oral communication skills.
• Proven ability to produce quality accounts and accurate financial work under pressure and to tight deadlines.
• Proficient in the use of Microsoft Office applications, particularly Excel.
• Good analytical skills and professional sceptical mindset.
• A strong desire to learn, a willingness to share knowledge and a strong team ethic.

What you’ll do: 

Our Finance Manager will report to our Head of Finance and Resources and be a member of our Finance Team, you will be responsible for ensuring the financial records of the charity are accurately accounted for in a timely manner and for supporting growth of the charity in a controlled a sustainable way. 

You will directly line manage our Finance Assistant, manage relationships with 3rd parties and be financial business partner to key stakeholders.

We are ambitious and we need you to help us shape the operational and strategic direction of Green Light Trust. This will be achieved through robust, accurate bookkeeping, effective process and system controls, regular financial planning, the provision of financial information and analysis to support sound decision making and continuous improvement in controls and processes.

The priorities in this role will be: 

1. Management Accounting: Creditor and debtor control to ensure all amounts owed to and from the charity are managed in a robust manner, ensuring accurate and timely reporting to support decision making, in line with organisation and statutory requirements. 
2. Financial Accounting: Day to day treasury management, accurate and timely bookkeeping in line with statutory and regulatory requirements. 
3. Payroll: Co-ordinate with HR colleagues and 3rd party payroll processing bureau to ensure all members of staff and associated other payroll liabilities are paid correctly and on time. 
4. Financial Planning: producing cash flow forecasts on a quarterly basis, collaborating with budget holders and supporting the Head of Finance to prepare robust income and expenditure budgets and quarterly re forecasts. 
5. Analysis and Business Partnering: provide ad hoc and routine analysis to support decision making and support to budget holders to ensure ongoing spend control. 
6. Process improvement: support Head of finance to identify opportunities to ensure all processes system outputs are effective and manual input is minimised. 
7. Line management of finance assistant; providing coaching and guidance to support ongoing development and ensuring there are appropriate levels of cover for team processes, during periods of absence. 
8. General: Ensure all computerised systems are used and maintained in accordance with established processes and best practice and support the Head of finance on the implementation of a new fit for growth finance system.

The Role

This role will ensure the organisation is following robust financial systems and processes; carry out all day-to-day accounting tasks; and ensure timely production of financial information to inform management decisions. Most tasks can be done from home, however some tasks such as banking and petty cash reconciliation will require you to attend our offices. Once the initial training is complete you will be able to arrange your own hours, to be worked Monday to Friday.

About You

A proven track record of relevant financial administration experience is essential and competence in the use of Xero accounting software, Excel and other MS packages such as word and Outlook is essential. You will have an organised approach to workload and ability to prioritise tasks and meet deadlines, be flexible and adapt to the requirements of the role. You must be able to clearly convey financial information to non-finance colleagues.

This role would suit someone looking to increase their experience of working within the charity sector as part of a busy and friendly finance team, perhaps whilst studying to complete AAT Level 4 or similar.

About the role

This role will provide financial and operational leadership and management for CCLC particularly focussed on the Legal Practice Unit and the Migrant Children’s Project but with support for the Child Law Advice Service and Coram International where required. Managing a small finance team, the role will hold primary responsibility for core financial functions within CCLC including legal aid billing and management and tracking of grant and other charitable funding. Through systematic and efficient financial management, the post holder will play a pivotal role in CCLC’s financial sustainability. The role will act as a key point of contact with Coram’s central finance team and a range of internal and external stakeholders on financial matters.

The role will also oversee the smooth running of the London and Colchester offices through line management of operations and administrative staff.

This is a largely office-based role in order to fully provide support to the finance and operations team. Organisational Background

The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Role Requirements

 As part of the site services team the role holder will be expected to liaise with managers and staff across the Trust. The role holder is expected to work closely with the other members of the facilities team and assist in covering in the laundry, in the deep clean team or other works as and when required.

You will be a natural and enthusiastic housekeeper working not only as part of a team but also individually. You will be health and safety aware, take ownership of your own work, and be understanding of the children’s needs here at The Children’s Trust. Good organisational skills, flexibility and being friendly and caring in nature are a must for this role. Please note that the role requires a significant degree of manual handling and working with houses services and laundry equipment.

With experience of working in a complex environment, across a large and diverse workforce, you will be exceptionally organised with a high-level of attention to detail. You will join our small Operations team who manage our finances, governance and people operations. We oversee policies, processes and systems so that it is easy and enjoyable for people to do their best work. That means making sure everyone has what they need to do their jobs. You will manage queries, provide basic IT and financial support, support recruitment and make sure people have a good experience whether they are starting or leaving us. Job Definition

• Manage incoming internal and external queries via post, the admin and team email addresses, the operations Slack channel, main phone line and any operational queries (via Freshdesk)

• Manage any necessary purchasing to ensure the team have what they need to work effectively

• Support the Fundraising team with correspondence to donors and mail campaigns

• Provide basic IT support to the team by monitoring the IT Support Slack channel, ordering equipment, providing instructions for how to use Google Workspace, Trello and Slack, and equipment such as laptops and cameras used in hybrid meetings

• Support the Senior Operations Manager with bookkeeping to enable the SOM / accountants to produce timely and accurate management accounts

• Manage the tasks involved with people leaving the organisation.

• Support the Senior Operations Manager with coordination and minute taking of Board, Committee and Management Team meetings

• Keep registers up to date (e.g. fixed assets, abuse register, software register)

What we are looking for from you

The process starts off with an anonymised covering letter and CV. This will be read by at least two people to produce a shortlist for interview.

The first round interviews will be a phone (not video) interview, lasting no more than half an hour, at a time that’s convenient for you. We will record it so at least two people can review each interview to decide who we invite back for the second round. The recordings will be deleted at the end of the process.

The second round will include a structured interview and a timed task which assumes no prior knowledge. The task can be completed prior to the interview, at a time that most suits you.
