The role

This role will provide executive support to the CEO and Action Together’s Board as well as project managing internal business priorities.

The ideal candidate

We’re looking for someone with outstanding organisational skills and excellent attention to detail  who is able to manage multiple priorities, can produce written work to a high standard and is also able to proactively identify issues, implement solutions and get things done.

We are seeking a Finance Officer with a keen eye for detail, and an aptitude for learning new skills, to take on purchase ledger and payroll administration duties in our Finance Department.   You will have either begun on the path of attaining a financial qualification or had some experience in a similar role.  The successful candidate will be responsible for the accurate and timely processing of all purchases, payments and returns, including supplier invoices, staff payments (salaries, expenses and advances), project and contractor payments and credit card transactions.  Responsible for project reporting against budget.

Key responsibilities (full responsibilities listed in the application pack):

• Ownership of the purchase ledger system, administering the entire process of invoice receiving, checking, coding, distributing for approval, posting to the accounts software (currently Sage), setting up domestic and international payments for authorisation, and electronic filing of documents.
• Administering all credit card returns including distribution of statements to colleagues, checking and coding returns, collating documents, submitting for line-manager approval, posting to Sage and following up on outstanding items.
• Administering staff and contractors expense claims, advances, returns and funds transfer requests, including checking and coding, submitting for budget-holder approval, arranging payment both domestic and international, and electronic filing of documents.
• Recording project expenditure against budget and drafting project financial returns to meet funder deadlines.

As a Specialist Multiple Disadvantage Worker, you will be responsible for the delivery, and evaluation, of a range of Life Skills, and Recovery workshops and activities to support our clients' skills acquisition. To give support and guidance to project workers in relation to best practice standards for supporting homeless people with multiple disadvantages and complex needs.

The Specialist Multiple Disadvantage Worker will have skills in effectively liaising and building good relationships, with external and internal stakeholders to keep a satisfactory level of appropriate referrals.

About you:

• An understanding of best practices in supporting people with complex needs and an ability to support and guidance colleagues.  

• The ability to effectively and intensively case management a small case load of client with complex needs. Also, can create SMART support plans and effectively assess risk.  

• Experience and commitment to working flexibly and creatively to response to changes in sectorial best practice, external environment, organisational requirements, etc.  

• Experience of working with or supporting vulnerable people with support needs around any of the following issues; rough sleeping, mental ill-health, physical health, neuro diversity, problematic substance misuse, ex- offending.

The team
The Northern Ireland team sit within the Energy Directorate of Energy Saving Trust. In Northern Ireland, our main focus is to deliver the Northern Ireland Sustainable Energy Programme (NISEP), but we also are involved in other areas of work and deliver campaigns helping NI householders save energy and money.

There are currently four programme support officers who work very closely to support each other in delivering NISEP and report into the project manager of the team. The team also includes an assistant programme manager and is headed up by the programme manager for NI. The team collaborate with external stakeholders regularly and other teams of Energy Saving Trust.
 
The role     
The programme support officer will be focusing on enabling people in Northern Ireland create warmer homes, reduce their energy bills, and lower their carbon footprint. 
 
NISEP is an £8 million grant programme that provides funding for energy efficiency measures for domestic and commercial properties.  Energy Saving Trust are the programme administrator of NISEP on behalf of the Utility Regulator in Northern Ireland.
 
The role will provide you with an inspiring opportunity to develop your programme management experience, and develop your knowledge in the Energy Access sector, helping our vulnerable customers.
 
What you’ll do

• Support the smooth running of the Energy Saving Trust NI programme work, ensuring compliance with processes and procedures.
• A strong focus on the administration of NISEP, including assessing payment claims; reviewing and analysing interim reports as well as other NISEP tasks.

The Orkney Native Wildlife Project is looking for a motivated senior administrator who can support a busy team to facilitate delivery of the work programme and ensure an effective office working environment. The Orkney Native Wildlife Project started in 2018 and is a partnership between RSPB Scotland, Nature Scot and Orkney Islands Council. Its purpose is to work with local communities and landowners to undertake the world’s largest stoat eradication operation and safeguard the unique and internationally important native wildlife of Orkney. What's the role about?

Stoats were first reported in Orkney in 2010 and their presence threatens a variety of species including the unique Orkney vole, hen harriers, short-eared owls, red-throated divers, waders and seabirds which attract wildlife enthusiasts all year round making a significant contribution to the local economy

Funded by the National Lottery Heritage Fund (NLHF) and EU LIFE alongside partner contributions the project is now in a key implementation stage and we are looking for a strong administrator who can support the busy team. As the Senior Administrator, you will be expected to:

• Provide comprehensive business administrative support to the project team, including financial processes, travel and accommodation, events, organising and maintaining materials and equipment, diary bookings and maintaining SharePoint websites.
• Provide a dedicated administrative support service to the steering group, project board and Technical advisory group, including diary management, drafting letters and other communications, organising travel, accommodation and meetings
• Oversee the day-to-day management of the office environment to ensure the office is an efficient, effective and safe place to work.

They should also be willing to undertake travel for up to 16 weeks per year, including visits to remote forest areas.

We are looking for someone who can take a lead in supporting three of the four key functions of infrastructure and includes leadership & advocacy, partnerships & collaborations and capacity building for the sector.  These characterise the role of Thurrock CVS and help to support and strengthen locally based voluntary, community, faith and social enterprise organisations and showcase the strength and worth of the sector.

In addition to the support to the sector, you will manage a fund developed to support the sector, overseeing the administration and governance of the fund, and supporting a wider team in building relationships with businesses to drive the social responsibility agenda.

We are looking for someone with experience of working and developing the VCFSE sector, including organisational structures such as in incorporated charities, CIC’s etc, training, funding advice, policy guidance and general support around funding and grant applications

This is a demanding role and requires someone with tenacity and a real interest in people and social action. Superb communication skills are a must, at all levels, as well as a good understanding of an organisations development and structure.

Key Purpose:

Contribute to the coordination of assured services at RABI and support with the administration of the Service Delivery Team liaising with key stakeholders.

Key Responsibilities:

• Manage the administration of the weekly grant process, collating relevant paperwork and creating purchase orders and reconciling invoices where appropriate.
• Manage the audit process of the weekly grants.
• Weekly monitoring of Staysafe Activity.
• Weekly monitoring of Service Delivery attendance at events.
• Monthly collation of Service Delivery statistics
• Support with the day-to-day enquiries to the Service Delivery Team via phone and email.
• Liaising with external agencies, including suppliers, as required.
• Coordinating internal and external meetings including taking minutes when required.
• General administration support as required.
• To provide cross functional support across departments.
• Be an ambassador for Service Delivery internally within RABI and with external organisations.
• Demonstrate commitment to Safeguarding, Equality and Diversity and Health and Safety promoting a safe and inclusive environment.

We are looking for a part time Membership Officer to work 3 days a week, alongside our existing part time Membership Officer. Together, they will lead on administrative support of our membership functions. Reporting to our Office and Events Manager, the post holder will be responsible for the administrative functions that support the smooth running and ongoing success of the organisation around membership.

This is an interesting and varied role that acts as a first 'point of contact’ for the people we work with (such as Member Institutions, Registrants and queries from members of the public), as well as managing the administrative aspect of memberships, such as setting up new Registrants on our CRM system. The role also involves longer term project work such as overseeing the CPD audit and improving and growing membership processes.
