The Royal Free Charity is entering an exciting new phase of growth and has a vacancy for a Database Manager.

This pivotal role, which will critically underpin all our fundraising and marketing activities, will be responsible for:-

  • strategic leadership and daily management of the Charity’s CRM/s, namely Raiser’s Edge
  • recording and delivering data
  • all staff queries, training and support
  • management of database projects
  • handling relationships with key stakeholders and business departments
  • managing data migration projects across databases within the charity

The RFC works in partnership with the Royal Free Trust by ‘making today feel better’ for all users of the hospitals. We raise and spend millions every year, which supports pioneering research that revolutionises patient care through to everyday improvements in hospital services and facilities.

The successful candidate will undertake the following role responsibilities and be able to demonstrate the necessary experience and skills: -

Role specific responsibilities: -


  • Management and development of the CRM and associated systems, including: -
    • analysis, segmentation and selections
    • the streamlining of systems to assist the Charity in achieving its goals
    • data and reporting systems, ensuring these are fit for purpose to cover all supporter activities
    • maintenance of data integrity, applying robust quality checking and regular cleaning
    • strict adherence to data protection principles and legal requirements

Strategic Development

  • Lead on the strategic development of the Charity’s CRM, ensuring: -
    • alignment with the broader organisational strategy
    • it sets the highest standards in data governance and is a champion of good practice
    • business needs are continuously met, creating a future-proof environment for holding and enhancing the Charity’s customer data

Team Management

  • Management of the Database team: -
    • working closely with the Fundraising Database Administrator to ensure the database is well structured and fit for purpose, providing cover in their absence
    • ensuring all income is inputted and recorded correctly
    • overseeing the production of month end reports to the Charity’s Finance team

Database Leadership

  • Be the main point of contact for all database queries: -
    • ensuring users have the skills, tools and knowledge to maximise data potential
    • training and supporting users across the Charity, logging and addressing queries in a timely manner
    • working closely with other departments to ensure data is collected, stored and managed properly within their systems
    • creating specialised queries and reports to meet users’ needs

Other Duties

  • Manage relationships with senior stakeholders and other Charity teams including Fundraising, Marketing, Volunteering, Operations and People
  • Prepare data for regular Gift Aid claims in line with an agreed schedule

Fit for Royal Free Charity - What we are looking for

We can’t live without….(essential)

  • Previous experience: -
    • Minimum 2 years’ CRM experience, ideally working with Raiser’s Edge
    • Minimum 1 year: -
      • line management / managing a team
      • experience delivering IT training
    • Excel (advanced) SQL and / or SSRS
    • Working and communicating with a number of stakeholders
    • Project delivery at ground level in relation to fundraising databases
    • Delivering quantitative and qualitative data analysis techniques and processes
    • Data reporting and producing data insights and visualisations
  • Knowledge of the Data Protection Act (GDPR), Gift Aid and BACS statutory requirements as they relate to UK fundraising
  • Advanced analytical skills including being skilled at managing large volumes of data
  • Ability to: -
    • prioritise, organise and manage workload effectively whilst dealing with unplanned interruptions
    • follow instructions and adhere to Charity and Trust policies
  • First class people / customer service skills
  • Degree / other qualification in IT or similar
  • Honest, flexible and responsible
  • Excellent IT skills
