Events Manager 

We are looking for an Events Manager who will be part of a busy team responsible for the planning, co-ordination and delivery of first class events for RUSI.

About the role 

The purpose of this role is to act as a point of contact for all RUSI event bookings and to provide key support to the Projects and Events Director. 

Duties and Responsibilities 

  • Book and confirm internal event date in the “Institute Editorial Calendar” with the Events Director as required 

  • Once a conference or event is confirmed email the Project Officer or Research Lead the Zoom Logistical Document, once this has been completed and returned planning can begin for the event 

  • Set-up the event on the RUSI database, the on-line booking system, RUSI's website, the virtual event platform (Zoom etc) and Events tracking spreadsheet 

  • organise quotations any special requirements such as translation 

  • liaise with the Comms Team to ensure the event is made ‘live’ on RUSI's website and the e-shot invitation is sent 

  • Ensure the Event Administrator issues the staff invite 

  • Obtain speaker contact details and arrange a test Zoom call to run through the Zoom requirements 

  • Obtain sponsor contact details from the PO – write to each company’s point of contact and provide a sponsor contract, administration form and invoice. Follow-up payment of invoice. 

  • Oversee delegate registrations and assist with any issues 

  • Manage the virtual event from start to finish 

  • Liaise with Comms regarding the follow up email and ensure, if the event was recorded that a copy is sent to Comms for the web page

  • Ensure the Event Administrator marks the attendees on the database 

  • Attend the Management Group Meeting in the Project and Events Director’s absence as requested

Person Specification 

The job holder should be able to demonstrate the following essential knowledge, skills and experience: 

  • Proficient in Outlook, Excel, Word, PowerPoint and Zoom.  

  • Degree level qualifications in Events or Hospitality or equivalent experience as an Events Assistant.  

  • Excellent communication skills,  

  • Highly organised and proven experience of working under time pressures.
