The Role
To help us fulfill our mission, we seek Grants Officers, who will oversee complex strategic grantmaking activity, triage, monitoring and compliance, and clearance of conflicts of interest, sanctions, and data privacy. They will also support with managing urgent leadership directed grants where necessary.
Key Responsibilities
As Grants Officer, you will report to the Associate Director, Grants Management and be responsible for:
- Contributing to annual planning for US-based entities, forecasting resource allocation needs throughout the year.
- Leading grant closeout procedures, overseeing the collection of overdue reports for all grants funded by US-based entities, conducting FPR, OSI, OSPC processes. Manage the completion of the Grant Closure Project, identifying obstacles to report collection and establishing standard procedures for closing grants, including those for US-based funded programmatic units.
- Coordinating with Finance, Accounting & Compliance teams for audits of Open Society's US-based entities, as well as the preparation of annual tax filings and financial statements.
- Managing departmental budget, retreat/meeting schedules, and professional development opportunities.
- Conducting pre-award/post-award due diligence to ensure grants align with US-based entities' funding requirements and foundation policies.
- Facilitating internal audits for the Grants Management department.
- Collaborating with opportunities/programs colleagues to ensure timely and efficient proposal compliance review, grant award structuring, issuance of grant letters, payments and amendments, and grant closeout reviews.
- Providing comprehensive education and training on grant award compliance, grantmaking processes, Foundation Connect, GrantSmith, and Analytics Studio within the department and to colleagues across Open Society.
- Serving as a resource for Grants Assistants and other Grants Management colleagues, fostering collaboration and knowledge-sharing.
- Assisting in Grants Management processes related to equivalency determination, expenditure responsibility, OFAC compliance, COI compliance, and data privacy.
- Ensuring data integrity in the grantmaking system and provide reporting and analysis.
- Monitoring grant payment schedules and program budgets, ensuring financial efficiency.
- Liaising with Communications, Finance, GARA, Information Technology, the Office of General Council, outside organizations, and/or affinity groups on matters of mutual interest.
- Developing, documenting, revising, and implementing Grants Management policies, procedures, documents, templates, and multimedia materials.
- Representing Grants Management in cross-departmental staff meetings, workshops, retreats, and working groups.
- Supporting internal Grants Management operations and contribute to special projects as needed.

Experience

The Construction Plant-hire Association (CPA) is the leading membership and representative body for construction plant-hire in the UK. A role of two half’s covering both finance and administration. We are looking for a well-organised and committed person with some experience in accounting and administration processes who will work as part of our small membership team on a part time basis based at our London office.
You will be working closely with our Finance Manager assisting him with accounting duties including inputting Suppliers invoices, direct debits, and general accounting work. While in addition, assisting the membership team with administration tasks as required, reporting to the Membership Manager.

Main duties
This position will offer variation covering many duties within Finance.
- You will have responsibility for key aspects of financial and management reporting and control to deliver timely and reliable reporting.
- You will assist the current Assistant Management Accountant, Purchase Ledger Clerk and Payroll Assistant on a daily basis.
- The post-holder will, on a regular basis, liaise directly with each finance team member and report to the Head of Finance.
- Assist in the sales ledger, which involves verifying orders and updating the finance system (Accounts IQ). Additionally sending out relevant invoices via email or accessing customer portals.
- Assist the purchase ledger, including matching invoices with purchase orders and obtaining approvals from relevant managers. This information is then recorded in Accounts IQ. Also onboarding new suppliers in Accounts IQ and verifying bank details.
- Perform credit control checks.
- Assist with the monthly payroll cycle.
- Input month-end journal entries.
- Conduct bank reconciliations.
- Assisting with month-end management accounts and reporting.
- Assist in analysing the Profit and Loss accounts.
- Assist with Balance Sheet reconciliations.
- Support year-end audit.
- Any ad-hoc tasks.
- Provide timely responses to internal and external stakeholders and deal with queries in a timely manner.
- Adhere to the deliverables timetable, and maintaining a strong working relationship with the senior leadership team.
Knowledge, skills and experience
- At least 2 years experience in a similar finance role
- Experience with month and year end experience and procedures
- Accounts Payable, Accounts Receivable and Payroll experience
- Experience of managing multiple deadlines with a track record of delivering under pressure
- Good communication skills – written and verbal
- Intermediate to Advanced Excel knowledge

The Organisation:
Millions of fans watch or attend British horseracing’s 10,000 races per year at 59 racecourses, making it the second highest spectator sport in GB. Funding from the Horserace Betting Levy Board (HBLB) supports almost every aspect of the sport – such as regulation and integrity, marketing and promotion, veterinary science, equine welfare, people development, community engagement and prize money for participants. HBLB is an Arm’s Length Body of Government, responsible to the Department for Culture, Media and Sport but they do not receive Exchequer (taxpayer) funding. Instead, they are responsible for the collection and distribution of a levy from the business of betting operators.
HBLB spends its money in pursuit of three objectives:
• The improvement of breeds of horses
• The advancement or encouragement of veterinary science or veterinary education
• The improvement of horse racing
The Role:
Reporting to the Chief Financial Officer, you will provide leadership and day to day management to the finance team. You will have 4 key reports managing financial control and financial management.
You will have responsibility for the following areas:
• Statutory accounts & tax, leading the relationship with the NAO
• Management accounts, budgeting and forecasts
• Levy collection and ensuring compliance
• Cash management
• Payroll, pension and benefits; ensuring that the contracts are managed effectively
• Internal Audit; acting as the account manager
Business planning, performance and risk management, contributing to long term strategic planning are all areas where you will have the opportunity to work on with the CFO.
The Person:
We would like to hear from candidates who can demonstrate the following:
• a fully qualified accountant who has ideally worked in the commercial and public sectors
• proven experience of managing a finance team supporting both qualified and part-qualified team members
• an ability to deputise for the Chief Financial Officer and to ensure that the team provides a highly effective and efficient service to the organisation on a timely basis

This role is offered on a hybrid contract giving you the opportunity to also work from home three days a week.
Purpose of job:
To ensure the right cost structure, financial operating platform, systems and controls are in place to deliver Comic Relief’s vision and strategy, making sure investments are effectively managed and protected and making sure high levels of integrity are upheld.
They will also ensure that appropriate advice, information, insight and support is provided to trustees, directors and staff on all financial matters relating to the charity and its trading subsidiaries. Alongside this they will support strategic planning and building finance capability across the organisation.
Finally, the Head of Finance will ensure that Comic Relief operates financial systems and processes which ensure effective governance and compliance with key statutory and regulatory requirements and with our own risk management strategy.
Key Accountabilities / Objectives:
· Own the organisational budget, forecasting, cash flow management reporting and financial KPIs.
· Ensure robust financial controls and policies are in place and functioning effectively.

· Oversee year-end audit and production of financials statements including Trustees’ Report.

Person Specification
Essential Criteria
· Qualified accountant with relevant post qualification experience and a good understanding of financial systems and processes.
· Extensive experience of using finance systems – Xledger and Adaptive Insights would be desirable.
· Knowledge of Charities SORP, statutory accounting regulations, VAT (including exempt, partial exemption, and reverse charges), PAYE and other payroll taxes, and Gift Aid.
· Experience of working effectively in cross-functional project teams.
· Experience of operating at and presenting ideas at senior level including at Board level.
· Proven experience of coaching and training both finance and non-finance staff.
· Understanding of voluntary sector, financial controls required and how to work with decision making structure (including Trustees) preferred.

The Role
