 About the Role

• Manage the accounts payable function at Solace

• Manage the imprest petty cash and prepaid cards system for Solace

• Correctly record all expenditure and payments made on Solace Finance systems

• Reconciliation of Balance Sheet accounts

• Compliance to agreed standards and procedures for all finance operations

• Working alongside other Finance colleagues and Solace staff

• Adhoc work as needed


Finance Officer Responsibilities 

Manage the purchases and payment function for Solace.

• Match purchase invoices to approved purchase orders (based on Solace internal guidelines) and check that goods/services have been received prior to payment.

• Check partner expenditure claims based on agreed payment schedules.

• Ensure that suppliers are paid within agreed payment terms.  

• Prepare fortnightly purchase ledger BACS payment runs, other cheque/online payments.

• Prepare fortnightly staff expense reimbursement BACS payment runs.

• Deal with all accounts payable and staff expense queries.

• Filing of all supplier invoices, staff expense claims, 

• Reconciliation of supplier accounts to statements and resolution of any queries and disputes.

• Reconciliation of the company credit card statements each month.

• Reconciliation of all prepaid and petty cash accounts.



• Manage the imprest petty cash and prepaid cards system for Solace.

• Check petty cash returns and supporting documentation from all sites and arrange reimbursement.

• Filing of all petty cash claims and supporting documentation. 


• Correctly record all expenditure and payments made on Solace Finance systems

• Maintain accurate supplier and staff details using Finance systems.

• Capture purchase, company credit card and petty cash transactions accurately on Solace’s financial software and code to the appropriate budget area.

• Maintain comprehensive audit trail (paper or electronic) records for all transactions.


• Compliance to agreed standards and procedures 

• Arrange authorisation for BACS, cheques and online payments by a director and chief executive, or two directors.

• Ensure that Solace’s financial policies for expenses and petty cash are followed by all staff, trustees and volunteers, e.g. by checking expense claims and raising issues at team meetings.

• Comply with all Solace Women Aid’s policies and procedures.


• Arrange Head Office weekly banking 

• Arrange prompt banking for every week.

• Where possible, arrange for direct payments into the bank.

About you

• To be responsible for effective liaison with other teams and to promote joint working arrangements and the sharing of information.  

• To participate in training as required, in weekly team meetings and in regular one-to-one

• Support and Supervision meetings with line manager.


• Adhoc work as needed

• Organise regular archive of finance records with assistance from other Team members as needed.

• Maintain list of archived records for Finance.

• Provide holiday and emergency cover for Finance Officer (Income and Receivables).

• Other adhoc duties as needed, including adhoc emergency reception cover.


• General Responsibilities

• Attend regular team and staff meetings.

• Attend regular supervision and appraisal sessions with your line Manager. 

• Agree and work to an annual individual work plan 

• Contribute to the development of Solace through assisting with funding opportunities

• Attend relevant training courses as identified during supervision or the Annual Appraisal.

• Implement at all times the Health and Safety and Environment Policies and further develop a safe, healthy and environmentally friendly workplace.

• Maintain confidentiality in all matters relating to the organisation.


• Corporate Responsibilities

• Ensure that all Solace’s policies and procedures in your work area are up to date

• Ensure effective implementation of Solace’s Equality and Diversity policies and ensure awareness and integration of an equalities and human rights agenda in all your work
