Job description

START: Students and Refugees Together is a charity that work in partnership with families, individuals and organisations to facilitate the transition of refugees from people in need to self reliant contributors to their local communities. As a learning organisation, START uniquely utilises the student placement as a resource which together with the strengths and skills of the community, we work out what support is needed and how to achieve it.

 

We are currently seeking a Trustee to join our board who will also take on the role of Company Secretary.  The role of Secretary is to support the Chair by ensuring the Board of Trustees conducts itself professionally and effectively in providing sound governance of the charity. It is primarily an administrative role that involves organising the agenda for trustee meetings, taking minutes and ensuring all relevant compliance information is accurately maintained and action points are followed up. 

 

Role Summary

 

  • To give notice to all trustees and others attending, of all meetings when all trustees are eligible to attend e.g. meetings of the full board.
  • To give notice to all members of Annual General Meetings
  • To prepare agendas for all meetings of the board including the AGM.
  • To record all meetings of the board by taking minutes and highlighting action points and key decisions.
  • To circulate minutes to all trustees after board meetings.
  • To obtain approval of the accuracy of minutes at subsequent meetings of the board.
  • To take notes at all other meetings of the board e.g. strategy development days.
  • If necessary, prepare action points from strategy days and other meetings and ensure that they are monitored by the board.
  • To play an active part in the governance of START and  to support START generally as a trustee.

 

 

Person Specification

 

  • Empathy with refugee and asylum issues. Some knowledge of refugee and asylum issues would be desirable
  • Experience of undertaking administrative tasks and minute-taking
  • Excellent organisational ability and the ability to work collaboratively and provide support to other committee members
  • Knowledge or experience of business and committee procedures
  • All Trustees must be 18 years and over and have excellent communication skills with the capacity to express themselves with authority
  • Have a commitment to the aims of START and have a willingness to devote the necessary time and effort
  • Able to exercise independent judgement and take reasonable care, skill and diligence in their role on the Board
  • Be willing and able to express their views and opinions and promote the success of START
  • Understand and accept the legal duties, responsibilities and liabilities of trusteeship
  • Be able to work effectively as a member of a team and to maintain good working relations.

Time Commitment

 

  • The board meets every 3 months in Plymouth. These are usually held on Tuesdays 11am-1pm. We would expect Trustees to be able to attend most of these meetings and we can support digital attendance if needed.
  • Some additional hours for pre and post board meeting administration also required.
  • Business meetings are held every quarter if needed.
