Salary and hours: £30k per annum (0.6FTE, 22.5 hours per week, Monday to Friday)

Background

The Bike Project is a refugee charity going through a significant period of growth as we address increased demand for our services and our social enterprise. This part time position is required to manage the day-to-day accounting activities of the organisation. We are looking for an experienced finance officer who can help us pursue our charitable mission and sustain our commitment to support refugees throughout the UK as the charity grows.

About The Bike Project

Our mission is simple: to get refugees cycling! We are a community of cyclists, refugees, mechanics and volunteers. We collect donations of second-hand bikes, fix them together at our workshop, and then donate them to asylum seeking refugees in the UK. We have donated nearly 5,500 bikes to date. A proportion of the bikes that we receive are sold to the public through our online shop to generate income for the charity and ensure our long-term sustainability.

Duties and responsibilities

Supplier processing and reconciliations

  • Monitor accounts email inbox
  • Electronic filing to QuickBooks and Shared drive
  • Process supplier invoices, bills, credit cards, staff expenses and other costs
  • Stock order reconciliation to invoices
  • Prepare payment runs for approval and upload to online banking
  • Allocations of payments to ledgers
  • Sending remittance advices to suppliers
  • Supplier relationship management
  • Supplier statement reconciliations

Customer processing and reconciliations

  • Process grant and donation receipts
  • Process and report e-commerce sales
  • Monitor and reconcile bikes sold on credit
  • Update the CRM for grant payments and new opportunities

Management reporting

  • Bank reconciliations
  • Petty cash management, processing and reconciliation
  • Month end journals and reconciliations e.g. accruals, prepayments, allocations, stock, sales, payroll, grant accruals, RGA etc
  • Prepare management accounts using reports from Quick Books

Year-end reporting and Audit

  • Assist with annual audit and accounts preparation
  • Prepare Trial balance and year end reconciliations for auditors

Other

  • Provide financial information for funders reports
  • To perform any other reasonable duties as required by the organisation.

Person Specification

  • Minimum AAT qualified or relevant QBE.
  • A good understanding of Charity SORP and FRS102 desirable.
  • At least three years’ experience in a similar role, of which one year must be working within a charity.
  • Experience with QuickBooks and/or similar finance systems as well as proficiency in Excel.
  • Excellent attention to detail
  • Excellent English language skills (both written and oral). Additional language will be considered beneficial (in particular, Arabic, Farsi, Tigrinya and/or Amharic) 
  • Ability to work autonomously to achieve agreed objectives and organisational targets with minimal supervision.
  • High level of organisational skills with exceptional attention to detail and a thorough and systematic approach to diagnosing and solving problems.
  • Experience of working or volunteering for a charitable organisation is desirable.
  • Excellent interpersonal awareness and communication.
  • An ability to conduct all duties in a manner that is non-judgmental and respects differences.
  • An advocate for cycling who shares The Bike Project’s values and ethos and is committed to The Bike Project’s vision.

Working conditions

The hours are flexible, but this job will require occasional travel to other sites. Some remote working also considered.

(Working from home until the government deems it safe for the office to reopen. Specific arrangements will always be discussed with vulnerable individuals to ensure safety.)
