Job description


Our mission is simple: to get refugees cycling! We are a community of refugees, cyclists, mechanics and volunteers. We collect donations of second-hand bikes, fix them together at our workshop, and then donate them to asylum seeking refugees. We have donated nearly 6,500 bikes to date.

We are also a social enterprise and so a proportion of the bikes that we receive are sold to the public through our online shop to generate income for the charity and ensure our long-term sustainability.

The Bike Project is going through a significant period of growth as we address increased demand for our services and our social enterprise.  Based in the West Midlands, the post reports to the Head of Operations and this full time position is required to support the wider team in Birmingham and London. We are looking for someone who is ambitious about our charitable mission and will sustain our commitment to support refugees throughout the UK.

Job purpose

Based in the West Midlands, this role is a crucial part of the operations team, that supports the Birmingham and London operations. You will be responsible for managing a variety of tasks across all business functions. The post-holder will be expected to maintain a good working knowledge of The Bike Project’s programmes, products and policies and maintain and develop good working relationships with a variety of internal and external stakeholders.

Duties and responsibilities

  • Provide high quality support to the people we work with, including the resolution and closure of complex queries with minimal supervision.
  • Maintain and develop good working relationships with a variety of stakeholders in the local region including volunteers, suppliers, supporters, referral partners, customers and beneficiaries.
  • Coordinate vehicle logistics and driver schedules within the local region for movements of bikes and stock.
  • Coordinate and support the day to day operations of the social enterprise and charity, including but not limited to:
    • Resolving incoming phone calls and email enquiries
    • Management of IT and telephone infrastructure
    • Management of utilities and supplier contracts
    • Arranging and overseeing general maintenance of sites
    • Ordering of general supplies and post handling
    • Maintenance of security, fire, health and safety equipment
    • Implementation of fire, health and safety recommendations
  • Assist with regular inventory audits and stock management tasks in the WM workshop.
  • Handle personal information of the people we work with and ensure the CRM system (salesforce) and other filing systems are followed.
  • Conduct all duties in a manner that is non-judgmental.
  • Performing any other reasonable duties on an ad hoc basis as required by the charity.

Qualifications, Knowledge and Experience

  • Minimum of 2 years’ experience in a business support, administration or operations role preferably within the retail or charity sectors.
  • Knowledge or experience of the refugee process in the UK, and a passion and enthusiasm for making a difference to the lives of refugees.
  • Excellent English language skills (both written and oral) are essential for this role. Additional language skills (preferably Arabic, Farsi, Turkish, Tigrigna French or Amharic) will be considered beneficial.
  • High level of organizational skills with exceptional attention to detail and a thorough and systematic approach to diagnosing and solving problems.
  • Demonstrated ability to prioritise and manage own workload and work to objectives within a strategic framework.
  • Experience of managing external stakeholders and a demonstrated ability to cultivate and maintain good working relationships.
  • Excellent interpersonal awareness and communication skills, patience and a demonstrated ability to listen and understand the needs of others.
  • Experience of working or volunteering within a charitable organization is beneficial.
  • An ability to conduct all duties in a manner that is non-judgmental and respects differences.

Working conditions

This job is entirely remote working at present, however, our local Birmingham workshop is open. Our shared office space is currently closed but we are committed to provide office amenity on a needs basis as soon as it is safe to do so.

This role will include working from time to time with vulnerable people in sometimes challenging situations, as such, a DBS basic disclosure will be required. Some travel to our head office in London may be required from time to time.
