Job Description

In 2003 The Goldie Hawn Foundation launched MindUP, a highly acclaimed school-based programme that teaches children the critical knowledge and skills they need to strengthen their mental health and emotional well-being through increased self-awareness, self-regulation and social and emotional competences.

At the core is a 15-lesson curriculum based firmly in neuroscience, that teaches students from 3 to 14 the skills and knowledge they need to regulate their stress and emotions, form positive relationships, and act with kindness and compassion.

Today, with offices based in the UK, US and Canada, MindUP is one of the most researched and evidence based global programmes impacting children’s mental health.

The Admin Assistants’ primary function is to proactively provide administrative support to the Operations Manager and central team. This position will also support client experience with MindUP and account management; ensuring quick and accurate communications, information delivery, data management and the coordination of logistical matters related to service delivery.

The successful candidate will be a self-starter with the ability to use their own initiative and meet agreed deadlines. Exemplary interpersonal and team working skills are essential, as is the ability to communicate clearly and succinctly both verbally and in writing. You’ll be a meticulously organised person who thrives in a busy and productive working environment.

General Job Duties

  • Provide administrative support to the Operations Manager and Director of Training
  • Answering main phone and following up with voicemail messages
  • Printing/photocopying/scanning as required
  • Opening and sending mail/packages
  • Banking cheques/cash as required
  • Monitoring office supplies and ordering more when needed
  • Inputting of data for account management and for fundraising
  • Use Salesforce and other platforms to manage data across the organization. Running reports as required
  • Maintain electronic and paper filing systems
  • Support the coordination of fundraising events
  • Carry out any other duties appropriate to the post as directed by Operations Manager

Programme Management:

To support the Operations Manager to:

  • Maintain rapid response and strategic routing of all enquiries for MindUP via phone email and other means
  • Coordinate logistics for trainer/school matchups, including travel, supply orders and other matters
  • Coordinate school accounts, including data management, arranging meetings, sending out materials and resources, sending and collecting surveys and arranging phone calls and meetings
  • Support the organisation and coordination of promotional events and training sessions including invitations, booking rooms, ordering refreshments, setting up IT equipment and meeting and greeting guests
  • Attend external conferences and events
  • Arrange travel and accommodation for the team as required
  • Maintains an active social media presence for the foundation

Skills & Qualifications

Required:

  • Educated to Degree level (2.1 or above)
  • Administrative experience
  • Strong time management skills
  • Strong organisational and problem-solving skills
  • Strong attention to detail
  • Excellent communication skills, written and verbal
  • Proficient in the use of Microsoft Word, PowerPoint and Excel
  • Experience using a variety of social media platforms
  • Calm under pressure with a positive can-do attitude
  • The ability to coordinate and prioritize multiple tasks across different projects
  • Understanding of the importance of data protection

Desirable:

  • Experience using CRM & CMS platforms
  • Experience using Adobe InDesign & Photoshop
  • Experience using Piktochart
  • Experience using Survey Monkey
  • Voluntary sector experience

Further information:

Annual Salary: £18,000 - £21,000 per annum

Hours: Full time 9.00-17.00 (37.5 hrs per week)

Location: Moorgate (Central London)

Annual leave: 25 days per annum

Pension: 6% contributory scheme
