Job Purpose

 

We are now hiring a Project Support Officer to support The Earthshot Prize, an ambitious new initiative from The Royal Foundation which will celebrate and amplify solutions to the planet’s greatest challenges. The Project Support Officer will support the team with all their administration needs in order to ensure effective organisation, co-ordination and flow of information. They will also support the delivery of programme related events, in providing the main point of contact for internal and external stakeholders and support throughout planning and delivery.

 

This role is a 18-month fixed-term contract.

 

Principal Accountabilities

 

Project Support

Provide support to The Earthshot Prize team as required, including:

  • Assisting in organising relevant programme and stakeholder meetings; managing logistics, diary management internally and externally, helping to prepare papers and circulate ahead of meetings to ensure all stakeholders and fully and effectively informed.

  • Taking accurate and appropriate minutes in programme meetings and distributing them in a timely manner.

  • Organising and distributing task lists generated from meetings, and keeping these up to date when actions are completed

  • Help to prepare programme related updates and reports for external stakeholders

  • Supporting the planning and preparing for programme events, including managing guest lists and attendee correspondence, logistics, pre-event briefings and support Programme Managers which content as required.

  • Updating appropriate databases as required.

  • Assisting in keeping programme documents updated both electronic and paper.

 

 

 

Managing Correspondence

  • Overseeing letters and other correspondence from the public relating to The Earthshot Prize and ensuring all emails are responded to within agreed timeframes and providing advice as required for complex enquiries.

  • Managing the mailing list sign-up on the website, researching which organisations we may want to collaborate with and arranging contact where appropriate.

  • Ensure that internal processes are in place and followed so that high risk enquiries are handled according to appropriate best practice and legislation, escalating where required.

  • Maintain working FAQ and process documents to help other manage emails during periods of large volume surrounding events, including working with team to plan accordingly for anticipated high volumes of enquiries resulting from public events for The Earthshot Prize.

 

General Team Support

  • Managing regular team meetings, including capturing actions and supporting the team in tracking these to completion.

  • Support organisation of the diary for Programme Head including logistics and travel arrangements so appointments are completed in a timely manner

  • Support other members of the wider team as required including travel arrangements and diary organisation

Key skills, Competencies, Experience & Knowledge

 

Experience & Knowledge

  • Experience of a not-for-profit organisation or projects.

  • Previous experience of supporting projects and/or events.

  • Highly competent user of Word, Excel, PowerPoint and Outlook.

  • Experience of working in a busy office environment.

  • Highly organised and able to help organise those around them.

  • Diary management experience and skills.

  • Experience of successfully dealing with stakeholders at all levels.

  • Ideally experience of using database and email software e.g. Mailchimp, Salesforce.

 

Key skills and competencies

  • Appreciate the importance of discretion and confidentiality at all times.

  • An excellent communicator both verbal and written, with a professional phone manner.

  • Flexible with a practical, ‘can do’ attitude.

  • Enthusiastic and able to respond positively to an ever-changing campaign environment.

Desirable

  • Knowledge of/experience working in conservation or environment work.

 

Practical Requirements

 

Although the work will be predominantly office based, some travel may be necessary and occasional evening/weekend work.
