The role is based in East London.
The purpose of the Executive Assistant role is to provide governance and administrative support to the CEO, trustees and Senior Management Team (SMT). This will include the organisation and servicing of trustee and management meetings ensuring effective administration, record keeping and communications.
Provide efficient executive support to the CEO and overall running of the charity including organising meetings, contributing to planning and preparing agendas and papers, taking minutes and tracking follow-up actions.
Deal with a range of external and internal contacts on various matters on behalf of the CEO, head of services and trustees, ensuring matters are handled confidentially, sensitively and in a timely manner
Manage the CEOs schedule and diary.
Ensure the CEO is appropriately briefed for meetings and proactively request necessary information from colleagues or other sources.
Governance support to the Executive Team and the Board of Trustees
Support Board of Trustee meetings and sub committee meetings in collaboration with the CEO and senior staff including drafting agendas, taking minutes, forward planning, policy reviews and maintaining governance trackers.
Support the office manager and finance manager to ensure effective administrative systems are in place and maintained in relation to human resources, health and safety, reception, building and office management.
Significant experience of providing proactive administrative support to a CEO or Senior Leader and familiar with supporting directors, trustees and committees.
Experience facilitating all aspects of Board level, or senior meetings including preparing agendas, liaising with participants, minute-taking and following up actions.
Experience of office management, HR administration and developing office systems and policies desirable.
A good understanding of charity governance and compliance matters.
Proven time management skills, the ability to deal with multiple priorities and work pressures, exercise sound judgement, meet deadlines and organise and set priorities for your own work.
