Job description

About the role:

The Students’ Union at the University of East Anglia is at the heart of student life at UEA. We’re about Students Transforming. Led by students, working for students, the Union represents students on a large and diverse set of issues, whilst also providing professional support and advice on academic, welfare and housing issues facing our members.

The Academic Engagement Student Voice and Equality team provides vital links between the Union, University and students through supporting and operating representational structures from academic course representation to our democratic and governance structures. Alongside this, the team actively remove barriers to participation through the advancement of Equality Diversity and Inclusion practices and embedding them at the heart of what we do.

The role of Governance and Democracy Coordinator is a crucial one; from overseeing our byelaws and governance structures, clerking and running the student voice calendar of meetings, to supporting the Student Voice and Equality Manager to develop successful and diverse student engagement with democratic processes. This role would suit someone who has great attention to detail, is highly organised and systematic.

Duties of the role include but are not limited to:

Administration

To diarise, create agenda, collate and distribute papers and take minutes of the formal Union calendar of meetings including but not limited to; Student Officer Committee (SOC), Union Council (UC), Postgraduate Committee and Democratic Procedure Committee (DPC), Management Committee and Trustee Board.

To ensure that all key democratic dates are well planned and communicated effectively to all relevant staff, student officers and members.

To ensure meeting minutes and policies are uploaded and accessible on the uea(su) website in a timely fashion. 

To maintain and review the cycle of business for each committee.

To maintain records of meeting attendees including managing apologies and repeat non-attendees.

Governance

To act as company secretary for the Union

To ensure all official union meetings comply with all necessary legal requirements and compliance.

To support the various student chairs of each committee

To provide expert advice and guidance to committees and staff teams on the Union Constitution and By Laws

To receive and administer code of conduct cases

Student Voice

To ensure agreed priorities in the area of liberation, equality and diversity are fully integrated into the student voice, democracy and governance structures, and to actively identify and remove barriers to participation for students from liberation groups

To work with the Student Voice and Equality Manager to monitor levels of participation by demographic in democratic activity
