Job description

Job Purpose
UK for UNHCR (UK4U), the UN Refugee Agency's national charity partner, is looking for an Executive Assistant to join us at a crucial time in our development. As a start-up, we are a small but high performing team with big ambitions. This pivotal new role will work closely with the CEO, Board of Trustees and Senior Management Team to support our continued growth, development and impact.

As part of a collaborative and dynamic team, this is a great opportunity for someone looking to grow their career in the charity sector and build a portfolio of skills across multiple work areas. With specific duties to support the administration and operations of our charity, this is also an exciting opportunity to support the implementation of our new five-year strategy and the expansion of our Board of Trustees. It will be a busy and varied role with no two days the same.

You will have a passion for the refugee cause and be able to communicate effectively with multiple stakeholders. You will enjoy developing strong relationships and be able to manage competing priorities to meet deadlines. You will also have excellent organisational skills and attention to detail.

Who We Are And What We Do
United Kingdom for UNHCR is the United Nations Refugee Agency’s national charity partner for the United Kingdom. We generate public awareness of the plight of refugees and raise funds to help protect them through UNHCR’s humanitarian operations across the world.

Our supporters include UK private individuals, communities, corporate partners, trusts and foundations. The funds we raise help UNHCR deliver emergency relief such as shelter, medical care and basic supplies to people fleeing conflict and persecution, as well as healthcare, education and livelihoods opportunities for those who remain displaced over the long term.

Nobody chooses to be a refugee, but we can all play a part in their protection and we want those who work with us to share our values and passion for the cause.

We strongly value diversity and recognise that it is critical to our success and the cause that we serve. We are committed to providing an inclusive environment for all who work with us and strongly welcome applications from diverse backgrounds and those with lived experience of being a refugee, asylum seeker, internally displaced person or a stateless person.

We are also open to flexibility in many different ways, including an element of working from home and flexible hours. Please don’t be afraid to speak to us about this at the interview stage, so we can explore what’s possible.

Role Responsibilities
• Provide support to the CEO with diary, travel arrangements, arranging external and internal meetings, email management, and drafting or sending out correspondence
• Assist the Senior Management Team with other key internal or external meetings, distributing agendas and papers on time, and working with SMT to facilitate wider communication and follow up with staff and stakeholders
• Support the CEO and Director of Strategy and Growth in tracking the implementation, evolution and reporting on the charity’s five-year strategy
• Support the Board of Trustees by scheduling and attending meetings, taking minutes, coordinating the preparation of Board papers, and planning Board meetings and events
• Assist with the induction of trustees and serving as the primary point of contact to Trustees for day-to-day matters
• Work with the Operations Team to support key functions including office management, staff onboarding and recruitment, staff training and events, and meeting compliance requirements.

Personal Attributes & Experience

• Strong writing abilities, ranging from summarising complex Board discussions to drafting emails and correspondence.
• Ability to interact comfortably with multiple stakeholders, ranging from colleagues to trustees to UNHCR global staff;
• Ability to juggle and prioritise multiple tasks and meet deadlines within a collaborative team environment;
• Strong organisational and administrative skills
• Excellent attention to detail
• Able to demonstrate flexibility, with a willingness to respond quickly, particularly at times of humanitarian crisis;
• A flexible team player with service oriented attitude;
• Sound judgment, sensitivity and discretion in handling confidential information;
• Proficient in using Word, Excel, PowerPoint and Adobe Acrobat.

Desirable Skills/Experience
• Previous experience of working in a support role or with a charity, either in a paid or volunteer capacity;
• Knowledge of international development or related subjects helpful but not essential.

*If you wish to be considered please submit your CV and a covering letter.
Please note that applications which are just generic cover letters or CVs without covering letters will not be considered.
Candidates selected for an interview will be contacted by Thursday 1st July.
Interviews will be held on 7-9 July 2021. The initial interview stage will consist of a 30 min panel discussion with task to be submitted prior to interview.
