Job description

Purpose of the job 

To provide administrative support to the CEO and Service Leads 

Responsibilities: 

  • Update and maintain policies and procedures and HR records 

  • Maintenance of holiday and sickness reports for the centre staff. 

  • Prepare and collate course materials and resources for teaching staff 

  • Maintain CPD records and book training 

  • Receive and respond to enquiries by telephone and e mail and provide reception cover when required 

  • Maintain and update the staff handbook 

  • Input confidential data for counselling and training provision as required, ensuring this is accurate and up to date. 

  • Analyse client data and produce reports for Service Managers and the CEO as required 

  • Carry out and maintain up to date audits and ensure all facilities Health and Safety checks are carried out annually or bi annually 

  • Produce professional documents, presentations and other communications as required 

  • Support the centres enrolment process during busy periods 

  • Liaise with suppliers and contractors as directed 

  • Attend team meetings and other internal and external meetings and take minutes when requested 

  • Support the Quality assurance Processes for the Centre 

  • Have excellent working knowledge of Office 365 tools 

Skills and Experience 

Essential: 

 

  • At least 2 years previous experience of Administration 

  • Excellent written and verbal communication skills 

  • Proactive, able to identify and implement improvements to business processes 

  • High level of competence in the use of all Office 365 products including outlook  Excel, powerpoint and word 

  • Ability to produce professional documents and presentations 

  • Adaptable, with the ability to consistently deliver high quality work in varied work environments 

  • Highly organised, able to manage own workload, prioritise and complete tasks to deadlines. 

 

Desirable Skills 

  • Experience of administration within the charity sector 

  • HR experience  

  • Administration support to more than one direct report
