Job description

Main responsibilities:

  • Maintaining employee records;

  • Monitoring employee holidays and absences;

  • Issuing new starter paperwork;

  • Supporting managers with recruitment activities;

  • Supporting the monthly payroll process;

  • Accounts administration, including processing invoices;

  • Purchasing items and stock, as and when required;

  • Booking and arranging training

  • Supporting general enquiries and providing cover for general enquiries for projects in managers’ absences

  • Coordination and administration support for data protection requirements;

  • Supporting the Executive Director and other senior management team members with administration tasks, as and when required (including gathering information required for monitoring and/or reporting requirements);

  • Any other duties as might reasonably be required.

Hillside Clubhouse members (service users) volunteer to support many of the non confidential administrative tasks (e.g. invoicing).  You will be responsible for engaging and supporting them to do so and also be responsible for verifying and checking their work.

Although the postholder is accountable to the Director of Clubhouse Operations who will line manage you will also undertake administrative duties delegated by the Director of IPS and  Employment Services

Person specification

Essential

  • Administration and HR experience;

  • Excellent Microsoft skills including Excel and Word;

  • Excellent organisational skills;

  • Ability to build and maintain positive relationships;

  • Excellent attention to detail;

  • Clear understanding of the need for confidentiality and discretion;

  • Passion and enthusiasm;

  • Good numeracy skills;

  • Good standards of written work;

  • Commitment to Equal Opportunities;

  • Ability to see tasks through to completion with minimal supervision.

Desirable

  • Minute taking/report writing skills.

  • Interest in mental health services or experience of working with people with mental health problems
