Job description

We have an exciting new opportunity for an IT Administrator to join our team based in Hove. You will join us on a full-time, permanent basis, and in return, you will receive a competitive salary of £19,080 - £21,200 per annum (pro-rata) depending on experience.

YMCA DownsLink Group is a charity working to transform the lives of vulnerable young people across Sussex and Surrey. We work to prevent youth homelessness and provide a home to 763 young people every night. We reach a further 10,000 young people and their families through our other key services, such as counselling, support and advice, mediation, and youth work, so that all young people can belong, contribute, and thrive. We employ c450 full & part-time staff and a growing group of volunteers.

As our IT Administrator, you will support the wider IT team in their role to develop and maintain the organisational IT equipment and systems. Their role includes, but is not limited to, basic systems administration, procurement of IT equipment, standard data reporting, provision of basic training on core systems, and liaison with YMCA DLG’s external IT services provider.

Key responsibilities of our IT Administrator include:

  • Undertaking systems administration within major systems.
  • Working with HR and our external IT provider, support the new starters and leavers process to ensure access is enabled/revoked on systems in a timely fashion.
  • With the external IT provider, ensuring the efficient procurement and distribution of new IT equipment for staff and volunteers, maintaining an up-to-date asset register.
  • Supporting the Business Intelligence Analyst with the production of regular and one-off data reports for key internal customers (e.g. HR, safeguarding, housing, and counselling teams) and for external commissioners.
  • Delivering basic training on core IT systems to new staff – virtual (through the development of e-learning content), as well as face-to-face sessions (in-person and online).
  • Working with the external IT provider, support on first-line IT service desk requests (such as data report requests and resolution of minor support requests).
  • Complying with all YMCA DLG policies and procedures, attending mandatory training (in particular: Safeguarding Children and Adults, Health & Safety, and Equity, Diversity & Inclusion), and always abiding by the Code of Conduct.
  • Taking responsibility for personal learning and development around the use of current and new systems (through continuing professional development and training events) and contributing to how these are adopted and used within the organisation. Training on current systems to be provided.
  • Carrying out any other appropriate duties as directed by the manager to support and promote the work of YMCA DLG in accordance with the post holder’s capabilities.

Our ideal IT Administrator will have:

  • Demonstrable administration experience of working with computer systems, data, and/or software.
  • Relevant training or certification in IT systems and/or data analysis.
  • Proficiency in the use of MS Office365 software (Outlook/Word/Excel/Teams/SharePoint).
  • Strong working knowledge of Excel functionality (e.g., V-lookup, writing formulas, pivot tables, and linking spreadsheets) and/or knowledge of MS Access. Training will be provided for the right candidate.
  • Analytical and problem-solving skills, and ability to understand data logic & schema
  • Ability to multi-task and manage a broad range of competing priorities
  • Exceptional organisational skills to support project management.
  • Excellent communication skills, both written and verbal.
