  • To provide facilities management to all YMCAES sites across East Surrey. This includes 3 housing schemes and one sports and community centre owned by the YMCA and three youth centres that the YMCA leases from local authorities.
  • To be the Health and Safety Officer for YMCAES to ensure that the Association complies with all current legislation and to encourage good practice throughout the YMCAES.
  • To carry out risk assessments and support staff in completion of risk assessments and to ensure fire risk assessments are carried out in accordance with legislation and good practice.
  • To support the Head of Central Services (HOCS) to manage the IT hardware & IT services (mobiles, broadband etc) of the association, to work with our IT support contractors and help develop new IT systems and use of technology to improve the efficiency and effectiveness of the Association.
  • To put in place and manage a call out system for managers to respond to any emergencies relating to buildings
  • To provide administration and systems support for the work of the YMCAES as agreed with the HOCS.
  • To be responsible for all ground maintenance including management of a ground maintenance worker and contracts.
  • To be responsible for overseeing the Duty Officer (DO) rota at Princes Road and to ensure that all procedures and policies relating to this role are up to date and communicated to DOs. To manage and induct staff into the DO role, to update DO packs, to hold regular meetings and training sessions for DOs to ensure they are effective in this role
  • To manage YMCAES building contracts and to comply with the Accepting Contracts Policy and Procedures.
  • To maintain the fleet of vehicles owned by YMCAES, including insurance, tax, MOT, fuel and maintenance.
  • To be responsible for all insurances required by the YMCAES, ensuring compliance with legislation and efficiencies and effectiveness of all policies. Also, to ensure that necessary inspections and certification of lifts and other equipment are carried out as per requirements of insurers and current legislation.
  • To work with the HOCS to prepare a budget for central costs (buildings and vehicles) and to manage this budget through the year.
  • To prepare cyclical maintenance plans and arrange for necessary major works to be scheduled and safely carried out in accordance with the plans.
  • To prepare and present a report to the quarterly Facilities and Environment Committee which has a remit for maintenance of YMCA buildings and sites.
  • To collect and collate all accident and incident report forms and to produce a regular report for managers and trustees.
  • To provide the CEO and Head of Housing with advice and guidance around technical and regulatory requirements on YMCA property developments and acquisitions of new buildings.

Annual leave: 5 weeks pro-rata plus bank holidays. Holidays increase after 2 years service to a maximum of 6 weeks pro-rata after 6 years service
