OPERATIONS TEAM LEADER

When a child is diagnosed with cancer life becomes full of fear, for them and their family. Fear of treatment, but also of families being torn apart, overwhelming money worries, of having nowhere to turn, no one to talk to.
At Young Lives vs Cancer, we help families find the strength to face whatever cancer throws at them. And you could be a part of the team making it happen.

THE ROLE

You will be working with fundraising and finance colleagues to maximise the contribution that supporters and donors make to us as a Charity; this could be through on-boarding new fundraising platforms, ensuring compliance around claiming gift aid, ensuring income is coded correctly, and providing timely information to support the thanking process. This role, working together with others in the finance directorate and the wider Charity, will help us achieve our mission through professional support, engagement and stewardship.

The main purposes of the role are as follows:

• To maximise our investments into income and engagement by leading delivery of efficient, effective and high-quality central services across all of our programmes and supporter groups. This is a wide and varied role that will include but is not limited to the management of systems and processes related to:
• Income processing and reconciliation
• Data processing, including supporter updates and data preparation
• Gift Aid claims, processes, procedures including central approval and compliance
• Central fulfilment systems and processes (internal and external fulfilment)
• Central complaints investigation, process management and reporting
• On-boarding new income generation platforms, setting up reporting and information flows
• Thanking processing
• Reporting
• To support the Operations Manager in driving improvements in Young Lives vs Cancer’s working practices by identifying issues, designing solutions and helping implement solutions to any relevant processes.
• To support the Operations Manager in sharing and championing understanding of upcoming business requirements and best practice, as well as any regulatory or compliance standards that apply.
• Sharing team management responsibilities with the other Team Leader, training, developing and managing the workload of the junior team members.
• Requirements of the role will evolve as and when the business’ requirements change. A key part of this role is continued interaction with stakeholders across the Charity to ensure that systems and processes continue to be fit for purpose.

Requirements:

• Strong Excel skills, and experience of managing complex Excel spreadsheets
• Good working knowledge of databases
• Experience of using a customer relationship management database extensively
• Experience of processing income and income related data
• Ability to analyse and report on data
• Excellent attention to detail
• Experience of supervising others
• Experience of improving processes
• Ability to effectively manage multiple priorities and deadlines at the same time
• A positive and effective team player - flexible, resourceful, diligent and versatile with a task and process orientation
• Communication - adept and confident in presenting to and leading groups of people; ability to communicate effectively with non-technical colleagues
• Strong consultative and listening skills to build a rapport with stakeholders and gain key information
• Strong IT skills in MS Office packages
Desirable Requirements:
• Experience in fundraising, customer service or the Charity sector
• Experience of managing others
• Understanding of financial processes and systems
• Understanding of audit requirements
• Strong understanding of Gift Aid
• Experience in handling mass data
• Advanced working knowledge of Excel
• Experience of working on the CARE CRM database and/or Microsoft Dynamics 365 database
