Permanent – Part time (21 hours a week) – flexible over 3 to 5 days

Career Ready is a social mobility charity that supports students at schools and colleges in non-affluent areas across the U.K. We empower students with the skills, confidence, networks and the opportunity to achieve their potential and enjoy rewarding careers. Since 2002 Career Ready has run programmes that connect young people aged 11-18 with mentors, internships, skills masterclasses and wider careers activities that prepare them for success in the world of work. Last year, our network of 5,000 volunteers from 1,000 employers, large and small, helped to transform the lives of 69,000 young people in over 400 schools and colleges.

 Job Description

Reporting directly to the Career Ready CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the role of Career Ready CEO. The Executive Assistant must be creative and enjoy working within an agile, passionate environment that is mission-driven, results-driven and young people focused. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion that support the CEO.

Roles and Responsibilities:

• Completes a broad variety of administrative tasks for the Career Ready CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

• Plans, coordinates and ensures the CEO's schedule is followed and respected. And supports the CEO in managing priorities and ensuring key tasks are executed in a timely fashion.

• Researches, prioritises, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Presents options for appropriate course of action, referral, or response.

• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting donor acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the charity.

• Assists in coordinating the papers, logistics and agenda of all senior management team and trustee board meetings. Produces accurate minutes for all SMT, board and sub-committee meetings attended.

• Assists trustee board members with travel arrangements, accommodation, and meal planning as needed.

• Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships

• Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail

• Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors

• Expert level written and verbal communication skills

• Highly resourceful team-player, with the ability to also be extremely effective independently

• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment

• Forward looking thinker, who actively seeks opportunities and proposes solutions

• At least two-years of experience supporting C-Level Executives, preferably in a third sector organisation.

• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and knowledge of using a CRM particularly Salesforce.

SALARY AND BENEFITS:

  • Up to £27,000 pa (pro rata), depending on experience. We are flexible over actual days and hours.
  • Plus 6% contribution to personal pension plan, subject to 3% employee contribution
  • Interest-free season ticket loan
  • Annual leave: 25 days per annum plus bank/public holidays (pro rata). The office is also closed between Christmas and New Year and there are an additional 2 days of leave available in August.

An enhanced criminal record (DBS) check will be required for the role.
