Job description

The United Kingdom Literacy Association (UKLA) is looking for an Office Manager to co-ordinate the administrative support required by the Organisation. The post is based in the office in Leicester although the ability to work from home when necessary is also required. The Association needs someone able to co-ordinate and support its small team of part-time members of staff, liaise with its trustee volunteers and work efficiently with relevant agencies such as banks, IT providers and accountants.

The staff team comprises: an Office Manager (part-time, 28 hours on at least 4 days per week); a part-time Membership and Publications Support Co-ordinator; and a part-time Communications Support Co-ordinator. Some other regular support is provided for bookkeeping and IT administration.

The UKLA trustees are all volunteers, elected to form the UKLA Executive Committee. In addition to roles such as President, Hon. Treasurer and Hon. Secretary, the Executive Committee also includes convenors of UKLA’s sub-committees and members with additional expertise. The Office  Manager needs to liaise closely with these volunteers to consider how best to implement Association strategy for the benefit of members.

 

In order to manage the staff team, liaise with volunteers and provide the Association’s administrative support, the Office Manager needs to be a good communicator with excellent managerial and administrative skills and a keen interest in helping UKLA work effectively across the United Kingdom and beyond. The UKLA Office Manager is expected to be reliable, sympathetic, systematic and proactive. The role requires someone who works well under pressure while also paying due attention to detail and upholding the values of the Association.

 

The UKLA Office Manager co-ordinates communications and events from a UKLA Office perspective and is directly responsible to the trustees of UKLA for the efficient operation of the UKLA Office and staff. On a day-to-day basis the Office Manager works independently and with minimum supervision, responding promptly and directly to the needs of trustees and sub-committee convenors to ensure that UKLA’s programme of charitable activity and the implementation of delegated aspects of its strategy run as smoothly and effectively as possible.

 

The UKLA Office Manager is expected to undertake other duties and responsibilities which the Association may from time to time reasonably require, and engage in any training which may be offered relevant to fulfilling the role more effectively.
